Help ensure the smooth flow of global trade for a world leader in materials technology and recycling. We're looking for a proactive Administrative Assistant to join our client's Customs & Trade Compliance team in Antwerp providing essential support for import and export processes.
📍 Location: Hoboken, Belgium (3 days/week onsite; 100% onsite during first month)
🗓️ Start Date: ASAP
🗣️ Languages: Fluent in English; Polish is a strong plus
📄 Contract Type: Full-time assignment
Responsibilities
Assist with the preparation of customs documentation and declarations.
Liaise with external customs brokers, freight forwarders, and internal departments.
Ensure all required documents are available, accurate, and submitted on time.
Monitor and track shipment status, providing updates to relevant stakeholders.
Maintain and update internal databases and lists.
Handle general administrative tasks, including correspondence and email triage.
Requirements
Proven experience in an administrative support role, preferably within an international setting.
Strong proficiency in Microsoft Office (Excel, SharePoint, Outlook).
Experience with administrative processes in a logistics or customs-related context is a plus, but not mandatory.
Excellent organizational and time management skills.
A proactive, accurate, and structured working style.
Ability to work both independently and as part of a team.
