When you work in customer service, you often have to communicate with clients, customers, or colleagues over the phone. Here are some tips on how to project a professional image over the phone and avoid common pitfalls.

1 Prepare yourself

Before you make or answer a phone call, make sure you are ready to be polite, clear, and helpful. Have a pen and paper handy to take notes, or use a CRM system to record important information. Know the purpose of the call and the key points you want to convey or ask. If you need to transfer or put someone on hold, explain why and how long it will take. And don't forget to smile, even if they can't see you. It will make your voice sound more friendly and confident.

Active listening, verbal nods, empathy and summary at the end of the call about the needs/concerns of the customer, what you were able to provide and assist with and if a call back is required ensuring its in your calendar and you have confirmed again the date, time and best number to call back on.

2 Greet and introduce yourself

The first impression you make on the phone is crucial. Start with a warm and courteous greeting, such as "Good morning, thank you for calling ABC Company." Then, introduce yourself by your name and your role, such as "This is John, the customer service manager." If you are calling someone, ask for their name and confirm that you are speaking to the right person. If you are answering a call, ask for their name and the reason for their call. Use their name occasionally to show respect and rapport.
