Works independently to carry out assignments to completion and performs a wide variety of administrative and secretarial duties to assist in daily business operations.
Responsibilities For Accounting Administrative Staff
Process check requests and payments as needed
Handle supply orders
Be an alternate for Scanning of deposits to property’s bank account
Mailing Duties:
Preparing overnight packages - UPS and FedEx
Preparing/stuffing daily outgoing mail
Metering mail
Sorting by property
Scanning of mail and distribute to accountants
Sorting mail by property for Accounting Department
Assist with preparation of utility spreadsheet
Assist team with fulfilling Audit requests
Address and respond to vendor inquiries when asked by team
Month end close duties:
Prepare cover sheet for each property
Compilation of financial packages and send to ownership groups within deadlines
Copy financial statements to ownership Livewire
Assist team during month end close handling operations’ requests
Coordinate and Prepare draw requests for lender submission; update property Accounting Snapshot
Maintain the financials distribution list and property tracker
Run variance report and save in property folder once notified from financials inbox
Learn job duties of AP Clerk to assist and/or assist in their absence
Learn job duties of Vendor Specialist to assist and/or assist in their absence
Assist with setup of trusted vendors via Vendor Credentialing in Realpage software.
Follow through all aspects of the vendor credentialing process, provide expert follow up, exceptional assistance to the on-site property managers & corporate departments
Oversees Spend Management software. Provides as needed training to onsite and corporate staff. Ensuring all aspects of ordering and invoicing are running seamlessly, allowing sites to maximize purchasing power and control spending
Offer support as needed and requested by accounting team
