Job Summary:

The Accounting Manager will be responsible for managing day-to-day accounting operations, maintaining accurate financial records, ensuring timely and compliant financial reporting, and overseeing accounts receivable processes. This role works closely with the Business staff to ensure smooth accounting operations and adherence to nonprofit financial standards.

Experience in nonprofit accounting is strongly preferred; familiarity with for-profit revenue models is a plus.

Principal Duties and Responsibilities:

Accounting & Financial Operations

  • Oversee and execute all aspects of the accounts receivable function for CoP’s career center, advertising, and content sales, including invoicing, collections, and revenue recognition, ensuring timely and accurate financial recordkeeping
  • Oversee CoP’s General Ledger
  • Prepare and send monthly invoices to clients
  • Establish, document, and implement billing policies and procedures to ensure the timely and accurate creation and distribution of invoices through HubSpot and Quickbooks.
  • Collaborate with the advertising operations and customer service teams to reconcile billing discrepancies, ensure proper revenue recognition and resolve collection efforts
  • Oversee subscription invoicing and payment processes conducted by CoP’s subscription management vendor
  • Compile monthly and quarterly financial statements as well as advertising commission reports
  • Reconcile bank and credit card statements and prepare accurate monthly financial statements

Grants Management and Budgeting

  • Track restricted grant expenditures to ensure compliance with funder requirements.
  • Prepare timely and accurate financial reports for philanthropic funders in coordination with the Development team.

Compliance & Audit

  • Ensure compliance with GAAP, IRS regulations, and nonprofit financial standards.
  • Coordinate the annual audit and preparation of IRS Form 990 in collaboration with external audit and tax accountants.
  • Maintain and enhance internal controls, financial policies, and procedures.

Knowledge/Skills/Abilities

Required:

  • 5+ years of experience in accounting roles, preferably including nonprofit experience
  • Advanced proficiency in QuickBooks Online and Microsoft Excel
  • Strong understanding of accounting system integrations, e.g., Stripe, Shopify, BILL.com, HubSpot, Madgex
  • Experience with complex earned revenue accounting
  • Ability to communicate financial concepts and information clearly to non-financial colleagues
  • Excellent attention to detail and organizational skills
  • Excellent communication skills and ability to collaborate with members of different teams

Preferred: C

  • CPA or equivalent certification
  • Experience with media, publications, advertising

Salary and Benefits:

  • The posted salary range for this position is $65-$85k annually
  • 24 vacation days and 16 paid holidays annually, including the entire last week of December
