Key Responsibilities
Office & Administrative Support
Greet and assist office visitors, respond to emails, and manage incoming deliveries.
Maintain general tidiness and supply inventory in the office.
Support staff with clerical duties, data entry, and administrative requests.
Prepare and edit reports, documents, and presentations.
Keep both physical and digital filing systems up to date and organized.
Maintain a clean, welcoming office environment through routine tidying and organization.
Document Preparation & Management
Assist in preparing documents and spreadsheets as needed.
Input data into project management or job-tracking platforms.
Maintain communication templates, notes, and correspondences.
HR & Compliance
Facilitate new employee onboarding and system orientation.
Maintain employee records, assist with payroll processes and basic bookkeeping.
Track and manage insurance policies, licenses, and certification renewals.
Handle sensitive information and documents with professionalism and discretion.
Qualifications
Required:
High school diploma or equivalent (Associate or Bachelor's preferred).
Proven administrative experience, preferably in a construction, electrical, or trade setting.
Proficient in Microsoft Office Suite, Adobe, Slack, and general office applications.
Strong organizational, communication, and time management skills.
High level of discretion when handling confidential information.
Preferred:
Familiarity with bookkeeping, payroll, or HR documentation.
Experience with project management tools (Asana, Trello, etc.).
Understanding of OSHA standards and compliance practices.
Knowledge of job management/CRM software.
Experience with social media management and basic accounting is a plus.
