Position Overview:
We are seeking a professional, well-spoken, and friendly Office Manager & Executive Assistant to serve as the welcoming face of our office and provide vital administrative support across departments. This individual will be responsible for managing the office, day-to-day office operations, and supporting 2 EVPs. The ideal candidate is proactive, detail-oriented, and comfortable managing a variety of administrative tasks in a dynamic environment.
· Office manager for New York who will be one point of contact for all Administrative needs Managing front office and Admin liaison with the landlord Coordinating with finance / HR / IT for related activities
· Procuring supplies for the facilities clients visits, upkeep of the facility
· Ensuring timely payments to the vendors
· Co-ordination with other Admin team members for best practices and implementation Vendor management / cost control / getting quotations on various initiatives / understanding budgets.
· Monitoring Snacks setups for any leadership meeting.
· Graduate level qualifications with sound knowledge of computers (Presentation, word, excel.)
· Work requires professional written and verbal communication and interpersonal skills.
· Minimum of 2 years of prior experience as office administrator & front office
· Prior experience in managing Admin works.
· Prior experiences of working for a reputed organization preferably IT setup.
· Knowledge of Admin related finance, accounting, budgeting, and cost control principles.
· Ability to analyze financial data, statements, and projections.
· Ability to achieve desirable outcomes while remaining fiscally responsible.
· Ability to lead and participate in and facilitate group meetings.
Work Environment:
Onsite role, Monday–Friday 8am – 5pm
Front-facing position in a professional office setting
Occasional lifting of packages or supplies (up to 25 lbs)
