We’re looking for an Assistant Operations Manager who’s detail-obsessed, people-savvy, and ready to help take our internal operations to the next level — with polished systems, crisp communication, and just the right dash of creativity.
This isn’t a remote role. This is a sleeves-rolled, heels-or-loafers-on, in-the-office kind of position where your presence, energy, and clarity help drive the rhythm of the team. You’ll work directly with the COO to build the infrastructure that keeps us sharp: clean workflows, smooth onboarding, smart reporting, and documentation that actually gets read.

What You’ll Do
Executive & Operational Support
• Assist the COO with planning, reporting, internal communications, and team initiatives.
• Keep special projects moving with organization, polish, and follow-through.
Process Design & Systems Thinking
• Draft and refine procedures that help us scale — and keep us sane.
• Maintain our Firm Operations Manual using Trainual and other tools.
• Spot inefficiencies and bring smart, forward-thinking solutions to the table.
Accounts Receivable & Financial Operations
• Own our AR process from top to bottom — from invoicing and tracking to gentle-but-clear collections.
• Partner with attorneys to ensure proper trust deposits and accurate billing cycles.
• Keep our financial records tidy and our internal standards airtight.
Training, Onboarding & Culture-Building
• Create engaging onboarding materials and training content that sets new team members up to shine.
• Build structured learning experiences that are clear, interactive, and culture-rich.
• Inject fun into the serious stuff — think play-based process rollouts, team challenges, and moments that matter.
Who You Are
• You hold a bachelor’s degree in Business, Communication, Technical Writing, or a related field.
• You have or are working towards an MBA or other advanced organizational degree.
• You’ve got 3+ years of experience in operations, internal training, or systems coordination — ideally in a fast-paced or professional services setting.
• You write like a human, think like an analyst, and organize like your life depends on it.
• You’re familiar with or certified in the Dare to Lead approach to leadership — and you’re comfortable giving and receiving feedback with clarity, compassion, and courage.
• You value direct, kind communication and believe trust is built through accountability, boundaries, follow through, ownership, and generosity not perfection.
• You’ve worked with QuickBooks, the Microsoft Office Suite, and tools like Trainual.
• You believe professionalism isn’t about formality — it’s about being consistent, clear, and dependable.
• You’re energized by a challenge, unbothered by a little chaos, and grounded in the belief that people thrive when systems do.
• You’re comfortable creating and analyzing reports and using pivot tables in Excel to spot patterns and make smart decisions.
