Position Overview:
The Business Operations Support (BOS) Assistant will provide comprehensive support to the BOS team, which serves both Store Operations and our corporate division, the Store Support Center (SSC). This role is responsible for managing daily functions, including business reporting and surveys, supply procurement, travel coordination, as well as expense and budget management. Additionally, the BOS Assistant will contribute to multiple ongoing projects designed to enhance the efficiency and quality of our business operations.
Job Responsibilities:
Provide comprehensive support to the BOS team, which services both Store Operations and the corporate division, the Store Support Center (SSC).
Develop, implement, and manage responsibilities in accordance with directives issued by the supervisor.
Assist with the administration of business reporting and surveys, including routine weekly/monthly analysis as well as ad-hoc projects.
Support procurement activities for stores, encompassing store supplies, IT equipment, cash change, and related needs.
Coordinate travel arrangements and oversee expense and budget management for the Store Operations team, including effective communication and guidance for store associates.
Maintain regular communication with store managers, area managers, and other key stakeholders within stores.
May be required to provide on-site support for new store openings or major events or busy seasons as part of the Store Operations team.
May need to communicate with our Global Headquarters (GHQ) members who are located in Japan
Contribute to multiple ongoing initiatives aimed at improving the efficiency and quality of business operations.
Fulfill additional assignments as required, including any related duties assigned by the direct supervisor.
Qualifications:
1–3 years of administrative or sales/store operations support experience.
Bachelor’s degree preferred; equivalent work experience accepted.
Experience working in a retail environment is preferred.
Strong verbal and written communication skills, with the ability to communicate effectively with all levels of internal and external customers.
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams, Forms).
Skills in VBA Macro, RPA, and/or Copilot are advantageous but not required.
Highly organized and detail-oriented, with the ability to prioritize tasks and manage multiple responsibilities.
Able to anticipate needs, solve problems, and make sound decisions while maintaining composure under pressure.
Self-motivated and personable with a flexible approach to assigned tasks.
Capable of exercising independent judgment and initiative within established guidelines.
Able to maintain confidential information.
Regular and reliable attendance and punctuality.
Understanding of Japan or East Asia high-context culture is considered helpful but not required.
