CENTRAL OFFICE RECEPTIONIST/ADMINISTRATIVE ASSISTANT

The Central Office Receptionist/Administrative Assistant is based in the Central Office of Waterville Public Schools, located at 25 Messalonskee Avenue. The WPS Central Office oversees business operations for the public schools of Waterville, Winslow, and Vassalboro.
Position Overview
The Central Office Receptionist/Administrative Assistant provides essential administrative support to the Superintendent, Assistant Superintendent, and Finance Director, and helps ensure the smooth operation of the WPS Central Office. This role manages a wide range of duties, including high-level administrative tasks, reception, and serving as the primary point of contact for internal and external inquiries. The position offers:

Qualifications
Minimum of 3 years of administrative support experience, preferably in a school or educational setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Sheets, Drive), virtual meeting platforms (e.g., Zoom, Google Meet), and other relevant office technologies.
Strong initiative, organizational skills, attention to detail, and accuracy in work.
Strong verbal and written communication skills.
Professional, cooperative, and respectful of the beliefs, opinions, and confidentiality of others.
Ability to multitask, prioritize assignments, and manage time efficiently in a fast-paced environment.
Primary Responsibilities
Receptionist Duties
Greet and assist visitors, answer phones, and route calls and messages to the appropriate departments.
Respond to general inquiries and provide information about policies, procedures, and upcoming events.
Maintain office supplies, order materials, and ensure that office equipment is functioning properly.
Manage visitors and maintain security protocols in line with school policies.
Schedule appointments and maintain district leadership and office-wide calendars.
Administrative Assistant Duties
Prepare and edit communications, reports, and presentations to support district leadership.
Coordinate and manage meetings, schedules, purchases, travel, and event registrations for the Central Office.
Oversee and document key district processes, including hiring, background checks, and student transfers.
Provide administrative support for state and federal grants, special projects, and reporting requirements.
Maintain and safeguard confidential records while serving as a professional liaison between district leadership, the School Board, staff, families, and the community.
