Executive Assistant (Contract Role)

My client, a leading player in the independent power generation and energy infrastructure investment space, is seeking an experienced Executive Assistant to provide interim support for their private equity team. This is an onsite contract role while the company conducts a permanent search, and if there is strong alignment, the role may extend further.
About the Role
The Executive Assistant will support a high-volume, fast-paced private equity investment team. This role requires strong organizational skills, the ability to juggle competing priorities, and experience working in finance, investment management, or private equity environments. The EA will be working closely with a large private equity team, supporting about a dozen Principals (handling all or at least half of them) as well as a Managing Director, a Vice President, and several Associates.
Key Responsibilities
- Provide proactive calendar management and meeting coordination for senior executives and principals, including frequent scheduling across time zones
- Manage high-volume email correspondence and act as gatekeeper for the team’s priorities
- Coordinate complex domestic and international travel itineraries, accommodations, and logistics
- Assist with preparation of investor decks, presentations, and meeting materials; liaise with internal departments to ensure accuracy and timely delivery
- Process expenses and invoices with a high level of attention to detail
- Handle confidential information with discretion and professionalism
- Support team events, offsites, and investor meetings as needed
- Serve as a central point of contact for internal and external stakeholders, ensuring efficient communication and follow-up
- Provide general administrative support including document management, filing, and office coordination
Qualifications
- Prior experience supporting executives in finance, private equity, or investment management environments is strongly preferred
- Excellent communication and interpersonal skills, with a client-service mindset
- Proven ability to manage competing demands in a fast-paced, high-pressure environment
- Highly organized with strong attention to detail and follow-through
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and ability to pick up new systems quickly
