What We Are Looking For With This Role
We need a remote, work from home, Executive Assistant (EA) to the CEO.
The EA must have excellent communication skills, both written and spoken.
The EA must have strong judgment – being able to understand when something should be escalated to the CEO.
Organization skills are a must – handling logistics, email, multiple calendars and staff requests. The EA will be handling tradeshow support and following through on projects.
Research skills are a must too – as the EA will work to find potential leads, research companies and put together lead lists for follow up.
The EA must also have strong detail orientation, fact finding and follow through.
The EA will the right hand of the CEO and as such a very important role!

· You’ll be graded on how quickly and accurately you perform tasks with minimal intervention from the CEO
· Once you have mastered the EA role, there are opportunities within the company to be promoted and considered for other roles such as Project Managers, Client Managers or to have an increase in salary at the EA position.

Key Responsibilities & Outcomes
• Maintain a CEO calendar that is always organized one week in advance and reviewed six weeks in advance.
· Set up client and other vendor calls as needed
• Set and confirm all meetings (client, staff, and personal) within 24–48 hours
• Review inbox daily; handle 90% of emails per SOP and escalate only when needed.
• Send social media receipts and other documentation to clients/finance managers within 24 hours of request
• Organize travel: flights, hotels, itineraries, and communicate clearly
*Perform research as requested. This may include researching for clients as well as prospecting.
• Handle ad hoc requests with speed, discretion, and accountability
• Think two steps ahead — anticipate needs before they arise
• Update and maintain SOP documentation for recurring tasks
* Help organize folders, images etc for CEO as well as company
*Assisting with personal tasks as well – travel arrangements, personal appointments such as doctor, dentist etc. Set up and monitor. Arrange pet care appointments. Assist with CEO’s family appointments as needed.
Success Metrics
• CEO always knows what’s coming up in the day/week
• Inbox triaged daily with <10% of emails needing CEO attention
*Networking outreach performed daily
*Sales funnels and supporting research implemented and are accurate and timely
• Receipts/documents sent to clients within 3 hours of request if during shift and within 24 hours if request comes when not on shift
• All meetings properly confirmed and added to calendar in a timely manner
• Travel booked with clarity and efficiency
• Ad hoc tasks handled within 24–48 hours unless urgent
• Processes improved and SOPs updated regularly

• Strong English proficiency – both written and spoken
· Willing to overlap for at least two hours with US (New York EST) time zone
· Willing to use Everhour or other time tracking software – as we bill clients we must keep track of our time
· Remote working. This is a remote (work from home) position – you must have excellent Internet access, a quiet spot to work with focus and enjoy working from home

Qualifications
• 2+ years of experience supporting an executive or team
*Writing skills commonly found in the U.S. business communication
• Excellent written and spoken English
• Strong organizational and time management skills
• Familiarity with Google Calendar, Gmail, Google Drive, and Slack
• Calm under pressure and responsive to shifting priorities
• Comfortable communicating with clients and internal team members
• Experience in digital marketing, agency, or service-based business preferred
• Detail-oriented and proactive — you love staying ahead of schedule
• Discretion and professionalism are a must
· A college degree is a plus. High school degree required.
