Position Summary
Following NAV & Associates’ best practices and reporting to a Senior Account Executive or higher, the Executive Director assists in managing operations for multiple association clients. This role supports strategic initiatives, operations, membership services, communications, conferences, and financial oversight.
Key Responsibilities
Board and Committee Support
Assist in providing leadership and guidance to Boards and committees, attending meetings, and preparing agendas and minutes as needed.
Communicate with association committees via phone, email, and in person.
Support client committees by scheduling meetings, preparing materials, and managing projects.
Facilitate committee meetings and execute decisions resulting from discussions.
Member Programs and Services
Implement strategies and campaigns to attract and retain members.
Develop new programs and benefits to meet the evolving needs of members.
Assist in drafting and distributing member communications.
Conference and Event Management
Work with leadership and event planning teams to coordinate logistics for conferences, meetings, and registrations.
Support conference planning through detailed project management, including marketing coordination, speaker engagement, and vendor relations.
Assist in preparing and sending event communications to members and stakeholders.
Financial Oversight
Monitor compliance with client contracts and assist in negotiating renewals.
Ensure adherence to budgets and propose cost-saving initiatives.
Office Coordination and Support
Assist with meeting logistics, room setups, and catering arrangements.
Maintain office supply inventory and other administrative needs.
Additional duties may be assigned in alignment with the mission and goals of Nav & Associates.
Qualifications
Bachelor's degree in business administration, marketing, communications, finance, or a related field preferred.
1-3 years of relevant experience, preferably in association or nonprofit management.
Excellent written and verbal communication skills.
Strong computer proficiency, including experience with spreadsheets, databases, and presentation software.
Ability to establish credibility with executive leadership and build strong professional relationships.
Strong customer service orientation and ability to interact effectively with clients and team members.
Ability to manage multiple clients and projects simultaneously while maintaining quality and timeliness.
Strategic thinker with the ability to prioritize based on client needs and company objectives.
Flexibility, adaptability, and a proactive approach to problem-solving.
Experience working with and motivating volunteer leadership is a plus.
Experience with the following softwares a PLUS: WildApricot, Higher Logic, Quickbooks, M365.
