Job Description
General Scope of Duties
Serves as Administrative Assistant to the Director of Campus Safety and Emergency Operations, Associate Director of Campus Safety, and supports the overall Campus Safety and Camel Card Office operations. Under direction from the Director of Campus Safety and Emergency Operations, performs a wide variety of administrative duties related to Campus Safety and Emergency Operations and Camel Card Office Operations, including managing the Campus Safety Transportation Fleet, issuing new and replacement Camel Cards, maintaining department files consisting of correspondence, incident reports, policy and procedure manuals.
General Duties and Responsibilities
Maintain department files consisting of correspondences, incident reports, invoices, documents.
Respond to calls and in-person visitors to the office by providing information/assistance and/or direct to appropriate personnel
Manage appointment calendar and schedule meetings for the Director and Associate Director
Order equipment supplies and request repairs and work orders as necessary
In coordination with the director, supervise student workers assigned to the CamelCard Office
Coordinate the DMV background process for approved college drivers and support the T2 Parking System by executing the parking program by issuing decals, record keeping, and inventory
Enter payroll information into the College payroll system for Campus Safety staff
Oversee the issuance of administrative keys and other building access
Maintain uniform inventory documents for Officers
Responsible for managing college fleet vehicle reservations
Maintain files on all safety equipment and devices and uniforms
Administer the campus-wide “one-card system,” including the production and issuance of new and replacement cards
Support the College key program for Staff, Faculty, and Students, including issuing keys for administrative offices and buildings throughout the year, with a higher than normal volume of work in this area at the beginning and end of each semester
Perform data entry tasks into College systems
Other duties and special projects as assigned
It may require occasional weekend hours
Education and Skills
Associate’s degree preferred, minimum 3 years of experience working in office administration, business, educational environment or a related field required
In lieu of an associate degree, additional years of relevant experience may be considered.
Strong written and verbal communication skills
Considerable knowledge of administrative office support functions and general office equipment
Ability to learn the College’s Management Information System, Banner
Basic knowledge of personnel administration including scheduling, timesheet and leave processing
Ability to interact well with a diverse population and provide high customer service to students, faculty, staff, and visitors.
Proficient in Google, Microsoft, Google Meet, Zoom, Excel
High integrity is needed to handle confidential information
Attention to detail
Ability to work independently, be well-organized, and work under pressure
