Office Manager – Family Office
The Single Family Office of a prominent hedge fund executive and ultra-high net worth individual is hiring for an Office Manager to run the day-to-day operations of the boutique office. The ideal candidate will help foster and create a welcoming and efficient work environment, manage a small team of administrative staff, and coordinate internal events.
Salary commensurate with experience $130-150k range + bonus + fully paid benefits, 401k match, free meals, gym and flexible PTO policy
The role is hybrid - required to be onsite 4 days/week in Midtown West, NYC, but need to be flexible to go onsite 5 days as needed, working 9am-5:30pm generally
Qualifications:
• 10+ years of experience in office management, administrative operations, and ideally some previous EA experience as well.
• Excellent interpersonal and communication skills with the ability to handle confidential information.
• Experience managing a team or providing oversight to administrative personnel is preferred.
• Proficiency in Microsoft Office Suite; familiarity with scheduling and communication tools a bonus.
• Honest, resourceful, proactive, self-motivated, collaborative, flexible, respectful, driven by the highest ethical standards and values.
Responsibilities:
• Oversee daily office operations and ensure all facilities are running efficiently.
• Maintain office supplies, equipment, and vendor relationships.
• Serve as the main point of contact for building management and service providers.
• Coordinate and manage conference room bookings and logistics.
• Oversee Executive Assistants, ensuring high-quality administrative support across the organization and provide coverage during PTO.
• Assist in new hire onboarding, including desk setup, welcome materials, and office tours.
• Plan and execute engaging internal events as requested by executive team.
• Coordinate logistics, vendors, venues, and communication to ensure successful event execution
• Ensure meeting spaces are clean, well-stocked, and functioning properly.
• Supervise front desk activities, including managing internal and external inquiries, greeting guests, receiving deliveries, and offering refreshments.
