LIM College - Where Business Meets Fashion is currently seeking candidates for the position of Office Manager for the Office of Counseling Services.

General Description

LIM College educates students for success in the global business of fashion and its many related industries. Located in midtown Manhattan - the fashion capital of the world - and devoted exclusively to the study of business and fashion, LIM College fosters a unique connection between real-world experience and academic study in business principles. Undergraduate students may major in Fashion Merchandising, International Business, Management, Marketing or Visual Merchandising. At the graduate level, LIM College offers an MBA program as well as MPS programs in Fashion Marketing, Fashion Merchandising & Retail Management, Global Fashion Supply Chain Management, and Visual Merchandising.

POSITION PURPOSE

Responsible for overseeing and performing the full range of varied, highly confidential, and complex customer service and administrative assignments in support of counseling and other wellness services. The Office Manager for the Office of Counseling Services will oversee the counseling environment to help students achieve their personal and educational objectives. This includes protecting the privacy and confidentiality of the students in the office; assisting with the facilitation of crisis and emergency care for students in psychological distress; and communicating with Senior Director regarding urgent situations as needed. The Manager is the first to receive students, faculty, staff, family members, and off-campus guests who come to the office seeking help or direction for students. Being organized, efficient, and skilled is important, but being compassionate and empathic to people is critical.

SALARY RANGE: $45,000 - $47,500/Annually

Essential Functions And Basic Duties

  • Assumes responsibility for the effective performance of all assigned administrative support functions for Counseling Services.
  • Receives and screens visitors and telephone calls and either notifies staff members or records and relays messages. Directs visitors and telephone calls to appropriate staff members either within the Counseling Services office or to outside offices within the College.
  • Oversees counseling appointment scheduling and calendars. Maintains office statistics.
  • Assists in the assembling, establishing, and maintaining of confidential records and information systems, such as student files, reports, and a wide range of office policies and procedures.
  • Oversees and purchases office supplies and renews annual membership subscriptions.
  • Assists with the coordination and implementation of events and programs (i.e., campus facility requests, booking speakers, ordering and receiving refreshments, advertising programs, etc.).
  • Assists the Director with accurately maintaining the department budget, oversees the processing of invoices, vendor contracts and payments.
  • Assumes responsibility for coordination and maintenance of immunization and other health record compliance.
  • Outlines and details immunization requirements for students, and staff. Make sure all published materials, including the College’s website, is up to date on current NYS requirements.
  • Collects student immunization records and maintains an organized, easy to use, and efficient filing system for immunization records.
  • Follows up with students who are non-compliant with the requirements and/or have not submitted immunization records.
  • Maintains department statistics regarding student immunization records. Serves as a compliance officer and reports immunization data to NYS Department of Health.
  • Assists in the collection and maintenance of other health records, (i.e., study abroad health clearance forms) as needed.
  • Assumes responsibility for assisting students and parents with community referrals for mental and physical health.
  • Connect students in need and/or their parents with available resources in the community.
  • Provides basic consultations to students and other community members on medical withdrawals.
  • Perform other duties as assigned.


REQUIREMENTS: The person selected will have the following qualifications:

Minimum Required Qualifications:

  • Bachelor’s degree required. Master’s degree preferred.
  • 2 years of administrative experience required, preferably within a college setting.
  • Experience working with psychological counseling and accessibility services preferred.
  • Knowledge of word processing, spreadsheet, and other related computer applications.
