A Well-established Operational Growth Investment Firm (25p. Soho-based office) is seeking a new Full-Time/Permanent Office Manager to join its growing NYC office and oversee daily operations. This is a newly created position! This role involves coordinating administrative functions, supporting executive staff, and managing the office to enhance productivity. Candidates must have a minimum of 3-5+ years of applicable administrative/office management experience and a Bachelor’s degree is strongly preferred. Must be tech savvy and a notary authorization is a huge plus! Ideal candidates should be extremely polished/professional, proactive, organized, friendly, resourceful, accustomed to working in a fast-paced environment, and possess excellent interpersonal, communication, and problem-solving skills. This office houses many of the firm’s private investment professionals who are incredibly nice and welcoming!
Salary depends on experience (90-120k base), plus discretionary bonus eligibility. 100% company paid medical/dental/vision/etc. for employee and any dependents. 401k (no match) – eligible to enroll after 90 days. 15 vacation days, 40 hours of sick time (1 week), vacation policy can be flexible as needed.
Hours are 9:00am-5:00pm. 5 days/week in office.
Responsibilities:
Oversee daily operations, ensuring a smooth and efficient office environment.
Manage the front desk, greet guests with a positive attitude, and act as the liaison between the Firm and building management.
Monitor visitor access and maintain security awareness, manage visitor log with security.
Maintain conference room calendars.
Oversee office operations, including restocking, organizing, and cleaning the kitchen, copy room, storage room, and conference rooms.
Schedule and coordinate office meetings, including booking conference rooms and arranging meals.
Liaise with facility management vendors, including cleaning and security services.
Screen, answer, and direct incoming calls to employees and staff.
Handle deliveries and pickups via FedEx, UPS, USPS, and distribute employee mail and packages.
Deliver top-tier administrative support to senior executives, ensuring meticulous attention to detail and a service-focused approach.
Coordinate with building management for maintenance support, repairs, and other miscellaneous requests.
Provide support for minor company event management, including logistic planning and arrangements.
Required Qualifications:
Minimum 3-5+ years of experience in office management or administrative roles.
Bachelor’s degree strongly preferred but not required.
Excellent time management skills and the ability to multi-task and prioritize work.
Strong verbal and written communication skills.
Proactive nature. Takes on projects and initiatives to improve the office environment and keep things running efficiently.
Positive attitude and a strong willingness to pitch in whenever needed.
Confidentiality. Must maintain strict confidentiality with sensitive information.
