The Outpatient Admin and MA provides virtual support to the Outpatient and IOP/PHP Programs. The Administrative responsibilities are with the Outpatient program and involve orienting new families to the Virtual Outpatient program and being available for families to provide linkages to other departments (billing, admissions, etc). The MA duties include providing support to the psychiatric practitioner and families with medication changes and refills.
Essential Functions and Duties:
Administrative:
Conduct new client initial consult meeting
Verify insurance and discuss payment options
Support families with scheduling appointments and rescheduling as needed
Collaborate with admissions teams and outpatient teams for step up in level of care as needed
Manage hand-off of incoming clients from admissions team
Set up portal login and assist families with troubleshooting
Provide support and linkage for parents seeking assistance with billing, insurance or step up to higher levels of care.
MA Duties:
Welcome and orient new clients and parents to Evolve and provide information about psychiatrist meetings, refill protocols, and ways to reach out to the psychiatric practitioner in questions or concerns arise
Help facilitate client admissions and discharges and ensure clients leave with a Discharge Plan and an adequate supply of medication
Complete documentation in an efficient and timely manner, including assessments, medication, and entering psychiatric practitioner’s orders.
Verify medications for new clients brought into IOP/PHP and ensure pharmacy information is accurate for each client
Clarify with Psychiatric Practitioner all med changes and send weekly email update to the team after psychiatry appointments regarding psychiatric practitioner’s recommendations for the week and status (i.e., consents)
Contact parents regarding med changes, clarification, consents and when RXs are sent to the pharmacy and document appropriately in KIPU
Submit medication orders via eRx KIPU, orders for labs via LabCorp, and log UAs in KIPU accurately Communicate with Program Coordinators on any correspondence with parents, when/if their med request is being taken care of
Requirements:
Valid Medical Assistant Certificate
Minimum of one year experience as a medical assistant.
Must be able to pass a background check
Strong customer service skills and ability to handle high volume phone calls and emails
Possess strong verbal and written communication skills
Able to work effectively with multi-disciplinary teams.
Available to work remotely (all hours Pacific Standard Time) 18 hours per week; 1pm – 5 pm Monday to Thursday and Saturday 10am-12pm. (After Sacramento treatment center opens move to 22 hours per week 12 – 5 pm Monday to Thursday and Saturday 10am-12pm)
This is a Part-Time, remote position. Payrate: $24-25/hour
