Position Summary: We are seeking a proactive, professional, and detail-oriented Receptionist / Office Manager with 3–5 years of front office and administrative experience—ideally within the life sciences or healthcare industry. This individual will not only manage daily reception and office coordination but will also support executives and assist in light marketing, scheduling, and event logistics as the office grows. This is a great role for someone with a background in administrative support who is looking to grow into a broader operations or office management position.Responsibilities:
Greet and welcome visitors, vendors, and employees with professionalism and warmth
Answer and direct incoming calls; relay accurate messages as needed
Maintain an organized and welcoming front desk and reception area
Manage appointment scheduling and calendar support for the CEO and President
Coordinate travel arrangements and meeting logistics
Order and maintain inventory of office supplies
Perform clerical tasks: data entry, document prep, formatting, and internal correspondence
Assist with proofreading and formatting marketing materials and internal documents
Support planning and logistics for trade shows, conferences, and company events
Monitor and support basic social media activity or content posting
Distribute mail and coordinate deliveries
Coordinate repairs or troubleshoot office equipment as needed
Serve as a point of contact for facilities, vendors, and building operations
Provide support to various departments as the business scales
Maintain discretion in handling confidential or sensitive company matters
Requirements:
3–5 years of experience as a receptionist, office assistant, or office manager
Associate’s or Bachelor’s Degree in Business Administration, Marketing, Life Sciences, or related field
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent verbal and written communication skills
Organized, adaptable, and able to multitask in a fast-paced environment
Experience in a biotech, pharma, med device, or healthcare-related setting preferred
Basic understanding of marketing platforms and social media tools a plus
Ability to handle confidential information with integrity
