Use Facilitator for AI Notes during chats and meetings
- If your organization has the Microsoft 365 Copilot subscription, you can take advantage of AI notes in your chat conversations and meetings. This feature is sometimes referred to simply as AI notes. But in 2025, it is expected that it will be renamed to Facilitator, possibly with additional features. So, first, you can go to the chat section and select a chat conversation. Near the top right, you'll see the button for AI notes or for Facilitator. This will only be there for Copilot subscribers. This opens the AI notes panel. Now, you will need to turn this on for each chat conversation where you want to use it. I could click this turn on button here, or click the control button near the top. And from here, you can turn the AI notes on or off at any time. When one person in the chat turns this on, it will be on for every participant in the chat. After that, whenever you open the panel, you will see notes about your recent chat messages generated by the Copilot AI. This is an organized summary to help you find important information from the chat without going back and reading all of the messages. Now, you can also use AI-generated notes in scheduled meetings. You can turn on the AI notes during a meeting. Or when you schedule a meeting, you can set it to automatically start the notes when the meeting starts. So, I'll go over to the calendar section and I'll click the button at the top to make a new event. And we'll give this a name. And add somebody to the attendees list. And if you are using the classic calendar, there will be an option directly below the attendee field to enable AI-generated notes. Or if you're using the new calendar like I am here, you can click the meeting options button up at the top. And in the meeting options, go to the category for Copilot and other AI, and you can enable the AI-generated notes here. So, the AI notes will start when the meeting starts. So, I'll need to click save. And if this is all set, I can click send to save this meeting and send the invitation to my teammates. And now, I see that meeting is on my calendar. I'm going to join that meeting. And here on the join screen, I'll click join now so we can go into the actual meeting. So, here in the meeting, I see a notes button up at the top. You can click that to open the notes panel. If the meeting was set to start the AI notes automatically, there will be notes here starting from the beginning of the meeting. But you can also come to this panel and click on this sparkle button and you can turn the AI notes on or off at any time. Now, it cannot offer notes about anything that was said before the AI notes feature was turned on. So, make sure to turn this on if you need it. Now, of course, we're not going to see any usable notes here because there's nobody else in this meeting. But for your real meetings, you will see this notes panel fill up with AI-generated notes, summarizing and organizing what was discussed. But for now, I'm just going to leave this meeting. After a meeting scheduled time has ended, you can double click on it on the calendar to see information about it. If you're using the classic calendar, you will see a recap tab at the top. Or in the new calendar, you will see a summary of information from the meeting here on the event page, including the AI-generated notes, so you can review them after the meeting.
