Electronic signature and the database log in D365FO
In D365FO you can use electronic signature functionality. By tables or fields that you select for electronic signature, users need to confirm their changes with a password to be able to save the change. The changes based on electronic signature will be saved in the database log and these records can not be deleted.
To use the functionality the configuration key for Electronic signature needs to be enabled:
Then the users needs to enter their own password that they will use when electronic signature is necessary. In the user options (tab Account) they can click on 'Get certificate':
A pop up will follow where they can enter (and repeat) their own password:
After saving this, the certification options by the user will be changed:
Now for using the electronic signature you have to set up some basic parameters. By example if you require comments by changes that needs to be confirmed with this electronic signature:
When the basic parameters are entered, you can setup the tables or fields where you want the confirmation of changes via the electronic signature. In this case I select electronic signature for the VendBankAccount table and select that all changes must be confirmed (insert, change and delete actions):
With this setup saved I change a bank account number on a vendor bank account. When I want to save the change, a pop up follows that I need to sign the change:
I enter the reason code and comment and click on 'Ok'. Now a new pop-up follows where I have to enter my password (certificate in the user options):
After confirming this, the change on the vendor bank account is saved. Because I had already database logging enabled on the vendor bank account, I get two lines of this change in the database log. But the change based on electronic signature has an extra signing checkmark saved in it:
In the database log I can normally delete lines that are saved here, but this is not possible for database log lines based on electronic signature:
So the electronic signature will make sure that selected changes always be confirmed by a user password and that these changes will always be saved in the database log.

2yHi Hylke Britstra, Is there any way that User A make the change on the form and it will electronically signed by someone else (User B). I tried this, If we change the user id in form (A to B), then it ask for the password of the B. Regards, Ankit
