PivotTables are one of the most powerful tools in Excel for data analysis. But while many users focus on building the right structure, they often overlook a critical aspect — presentation. That’s where the PivotTable Design tab comes in.

The Design tab, available once a PivotTable is selected, allows you to enhance the appearance, clarity, and readability of your data — all without any formulas or complex steps.

This article provides a complete breakdown of what you can do with the Design tab in Excel’s PivotTable Tools.


🔹 Where to Find It

Once you click inside a PivotTable, Excel adds two contextual tabs to the ribbon:

  • PivotTable Analyze

  • Design

Click on Design, and you’ll see a range of formatting and layout options specific to your PivotTable.

🎨 1. PivotTable Styles

The PivotTable Styles group lets you apply professional themes with a single click.

✔️ Style Gallery

  • Choose from Light, Medium, and Dark styles

  • Quickly enhance visual appeal for reporting

🛠️ New PivotTable Style

  • Define your own branded style

  • Customise formatting for:

Use this when working in templates or with company branding.


🧩 2. Layout

This group focuses on how the PivotTable is structured visually and printed/exported.

📋 Report Layout

  • Compact Form (default): Saves space by nesting rows

  • Outline Form: Each field in its own column

  • Tabular Form: Like database tables – best for exports

🔁 Repeat All Item Labels

  • Repeats group names for every row (great for printing or exporting to CSV)

  • Similarly we have a option do not Repeat labels

➖ Insert Blank Line After Each Item

  • Adds visual spacing between groups for improved readability.

  • Similarly, we have an option to remove a Line after each item

🔢 Subtotals / Grand Totals

  • Highlights totals using styles applied above (Note: Totals behaviour is controlled via the Analyze tab, but styling is handled here)

These toggles control which elements of the PivotTable are emphasised through formatting.

✅ Row Headers / Column Headers

  • Bold and highlight headers for clarity

🟦 Banded Rows / Banded Columns

  • Apply alternate shading:

  • Use Banded Rows in reports meant for printing or dashboards.

  • Prefer Outline or Tabular layout when exporting to other systems or databases.

  • Turn off Subtotals/Grand Totals when doing cell-level analysis or calculations elsewhere.

  • Choose styles that don’t overpower the content — keep formatting subtle and profession
