Most new Business Analysts focus on wireframes, dashboards, and user stories. But a use case document is one of the most underrated assets that saves hours in back-and-forth.

📄 Use Case Document: The BA’s Secret Superpower

Imagine you’re explaining to a delivery boy exactly how to bring ice cream to your house. You tell him:

  • Who will call him

  • Where to go

  • What to do if the gate is locked

  • What to do if you’re not home

  • What to do if the ice cream melts

That, my friend, is a Use Case Document in business terms. 😄


🧠 So, What Is a Use Case Document?

A Use Case Document is a simple step-by-step story of how a user interacts with a system to complete a task.

It explains:

  • Who is using the system (actor)

  • What they want to do (goal)

  • How they’ll do it (steps)

  • What happens if things go wrong (alternate paths)


🛒 Let’s Compare It with a Real Example

🛵 Scenario: Canceling a Food Delivery Order

Use Case Title: Cancel Order After Placing It

  • 👤 Primary Actor: Customer

  • 🧭 Goal: Cancel a food order after payment

  • Basic Flow:

  • 🔀 Alternate Flow (if food already dispatched):


👶 Easiest way to understand:

Let’s say:

  • You ask your friend to bring you a ball.

  • You tell him where the ball is.

  • What to do if the door is locked.

  • What to do if the ball isn’t there.

That’s a use case. You are the user, the system is your friend, and the goal is to get the ball.
