This is one of my favorite features within the ChatGPT interface. After reading this blog article, you’ll see how it just might be yours as well. So… If you’re in sales or managing a team or even supporting a team, you’ve probably wished for an extra set of hands, more time, or even an extra brain more times than you can count. What if I told you that technology has brought us something pretty close? It’s called ChatGPT Projects, and it’s changing the way sales teams access information quickly, and handle customer questions, and objections more efficiently.

Let’s dive into what ChatGPT Projects actually are, how they work, and why they’re a must-have tool for your sales team.

 

What Are ChatGPT Projects?

ChatGPT Projects provide a dedicated workspace where users can store critical information, upload documents, and interact with AI in a structured, ongoing way. Unlike a typical chat session, where information is lost once the conversation ends, Projects retain uploaded files and context, allowing you to return to them at any time.

For sales teams, this means having instant access to pricing sheets, product FAQs, training materials, and competitive insights—all in one place. Setting up a ChatGPT Project is simple. You start by creating a new project within the ChatGPT interface, then upload files such as PDFs, Excel spreadsheets, PowerPoint presentations, and Word documents. Once those files are in place, you provide instructions that tell the AI how to respond, what data to prioritize, and what kind of tone or approach it should take.

Because the AI retains knowledge from these files, sales reps can ask real-time questions about their products, pricing, or competitive positioning and receive immediate, AI-generated responses based on the uploaded data.

This feature alone eliminates the need to shuffle through product documents, technical memos, shared files, website landing pages, manuals, Terms and Conditions, or wait for a manager to provide answers.

If strategies shift or new information becomes available, updating a Project is seamless—just upload new files, adjust the instructions, and the AI will align with the latest messaging.

Many people confuse ChatGPT Projects with Custom GPTs, but they serve entirely different purposes.

Projects: are designed for internal use, allowing users to upload and store files for AI reference, making them an ideal tool for sales enablement, knowledge management, and research. However, they cannot be shared externally or integrated with external APIs.

Custom GPTs: on the other hand, are fully customizable AI models that allow for deeper personalization, API integrations, and external sharing. If you create a Custom GPT, you can share it via a public link, enabling others to interact with it. Custom GPTs also store uploaded files for chats.
