    I recently sat down with the CEO of a nearly 8 billion company in his office, and I was struck by his deliberate approach to time management. All executives keep a full schedule and must master effective time management. However, he took "hyper-scheduling" to another level—but with a thoughtfulness that transformed what could be an oppressive system into a powerful tool for effectiveness. Every minute of his day was accounted for. And I mean every minute. The real kicker? This was all printed out on a sheet on his desk and on the white board in his office. A constant visual reminder of his time allocation. What struck me the most about this approach was the intentionality. By having every commitment visibly mapped out, he gained complete awareness of his time allocation. This transparency made it impossible to ignore when he was overcommitted, forcing conscious trade-off decisions rather than simply cramming more into an already full day. Time as a Fixed Currency He viewed his calendar as a fixed budget that couldn't be exceeded. When a new opportunity arose, he would have to open his calendar and ask, "What am I willing to remove to make room for this?" This forced immediate prioritization decisions rather than defaulting to "yes" and figuring it out later. So, I know what you’re thinking, that this is a cool story, but what’s the benefit to this approach? → Strategic Focus By pre-deciding where his time goes, he prevents reactive work from dominating his day. → Reduced Decision Fatigue The system eliminates hundreds of small daily decisions about time allocation. → Psychological Clarity Having a visual representation of time commitments creates clear expectations. → Improved Meeting Quality Unconventional meeting lengths force preparation and focus. → Value-Based Time Allocation The system makes it easy to reassess if time allocations still match priorities. The transparency of the system makes it impossible to fool himself about where his time actually goes versus where he claims his priorities lie. Most people's relationship with time is passive.     In today’s hectic environment, it's easy to feel overwhelmed by constant tasks and distractions. To truly excel and regain control over our time, focusing on what matters is essential. This involves embracing mindfulness and conducting regular time audits. Mindfulness, or being fully present, is crucial for productivity. It helps us concentrate on one task at a time, improving work quality and reducing stress. We can start with a few minutes of deep breathing or meditation daily and take short, intentional breaks to recharge. This simple approach can significantly boost our focus and overall productivity. A time audit means tracking and analyzing how we spend our hours. Documenting our activities for a week helps identify patterns and inefficiencies. Are there tasks consuming more time than they should? We can use these insights to adjust our schedule, eliminate unnecessary activities, and focus on what drives meaningful progress. Regular reviews ensure our time aligns with our core objectives. By defining our short-term and long-term goals, we can guide our daily tasks and prioritize effectively.     Do you ever feel like there just aren’t enough hours in the day while others around you seem to be doing so much more? Over the past few years, mastering time management has become an obsession of mine. Sure, there are days when I completely let loose and go with the flow, reminiscent of my previous habits. However, this doesn't last long before I feel the frustration and return to maximizing my time. Many authors have said Habits formation is a System and cannot depend only on Willpower - integrating this idea as well is key. I've developed and shared a framework in several facilitated sessions that I call the 3A Framework: Awareness, Adjustment, and Adaptation. Briefly, it goes like this: Awareness: I track my time in Excel and use a monthly pivot table to identify tasks that add value. This helps build awareness of how I spend my time and what I want to prioritize—not just for my business, but also for my personal needs. I often use the Eisenhower Matrix to decide what’s important for the upcoming month. I have also come to realize that Time Management is actually Energy Management - what should I put energy into and when is my energy aligned to the type of things I want to do. Adjustment: In this phase, I utilise techniques like timeboxing, time chunking and habit trackers, adjusting them to fit my preferences and needs. Adaptation: I review my accomplishments daily and evaluate my time spent (average) monthly. A "wins" journal keeps me motivated, and I integrate new learnings, such as habit stacking, for the next cycle. Additionally, I surround myself with driven individuals involved in various projects—they keep me inspired. When I struggle to find the energy for something, I talk to my coach. Yes, even coaches benefit from coaching! This approach has helped me continuously create time for various projects. This does not mean I do all of this every day - an average is sufficient to understand where I need to be attentive. Review of upcoming calendars for June and beyond have helped bring up some time for more projects.     Ever tried typing out a message on your phone, only to realize later that you could’ve written it much faster with a pen? The keypad is convenient, but the distractions—the notifications, the urge to check something else, the endless backspacing—slow you down. The pen, though? No redrafts. No distractions. Just clarity. Now, think about your time. Most of us don’t struggle with a lack of hours. We struggle with mental clutter— 1. Unclear priorities 2. Endless rethinking 3. The constant pull of the non-essential We keep blaming time, saying “If only I had a few more hours in a day…” when, in reality, what we need is less noise and sharper focus. The moment you remove distractions; the time was always there. Try this: ✅ Write down the three things that actually move the needle. Not the 10 that make you feel busy. Just three. ✅ Block time for them first. Everything else comes later. ✅ Remove the keypad distractions. Turn off the noise for some time. ✅ Consciously pull yourself out of multitasking.
