- 3. VGSOM Clubber Need: VGSOM Clubber application helps the various clubs at VGSOM track membership for each of the clubs. The application addresses the issue faced by all the clubs, of inviting and tracking memberships. The members have to be selected year on year which is a time consuming process that is done separately by each club. The time it takes for a member to enrol into a club is immense due to various factors such as: Gaining knowledge about a club. Club co‐ordinators giving presentations about their respective clubs. A single person wants to be part of more than one club, which makes it difficult for co‐ordinators of the clubs to handle and track their members efficiently. Immediately inviting membership for a new club.

Roles of Users The two primary users of the application are: (a) Aspirant Members: The aspirant members can look at the various clubs in VGSoM on the Home page and register through the Registration page, upon which an instant email is received on the email id provided at the time of registration. The members can then login with their credentials through a Login page and select their choice of clubs through the Membership page, thereby applying for membership. The choice made by an individual is recorded for the administrator’s approval. A non‐admin user (aspirant member) cannot create a new club.

(b) Administrator: The administrator has the capability of adding a new club through the Add a New Club page, which allows the administrator to specify the number of members within the club and provide a brief description of the club with its logo. Before adding the new club, the administrator has to login through the Login page with administrator credentials. Upon adding a new club, the administrator receives an instant email on the email id provided, confirming the creation of the new club. The administrator also manages the membership by accepting the membership applications through the AdminMembership page by clicking on the save option in the top left of the page. As the administrator accepts a membership request, the respective person (whose membership has been approved) receives an email confirming his/her membership with the respective club.

About Us The VGSOM Clubber application was conceived and implemented by four people who were deeply troubled by the inefficiencies of the membership application process at VGSOM (Vinod Gupta School of Management) IIT Kharagpur.
