• #4: When I tell people that I work for a time and attendance company, this is inevitably what most people picture. An archaic punch clock in which an employee would insert a piece of cardstock on a given day and the machine punches the time using some kind of ribbon, either in black or red ink. I call this device archaic, but actually there are still many, many employees still punching in and out on a clock just like this one …. In fact you can walk into your favorite office supply story today and leave with one of your own for the bargain price of around $300. And you might even say that this punch clock gets the job done, but with today’s technological advancements, why would you continue to use an antiquated tool?

• #7: But first let’s look back at that old-fashioned punch time clock. When I look at this from the perspective of collecting data, there are three red flags that come to my mind: Fraudulent time records Manual errors Immobility
• #8: According to a 2008 study, 74% of organizations reported to have a problem with buddy punching.
• #9: What is buddy punching? Buddy punching is the term used when a worker has a co-worker punch in or out for him or her.
• #10: An employee might think it’s really no big deal to have a friend punch him in a few minutes early since he’s running late, or punch him out a few minutes later because he has to make it across town for an appointment. But what this employee may not realize is that this is a fraudulent practice that is considered employee theft, and it’s costing companies on average 2.2% of their gross payroll each year.
• #11: What happens to the data when an employee punches in on a traditional punch clock? All of that information has to be compiled and processed for payroll, which is a situation rife with error. Even the use of spreadsheet software does little to reduce manual errors. In fact in some instances studies have found that 94% of spreadsheets contained at least one error, with the average spreadsheet having one error for every 20 cells.
• #12: Spreadsheets are more likely to contain errors when they are Complex: The more complex a spreadsheet becomes, the more likely it will contain an error. Frequently Used/Updated: Spreadsheets that are used frequently and are updated regularly are more likely to contain errors because the people using the spreadsheets can accidentally mistype into the spreadsheet. Used for a Long Time: The longer a spreadsheet is in use (month after month, or year after year), the more likely they are to contain an error. Used by Many People: More users simply equal more errors.
• #13: According to the International Data Corporation, by 2015 the world’s mobile worker population will reach 1.3 billion, representing 37.2 percent of the total workforce. These numbers are staggering, and traditional time clocks simply do not support these mobile workforces.
• #14: When we speak to organizations with mobile workers, we find that they are largely keeping track of time on scrap pieces of paper that are reported via email and then plugged into a spreadsheet… and now we know what happens to that data once it’s in a spreadsheet.
