The Member User’s Guide includes everything possible to facilitate your needs: Table of
Contents, Glossary, and Index.
The PDF version is fully linked with related topics, complete with bookmarks and
thumbnails at the left for every page, allowing easy navigation and requiring Adobe Acrobat
Reader 3.0 and above. Colored links such as the preceding sentence’s are external URLs. All
related topics and page references are hyperlinked.
Accolades Browser Tips
Your browser must have JavaScript enabled. For details on checking your JavaScript settings
in Internet Explorer, go to page 57. For Netscape, go to page 65.
The Backspace key can act as the browser's Back button or Alt-Right Arrow. It is better to
use the delete key when editing. If you have an accident, remember the next subject.
If you have a keyboard accident, remember to use CTRL-Z to undo the last action as long as
the form has not been submitted. This does not work if you've already clicked a form's
Submit or Done button. Use CTRL-Z to recover text accidentally deleted while editing a text
field.
Don't use any of the browser buttons (Back, Forward, Stop, Home) in the Navigation
(Netscape) or Standard (Internet Explorer) Toolbar of an active Accolades browser window.
Only the Print function is the only exception.
You can turn off your browser's button bar if you need more working space using the View-
Toolbar or View-Showbar enabling functions.
Special notes and cautions are marked with the icon at left.

There is no save or save file command. Data is automatically saved in the Accolades
database when you perform an action or submit a form. These changes can be edited, but
they cannot be undone.
Technical Notes
This is a list of general technical topics of which everyone should be aware.
If Accolades won’t work with your browser, it likely doesn’t have JavaScript enabled. For
details on checking your JavaScript settings in Internet Explorer, go to page 57. For
Netscape, go to page 65.
If OneSpec’s tree appears jumbled after making several version, category or feature entries,
click the Refresh the Tree button.
If your browser is acting inconsistently with Accolades, there may have been an upgrade.
Clear your browser's cache. For details on clearing the cache for Internet Explorer, go to
page 59. For Netscape, go to page 66.
If you frequently move frame boundaries, consider using Internet Explorer rather than
Netscape.
If you are getting no response from Accolades at all or it is profoundly slow despite having
only one or two active users appearing in User Licenses, have an administrator restart Java
Web Server: locally if possible, remotely if necessary.
If Accolades is issuing error messages when attempting to view or change data entries, it's
time for an administrator to restart Pervasive.SQL.

User’s Guide
Welcome
This guidebook is tailored for new Accolades ‘Member’ users, but it is also a handy off-line
reference. If you’re new to Accolades, welcome. The following procedures within will
quickly see you started.
Before we go any further, first verify your browser has JavaScript enabled. For details on
checking your JavaScript settings in Internet Explorer, go to page 57. For Netscape, go to
page 65.
Minimum System Requirements
The following are the minimum requirements for client operation. Typical 98 and NT install
includes browser.
• Display: 1024 X 768 by 65536 color
• Mouse or other pointing device
• Local or dial-up network connection
• Internet Explorer 4.0 or higher recommended

This part guides you though the process of logging in, changing the default password to your
own, and setting e-mail notification options.
Login
1. From a computer with access to the Accolades server, start your browser and open your
Accolades server’s intranet or Internet address (via the menu’s File-Open or the key-
board’s Ctrl+O). It should be something like:

2. Click in the blank below “Please enter your user name” and enter the user name give you
by your Accolades Administrator.
3. Tab or click the blank below “and your password” and enter the password for that user
name.

New User Checklist
This checklist is for new Accolades users. Following it insures a smooth entry into its
system.
Change Your Password
This is an easy way to customize your account to your preferred password. This will keep
your work safe so long as you don’t use something obvious. Don’t use maiden names,
personal mottos, favorite songs, or anything else that may be general knowledge. Choose
something private you can remember. Write it down or enter it in an organizer, but keep your
password secure.
1. If you aren’t in My Settings, click the My Settings tab.
2. Click on the icon or the text Change your password settings.
3. For security purposes, Accolades requires you to first enter your old password in the
Old Password blank. This prevents someone having momentary access to your com-
puter from making malicious changes to your settings.
4. Next you enter your new password. This is a case sensitive entry, so pay attention to the
state of your keyboard’s Caps Lock light.
5. To confirm you’ve entered your new password correctly, renter it in the the Confirm
New Password blank.
Don’t make your password too intricate. Accolades login gives you
five tries to login. If you fail five login attempts (for whatever reason),
Accolades locks your account until an Administrator performs an
account reset.

6. Clicking the Submit button implements your choices.
View Your User Profile
This is the second thing you should do after logging in for the first time. Confirm your
information has been entered correctly.
Few things are as demeaning as someone getting their name wrong. Your name is even more
important with Accolades because your name is on every thing you create, critique, suggest,
or perform.
Your profile is about communication. Did they reorganize your department? Where are you?
What’s your phone number?
When things go critical and someone in your team needs your input, HR won’t have the
answers if no one is there. Make sure Accolades has it right.
1. If you aren’t already in My Settings, change screens by clicking the tab.
2. Click the icon or the text View your user profile.
Your User Profile appears at the right.
Most of it is self-explanatory. If you have any questions, ask your supervisor or your
Accolades administrator.
3. When you are done, click the Done Button.
Do not hit the Enter key unless you are satisfied with all your entries.
This is the same as clicking the Submit button at the bottom
of the dialog.

Edit Your Automated Email Preferences
By default, all of your notification options are enabled. The following procedure will allow
you to change what event will or won’t send you automatic messages.
1. If you aren't already in My Settings, change screens by clicking the tab.
2. Click the icon or the text Change your automated email preferences.
3. Enable or clear your e-mail notification options(s) by clicking the appropriate box(s)
for the following:
• Your addition to a Version Team.
• A change to your user profile.
• A forwarded Feature's return to your Inbox (for Marketing or Engineering Man-
ager).
• A Feature in your Inbox has been revised (for all engineering levels).
• An assigned Version has been revised (for all engineering levels).
• A four-day-old unacknowledged Feature in your Inbox.
4. When you are ready, click the Update button.
Do not hit the Enter key unless you are satisfied with all your entries.
This is the same as clicking the Update button at the bottom
of the dialog.

Inbox
The Inbox’s purpose is to focus feature process participants on the features for which they
are responsible. As feature process non-participants, Administrators don't have an Inbox and
Member users have access solely to the Notification Center.
Inbox Overview
Features are sorted by Priority by default and always in descending order. The headings of
the table are Product/Version, Feature [name], State, Date [of last transaction], and Priority.
When a feature is selected, a window at the bottom of the screen displays the feature's
description and the late transaction's comment. This also acknowledges the user has seen the
selected feature.

The Go To Inbox icon returns to the Inbox screen should one of the other Inbox screens
be selected. Since the Inbox is the default screen, this button is not active unless you are in
Forwarded Features or Notifications.
The Go To Communication Center Notifications icon sends the user to Inbox’s special
brand of Communication Center: Notifications. In addition to the standard Communication
Center functions it also includes a view of the topic’s feature’s description.
The Forwarded Features icon allows the user to view the current state of features
forwarded from the Inbox. From here, Marketing and Engineering Managers can recall
forwarded features using the Interrupt the Feature Process function.
Notification Center
Inbox’s Communication Center Notifications lists notifications: topics directed at specific
members of the version team using the Communication Center’s Notify User function. is for
viewing topics and/or transactions within Inbox.
Although transactions are viewed within the Communication Center, they are totally inde-
pendent of topics. Topics are attached at anytime, regardless of state, status, or location.
Within Inbox, the presence of a topic is shown with the Has Topics indicator at the top of
the screen.
1. Go to Inbox by clicking the Inbox tab.
2. Click the Go To Communication Center Notifications icon.
3. The Inbox’s version of the Communications Center dialog appears, listing attached dis-
cussion topics.
No Discussion Topics indicates there are no topics to list.
Inbox’s Communication Center dialog is unique in that it allows a simultaneous view of
the topic’s feature’s attributes.

Transactions can be view either alone by clicking the View Transactions icon or
together with topics by clicking the View Topics and Transactions icon.
4. Select the topic or transaction you wish to view from the list.
The topic’s contents or transaction comment appears below.
For details relating to printing the selected topic, go to page 31. This applies to Inbox as
well as OneSpec™.
To delete topic(s) from your list:
a. Return to the list by clicking the Notification Center icon.
b. Check the box(es) in the Del column.
c. Click the Delete Checked Messages
button.

Common Functions
This is a graphical display of all of the products, versions, and features currently being
developed. All product, version, and feature level functions are executed from OneSpec™.
OneSpec™ Overview
At the root of OneSpec’s tree are all products for which a given user is assigned. Under each
product are the versions and categories to which the user is assigned or owns. Under each
version are listed their categories. Features are listed below the tree frame when their version
or category is selected.
The branches of the tree are arranged in a hierarchy based on product, versions, categories,
and subcategories. The branches can be expanded or collapsed with the or icons
commonly seen in programs emulating the Windows Explorer. Lines are used to emphasize
the tree’s structure.
The following is a typical category view.

If an item in the tree has dependant features, a number in parentheses is displayed, indicating
the number of features contained immediately within that version or category.
When a product, version, category, or feature is selected, a view specific to that selection
appears in the frame at right. Information icon(s) appear below the view’s name, indicating
the presence of an attached file, topic, dependency, or engineering specification.
When there is more than can be displayed in a particular frame, scroll bars are available to
view the entire tree or feature list.

The first and the last functions are for user convenience and are really nice to have.
The middle pair are real gems. Alone and in concert, they are a powerful data filtration
package capable of sifting through every product, version, category, and feature for the
nuggets of information data miners crave.
Refresh the Tree
This function updates the tree portion of the OneSpec™ screen. This is often needed after
adding several features in order to update the feature count seen in parenthesis following the
version and category names. It also better organizes the display of the tree's branches.
Set Filters for Tree
Clicking this icon opens the Tree Filters pop-up dialog.
There are two options to set or clear before clicking the Apply Filters but-
ton:
a. Show Archived Products
Enabling this reveals all archived products still resident in the Accolades data-
base.
b. Show Version Baselines
Enabling this creates a tree representation of the state of every category and fea-
ture at the time various baselines were saved. Baselines, rather than categories,
branch from their parent versions and categories branch from them. This offers a
structural approach for comparing different baselines branches within a version's
tree.

Clicking this icon opens the Feature Filters pop-up dialog.

The product's blue triangle turns red as Product View appears on the right.

1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Expand the version's tree, first selecting it's product and then the version you wish to
view.

Viewing a Category
1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Expand the category's tree, first selecting its product and version, and then the category
you wish to view.

Viewing a Feature
This allows not only a quick view of a feature's attributes, but from this view every feature
characteristic is available. Related subjects: View Attached Files, View Attached Links,
View Communication Center, View Dependencies, View Revision History, View Engineer-
ing Specification.

2. Expand the feature's tree, first selecting its product, version, and category (as applicable).

Five columns headings indicate the presence of Topics, Files, Links, Eng
Specifications, and Dependencies attachments with a dot under the appropriate
heading. Clicking a dot reveals the associated attachment view dialog.

View (Download) an Attached File
The presence of one or more attached files is indicated at the top of a selected item’s view by
the Has Attached Files icon.
In the Tree screen’s Feature List, the column indicates the presence of one or more files
with a dot.
1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Select the Product, Version, Category or Feature of which you wish to view the attached
file.
3. Click on either a feature's File dot or the toolbar's the Upload/Download a File
icon.
The Select a File to Download dialog at the bottom of the right frame, consisting of a list
of attached files.
4. Select the file name for the file you wish to view from that list.
If the file's type is associated with a program (such as PDF for Acrobat or DOC for
Word), the appropriate program shall launch and display the contents of the selected file.

If the file’s type is not automatically associated with a program, the browser’s file down-
load dialog shall appear, asking you if you wish to save the file. Specify the destination
for this file in the save dialog.

View Communication Center
The Communication Center is available within OneSpec™, Potential Features, My Con-
cepts, or Trash Can screens for viewing topics and/or transactions. Related subjects: Attach
Topics, Notification Center.
Although transactions are viewed within the Communication Center, they are totally inde-
pendent of topics. Topics are attached at anytime, regardless of state, status, or location.
1. Select the tab for the appropriate screen (OneSpec™, Potential Features, My Concepts,
or Trash Can).
Select the Product, Version, Category (OneSpec™ only) or Feature for which you wish
to view the Communication Center.
Within OneSpec™, the presence of a topic in the item's associated view is shown by
the Has Topics indicator under the view's title. Features are listed below the tree frame.
The Topics column indicates the presence of one or more topics with a dot.
2. Either click on OneSpec's feature list's Topic dot or select the feature and click the
toolbar's Communications Center icon.
The Communications Center dialog appears, listing attached discussion topics. No Dis-
cussion Topics indicates there are no topics to list.
Transactions can be view either alone by clicking the View Transactions icon or
together with topics by clicking the View Topics and Transactions icon.
3. Select the topic or transaction you wish to view from the list.
The topic's contents or transaction comment appears below.

View a Feature’s Transaction History
This is another function of the Communication Center. From here the history can be viewed
either by itself or with that feature's topics. This function is available in OneSpec™, Poten-
tial Features and Trash Can.
1. Select the feature of which you wish to view transaction history.
Feature View appears in the frame at right.
2. Click on the toolbar's Communication Center icon.
The Communication Center dialog appears, consisting of two frames at right. You may
resize these frames as needed.
The top frame lists the feature's name and tree location.
3. You have the option of viewing only transactions by clicking the View Only
Transactions icon or both transactions and topics by clicking the View All icon.
If multiple copies of this feature exist, you may view the transaction history of the copy
or original's version, via the Version to be Viewed: pull-down menu. Below that is a
list of Version:Revisions, Date [of that transaction] and Transaction [the resulting state].
4. Select a Version:Revision to get the specifics on that transaction.
The bottom frame contains the Transaction Comment.
5. When you are done, click any tab or icon you wish view or perform.
View a Link
Links can be viewed in OneSpec™, Potential Features, My Concepts, and Trash Can. The
presence of one or more links is indicated at the top of a selected item's view by the Has
Links icon. Related subjects: Attach a Link.
This function allows you to attach any Intranet or Internet URL, containing supporting infor-
mation to a Product, Version, Category, or Feature. It is available within the OneSpec™,
Potential Features, My Concepts, or Trash Can Screens.
1. Select the Product, Version, Category (OneSpec™ only) or Feature to which you wish
to view the associated link listing.
2. Click on the Attach/View a URL icon.
The Select a Link dialog appears in the bottom of the right frame.

3. Select a Link by its Subject.
The URL, Subject and Description of that link is displayed above in the View a Link dia-
log.
4. View the link’s contents by clicking on the URL at the top.
A new browser window opens to the selected URL.
5. When you are done viewing the URL, close its browser window by clicking
the Return to Accolades button.
Printing a View
For your convenience, every Product, Version, Category and Feature view within
OneSpec™, Potential Features, and My Concepts has a printable form.
By clicking the Printable Form icon a new browser window is created which is specifi-
cally formatted for printing. When you are done with the printable form window, unlike the
Accolades browser window, you may close the Printable Form Window by any means you
prefer. For information about closing browser windows, go to page 61.
If you want to print a specific Accolades frame, activate that frame and either click on the
browser's Print button or use the Ctrl-P key combination to open the browser's print dialog.
View a Version Workforce
A version workforce is a group of users assigned to a particular version team in whatever
capacity. Their duties within the workforce have little or no relation to their actual
organizational title.
1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Expand the version's tree, first selecting it's product and then the version of which you
wish to view the version team.
The version's blue dot turns red as Version View appears on the right.
3. Click on the toolbar's Add/View Version Workforce Members icon.
The Assign a Workforce dialog appears at right. At the far right is the current workforce
assigned to the selected version.

View Version Baseline
The View function allows the user to view existing baselines.
1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Expand the version's tree, first selecting it's product and then the version for which you
wish to set the Stalled in Negotiation threshold.

3. Click the Baseline features icon.
The View Existing Baselines dialog appears in the frame at right.
4. When you are finished, click the Done button.
View Features Added to This Version
This function allows you to view a list of features added to the selected version since it was
copied from an older version. Related subject: View Features Removed, View Baseline.

6. Expand the version's tree, first selecting it's product and then the version whose additions
you wish to view.

This function allows you to view a list of features removed from the selected version since it

omissions you wish to view.

You can search a version for features that meet one to three criterion linked by and/or condi-
tions.

4. Select the attribute(s) and condition(s), and enter the value(s) you wish to base your
search upon from the form’s pull-down menus and blank fields.
5. When the form is complete, click the Submit Query button.
As can been seen by the following illustration, the left side of the lower portion of the
right frame displays the list of features matching the specified criterion. The right side
displays the attributes of any feature selected on the left.
View Dependencies
This allows a view of the selected feature’s dependencies.
There are two kinds of dependencies: Workflow and Functional.
Workflow dependencies are developments reliant upon the completion of other tasks. This is
a matter of logistics unrelated to feature function.
Functional dependencies are how one feature’s operation is dependant on others. That which
must work before a given feature can function.

6. Select the kind of dependency by setting the appropriate radio button.
7. Choose a feature to be dependent upon from the list below the buttons.
8. Click the Add Dependency button.
9. The dependency appears in the appropriate column at far right.
10. When you are done, click the Back to View button.
View a Feature’s Revision History
1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Expand the feature's tree, first selecting its product, version, and category (as applicable).
3. Select the feature of which you wish to view revision history.

4. Click on the toolbar's View Revision History icon.
The Revision History dialog appears, consisting of two frames at right. You may resize
these frames as needed.
The top frame has the feature's current product, version and name. Below that is a list of
revisions sorted by Revision Number. Other headings in this list are: Version, Edited By,
and Date [of that revision]. Select a version to get the specifics on that revision.

The bottom frame contains the specific changes made between one revision and the pre-
vious version. At the top of this frame is the feature’s name and revision name. Next is
the Feature Description and the Revision Comment accompanying the last change. At
bottom is a list of attributes changed between that version and the preceding versions.
View (Download) an Engineering Specification
1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Expand the feature's tree, first selecting its product, version, and category (as applicable).
Features are listed below the tree frame. The Engineering Specification column indi-
cates the presence of engineering specifications with a dot.
3. Select the feature of which you wish to view engineering specifications.
The feature's blue gear turns red as Feature View appears in the frame at right.
The presence of Engineering Specifications is indicated by the Has Engineering
Specifications icon under the view's title.
4. Click on either a feature's Specification dot or the toolbar's Attach an Engineering
Specification icon.
The Select an Engineering Spec to Download dialog appears at the bottom of the right
frame, consisting of a list of attached specification files.
5. Select the file you wish to view from the list.
If the file's type is associated with a program (such as PDF for Acrobat or DOC for

OneSpec™ Attach Functions
Attach a Topic
Attaching a topic is a function of the Communication Center—available within OneSpec™,
Potential Features, My Concepts, or Trash Can Screens. Related to Inbox's Notification Cen-
ter.
This function has no relation to e-mail. It's an internal Accolades function, stored as another
attribute in its database. Unlike e-mail, topics cannot be lost or taken out of context because
they always accompany their object.
Transactions are viewed within the Communication Center strictly as a convenience to the
user. Topics and transactions are otherwise totally independent.
1. Select the Product, Version, Category, or Feature to which you wish to attach a topic.
2. Click on the Communication Center icon.
3. The Communication Center dialog appears in the right frame for the selected item.
4. Click the Create a New Topic icon.
5. The Communication Center dialog is replaced by the Create a New Topic dialog.
6. Click in the blank labeled Subject and enter the topic's description in no more than 50
characters.
7. Tab or click in the blank labeled Content and enter the topic's contents.
8. Click the Submit button to submit the topic.
9. The form is replaced with a Topic Created dialog that gives you the option of
individually selecting users to notify via Inbox's Communication Center Notifications.
10. If you want to notify specific team members, select them from the All Users frame and
click the Notify User button.
11. If any of the selected users now in the Users Notified frame were entered in error, select
them again and click the Remove User button.
12. When you are done, click the Back to View button to return you to the
original Communication Center dialog.
Attach (Upload) a File
This function allows you to attach a file containing supporting data to a Product, Version,
Category, or Feature.

1. If you are not already in OneSpec™, click the OneSpec™ tab.
2. Select the Product, Version, Category or Feature to which you wish to attach a file.
3. Click on the Upload/Download a File icon.
The Upload a File dialog appears at the top of the right frame.
4. Click on the Upload a File dialog's Browse button and locate the file you
wish to attach.
5. Tab to or click in the File Summary blank and enter something that identifies the
contents and purpose of the file in fifty characters or less.
6. When you are ready to start the upload, click the Upload button.
7. After the upload is completed, the file you have attached shall be listed in the Select a
File to Download dialog.
8. When you are done, click the Done button.
Attach a Link
This function allows you to attach any Intranet or Internet URL, containing supporting infor-

My Concepts
My Concepts is an isolated location where all users can create and develop features for later
contribution to Potential Features.
My Concepts Overview
The intent is to provide everyone with the ability to contribute to the feature set of a given
product. This feature is especially useful for engineers who need to communicate a set of
features that may have been overlooked by marketing in the initial definition of the product.
The display shows a list of features on the left-hand side and an attribute and function
window on the right-hand side. A row of tool buttons is located at the top of the screen. The
user views the feature list by selecting the desired product from a drop list. The default view
is the newest product. Features are sorted by each version and a group called general. Within
a given version, the features are sort by priority, with the highest priority features listed first.
The organization of the feature list allows the user to associate suggested features with the

correct product and version, or suggest features to a general group if a specific version
association does not exist. Features may not be suggested to completed versions. The
attributes of the selected feature are shown in the window on the right-hand portion of the
screen.
Viewing a Feature
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
3. Select the feature you wish to view from the list appearing below the product selected in
the previous step.
The Feature View appears in a frame on the right.

Creating a Feature
My Concepts is the only place where every user can create features. This is a private place
where ideas develop far from critical eyes.
This is your gateway to Marketing. Don’t worry, they won’t see your feature until you
forward it to Marketing.
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which you wish to associate your new feature from the Product
pull-down menu. If you are unsure which product to select, select General.
3. Select the version with which you wish to associate your new feature from the list
appearing below the product selected in the previous step. Select General if it is
unclear which choice is appropriate.
4. Click on the Create toolbar icon and the Create a new feature dialog appears at
right.
5. Click in the space labeled Feature name and enter a new feature name of no more than
50 characters.
6. Tab to or click in the space labeled Revision Number. If the default of 0.00 won’t do,
enter a revision number no longer than 15 characters.

7. Move to the description blank and enter a description of the feature.
8. Priority Level defaults to Lowest. If this is too low, click on the pull-down menu and
select one of the following: Low, Medium, High, Highest.
9. After the form has been competed to your satisfaction, click the Submit button.
Copying a Feature
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
3. Select your feature from the list appearing below the product selected in the previous
step.
4. Click on the Copy icon and the Create a Copy of this Feature dialog appears on the
right:
5. Enable the appropriate options by clicking a check mark in the option’s box. You have
the option later of editing the features and workforce later.
6. Click the Cancel button if you wish to abort this function.
7. When you’re ready to accept the options you’ve enabled, click the Submit but-
ton.
The dialog is replaced with the Create a new Feature dialog.
8. Enter the new feature’s name of no more than fifty characters.
9. Make the appropriate changes to the rest of the fields.
10. Click the Submit button to complete copying the version.
Editing a Feature
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.

3. Select your feature from the list appearing below the product selected in the previous
step.
4. Click on the Edit icon and the Edit this Feature dialog appears in the frame at right.
5. Click into the field(s) requiring editing and make your corrections either by:
a. Typing in the Feature Name or Feature Description entries.
b. Selecting the correct choice from the Priority Level: pull-down menu.
c. If you have Custom or Calculate Attributes you wish to include, click
the Assign Attributes button and add them to the list on
the right of that dialog.
4. After the form has been competed to your satisfaction, click the Submit button.
If Feature Name or Feature Description has changed, you’ll be required to enter a
comment.
5. When you are done, click the Submit button.
Deleting a Feature
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
3. Select the feature you wish to delete from the list appearing below the product selected in
the previous step.
4. Click the toolbar’s Delete this Feature icon.
5. Provide a reason for the deletion in the comment field.
6. Click the Delete button.
View Communication Center
The Communication Center is available for viewing topics and/or transactions. Related
subjects: Attach Topics, below; Inbox’s Notification Center, page 20

5. Select the file name for the file you wish to view from that list.
If the file’s type is associated with a program (such as PDF for Acrobat or DOC for
Word), the appropriate program shall launch and display the contents of the selected file.
If the file’s type is not automatically associated with a program, the browser’s file down-
load dialog shall appear, asking you if you wish to save the file. Specify the destination
for this file in the save dialog.
6. When you are done, click the Done button.
Attaching a File to a Feature
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
3. Select your feature from the list appearing below the product selected in the previous
step.
4. Click on the Upload/Download a File icon.
The Upload a File dialog appears at the top of the right frame.
5. Click on the Upload a File dialog’s Browse button and locate the file you
wish to attach.
If the path and file name together are more than fifty characters in length, copy or move
the file to a location that would shorten the path.
6. Tab to or click in the File Summary blank and enter something that identifies the con-
tents and purpose of the file in fifty characters or less.
7. When you are ready to start the upload, click the Upload button.
8. After the upload is completed, click the Done button.

View a Link
The presence of one or more links is indicated at the top of a selected feature’s view by the
Has Links icon. Related subjects: Attach a Link, below.
This function allows you to attach any Intranet or Internet URL, containing supporting
information to a Feature.
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
3. Select the feature from the version list appearing below the product selected in the previ-
ous step.
4. Click on the Attach/View a URL icon.
The Select a Link dialog appears in the bottom of the right frame.
5. Select a Link by its Subject.
The URL, Subject and Description of that link is displayed above in the View a Link dia-
log.
6. View the link’s contents by clicking on the URL at the top.
A new browser window opens to the selected URL.
7. When you are done viewing the URL, close its browser window by clicking
the Return to Accolades button.

characters.
7. Tab or click in the blank labeled Url: and enter the full URL beginning with http://.
8. Tab or click in the blank labeled Description and enter the nature of the URL’s con-
tents.
9. Click the Submit button to complete attaching the URL.
The Select a Link dialog returns.
10. If you want to return to the original view for the item selected in the first step, click
the Back to View button.
Forwarding a Feature to Marketing Manager
This sends your feature to Potential Features when you decided it is ready for Marketing
Manager evaluation.
1. Go to My Concepts by clicking the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
3. Click on the feature you wish to send to the Marketing Manager from the list appearing
below the product selected in the previous step.
4. The Send feature to MM toolbar icon activates. Click it.
5. The Edit this Feature dialog appears in the frame at right.
6. Select the appropriate associated product in the Product to assign to: pull-down menu.
7. Select the appropriate associated version in the Version to assign to: pull-down menu.
8. Click in the comments blank and enter any additional comments.
9. After the form has been competed to your satisfaction, click the Submit button.

Viewing Revision History
1. If you are not in My Concepts, click the My Concepts tab.
2. Select the product with which your feature is associated from the Product pull-down
menu.
The version list for the selected product appears below the Product pull-down menu with
associated features listed below them

Feature View appears on the right.
4. Click on the toolbar’s View Revision History icon.
The Revision History dialog appears, consisting of two frames at right. You may resize
these frames as needed.
The top frame has the feature’s current product, version and name. Below that is a list of
revisions sorted by Revision Number. Other headings in this list are: Version, Edited By,
and Date [of that revision]. Select a version to get the specifics on that revision.
The bottom frame contains the specific changes made between one revision and the pre-
vious version. At the top of this frame is the feature’s name and revision name. Next is
the Feature Description and the Revision Comment accompanying the last change. At
bottom is a list of attributes changed between that version and the preceding versions.

Report Summary
The reports below are listed in order of priority.
Version Level Status Report
The purpose of this report is to indicate the gross status of the product.
The report indicates the percentage of features that are in the following states:
• Definition in Progress
• Assigned
• Work in Progress
• Development Complete
• Test in Progress
• Test Passed
• Verified by Marketing Manager
The data is presented in a bar graph format (with the percentage displayed). You can choose
an overview report that shows the graph and percent complete only, or a more detailed report
that indicates percent complete and lists the features in each of the states defined above. The
report displays the name, percent complete, and assigned engineer attributes for each feature.
Scope Change Report
This report determines the changes that have been made to the product specification since
the baseline was created.
The report lists both the number of features in each of the categories below and the names of
each of the features.

• Features Changed
• Features Removed
The report also calculates the total change in development times based on the changes listed
above. The user can choose an overview level report that shows only the summary of
changes, or a more detailed report that lists all of the features in each group. The report dis-

Percent Complete by Priority
List the total number of features in each priority class and indicate the percentage of the fea-
tures in each class that are complete. Complete in this case means that the marketing man-
ager has verified the feature.
Feature Level Development Status
List the current percent development complete value and the status of every feature in a
given version.
Version Changes
List the changes from one version of a product to the next. The user specifies the two ver-
sions to be compared. List the number and names of features that have been:
• Added
• Removed
• Changed
The user can choose an overview level report that shows only a count of changes, or a more
detailed report that lists all of the features in each group. The report displays the name, per-
cent complete, and assigned engineer attributes for each feature
Custom Report
Allow the user to specify up to three criteria to be used to search the database. Display results
in a standard format.
All Features in Tabular Form
List all features in tabular form. The format of the table reflects the tree structure.
Priority Summary
List features by each of the five priority classes. List the name, assigned engineer, and per-
cent complete attributes.
Feature Transactions
List the transaction history of a given feature within the limits of a single version or across
multiple versions.

told: Someone has already logged in for this browser and that You may want to logout
from the old session and log back in. This is easily avoided by exiting Accolades cor-
rectly.
Closing Non-Accolades Browser Windows
Non-Accolades browser windows are browser windows unrelated to the Accolades data-
base. These include the Printable Form and the Accolades Help window. You may close
these by any of the following methods.

To get back to your original frame set, close the new window.
REMEMBERING PASSWORDS
You won’t forget your passwords anymore if you attach a note to your bookmark for a site. Open
Bookmark Editor from the main menu by selecting Bookmarks on the Communicator menu. Right-
click the bookmark for the password-protected site, and select Bookmark Properties. Type or cut
and paste the notes you want to remember in the Description box. The keyboard shortcut for
Bookmark Editor is Ctrl-B. Access your notes in the same way. You will still have to remember
one password, though - the password that protects your bookmarks from prying eyes.
STOPPING ANIMATION
If animations annoy you or you want to get a closer look at one screen of an animation, you can
stop the animation by selecting View-Stop Animation (or pressing Alt-V-A). It will remain stopped
until you click Reload or go to another page.

Admin
See Administrator.
Administrator
Person in charge of Accolades’account maintenance. This Accolades designation is
unrelated to the user’s actual organizational title.
Attachments
Files, links and topics manually associated by a user to a Product, Version, Category, or
Feature. Anyone can attach topics to anything. Engineering and Other users can attach
files and links to categories and features, but only Marketing and Administrators may
attach them to products and versions.
Attributes
The characteristics by which specific projects, versions, categories, and features are
identified and defined. Common examples would be: Identification Number, Name,
Description, Created By, Creation Date, state.
Baseline
Records the revision and status of each feature at the time the command is executed. The
saved information is used as a benchmark to determine scope changes later in the process
through reports.
Calculated Attributes
Accolades function allowing the user to track an attribute such as cost from the feature
level to the version level as a series of sums. They are created by marketing and
administrative users.
Category
A group of related features within a version. A category and its contents may be copied
from an existing version to future versions. Changes made to an elder category’s attributes
in one version are not transferred to the same category in newer versions.

Development Engineer
Member of the Engineering group responsible for feature development based on
engineering specification. This Accolades designation is unrelated to the user’s actual
organizational title.
Engineer
Any member of the Engineering group. An engineer can be assigned as an Engineering
Manager, Development Engineer, or Test Engineer. This Accolades designation is
unrelated to the user’s actual organizational title.
Engineering Manager
Member of the Engineering group managing the development of a version or feature. This
Accolades designation is unrelated to the user’s actual organizational title.
Engineering Specification
Specific engineering requirements for a given feature.

A basic unit of a product’s characteristics. They are the fundamental components of
products and their versions.
Functional Dependencies
How one feature’s operation is dependant on others. That which must work before a given
feature can function.
Location
Physical address or geographic locale of one or more users.
Marketing Manager
Member of the Marketing group responsible for (owning) one or more product(s) or
version(s). This Accolades designation is unrelated to the user’s actual organizational title.

Marketing
Any member of the Marketing group who can be assigned as a Marketing Manager. This
Accolades designation is unrelated to the user’s actual organizational title.
Member
Process-non-participatory user of the Member group requiring access to Accolades for
monitoring purposes. This could be a manager, supervisor, technical writer, etc. This
Accolades designation is unrelated to the user’s actual organizational title.
My Concepts
A safe private place where any user can develop their ideas before forwarding them to the
appropriate Marketing Manager.
Order
Number denoting arrangement of a list of Categories or Features within their parent
Version or Category.
Owner
Creator or Marketing Manager responsible for a product, version, category or feature.
Only user other than the Administrator who can delete their item.
Parent Category
Category containing one or more features or other category(s).
Potential Features
A location for features whose basic marketing issues and technical specifications are
incomplete.
Priority Level
Indicates degree of expediency required for a given feature, ranging from Lowest,
Low, Medium, High, to Highest.
Product
Archetype upon which all versions depend.
Product Owner
The Marketing person responsible for managing the development of a product.

Product State
The state of the product’s development. If the product has any versions under
development, it is Active. If the product has no versions under development, it’s state is
Archive.
Revision
Correction or adaptation of a preceding specification.
Secure Sockets Layer
An Internet protocol providing secure, private server/client authentication. SSL uses a
private key to encrypt data transferred over any TCP/IP connection.
SSL
See: Secure Sockets Layer.
Status
The organizational position of a product, version, category, or feature in process.
System Attributes
Function whereby the user can change the title and values for Priority, Difficulty (values
only), and Test Required. The total number of values is fixed to five.
Test Engineer
See Testing Engineer.
Testing Engineer
Engineer assigned by Managing Engineer to test a feature. This Accolades designation is
unrelated to the user’s actual organizational title.
Topic
Analogous to a special interest group’s discussion thread only it applies to a specific
product, version, category or feature within Accolades’database. This is not e-mail and is
unrelated to any process transaction.
Transaction
The change in status or bin location of any product, version, category, or feature.

Trash Can
Displays a list of all items that have been deleted. As with an actual trash can, one can
retrieve an item for use or delete it permanently.
User
Anyone with access to Accolades.
User Group
Any of four: Administrator, Marketing, Engineering and Member. Each possesses their
own set of duties and functions independent of actual organizational title.
Version
A product’s developmental characterization, distinguished by a unique set of features.
Version State
The state of the version’s development. Under Construction means the specifications
have not been formalized. In Progress means features are currently being developed and
tested by engineers. Complete means all features within the version have been verified
by the Marketing Manager.
Version Workforce
Team of user’s involved in the development of a particular version’s features. Assigned by
the version’s Marketing Manager.
Workforce
See Version Workforce.
Workflow
Progression of steps required to complete every stage of version development.
Workflow Dependencies
Development reliant upon the completion of other tasks. This is a matter of logistics
unrelated to feature function.

This Manual The Member User’s Guide includes everything possible to facilitate your needs: Table of Contents, Glossary, and Index. The PDF version is fully linked with related topics, complete with bookmarks and thumbnails at the left for every page, allowing easy navigation and requiring Adobe Acrobat Reader 3.0 and above. Colored links such as the preceding sentence’s are external URLs. All related topics and page references are hyperlinked. Accolades Browser Tips Your browser must have JavaScript enabled. For details on checking your JavaScript settings in Internet Explorer, go to page 57. For Netscape, go to page 65. The Backspace key can act as the browser's Back button or Alt-Right Arrow. It is better to use the delete key when editing. If you have an accident, remember the next subject. If you have a keyboard accident, remember to use CTRL-Z to undo the last action as long as the form has not been submitted. This does not work if you've already clicked a form's Submit or Done button. Use CTRL-Z to recover text accidentally deleted while editing a text field. Don't use any of the browser buttons (Back, Forward, Stop, Home) in the Navigation (Netscape) or Standard (Internet Explorer) Toolbar of an active Accolades browser window. Only the Print function is the only exception. You can turn off your browser's button bar if you need more working space using the View- Toolbar or View-Showbar enabling functions. Special notes and cautions are marked with the icon at left.

Data is automatically saved in the Accolades database when you perform an action or submit a form. These changes can be edited, but they cannot be undone. Technical Notes This is a list of general technical topics of which everyone should be aware. If Accolades won’t work with your browser, it likely doesn’t have JavaScript enabled. For details on checking your JavaScript settings in Internet Explorer, go to page 57. For Netscape, go to page 65. If OneSpec’s tree appears jumbled after making several version, category or feature entries, click the Refresh the Tree button. If your browser is acting inconsistently with Accolades, there may have been an upgrade. Clear your browser's cache. For details on clearing the cache for Internet Explorer, go to page 59. For Netscape, go to page 66. If you frequently move frame boundaries, consider using Internet Explorer rather than Netscape. If you are getting no response from Accolades at all or it is profoundly slow despite having only one or two active users appearing in User Licenses, have an administrator restart Java Web Server: locally if possible, remotely if necessary. If Accolades is issuing error messages when attempting to view or change data entries, it's time for an administrator to restart Pervasive.SQL.

Login 1. From a computer with access to the Accolades server, start your browser and open your Accolades server’s intranet or Internet address (via the menu’s File-Open or the key- board’s Ctrl+O). Click in the blank below “Please enter your user name” and enter the user name give you by your Accolades Administrator. 3. Tab or click the blank below “and your password” and enter the password for that user name. 4. Click the Login button.

New User Checklist This checklist is for new Accolades users. Following it insures a smooth entry into its system. Change Your Password This is an easy way to customize your account to your preferred password. This will keep your work safe so long as you don’t use something obvious. Don’t use maiden names, personal mottos, favorite songs, or anything else that may be general knowledge. Choose something private you can remember. Write it down or enter it in an organizer, but keep your password secure. 1. If you aren’t in My Settings, click the My Settings tab. 2. Click on the icon or the text Change your password settings. 3. For security purposes, Accolades requires you to first enter your old password in the Old Password blank. This prevents someone having momentary access to your com- puter from making malicious changes to your settings. 4. Next you enter your new password. This is a case sensitive entry, so pay attention to the state of your keyboard’s Caps Lock light. 5. To confirm you’ve entered your new password correctly, renter it in the the Confirm New Password blank. Don’t make your password too intricate. Accolades login gives you five tries to login. If you fail five login attempts (for whatever reason), Accolades locks your account until an Administrator performs an account reset.

Clicking the Submit button implements your choices. View Your User Profile This is the second thing you should do after logging in for the first time. Confirm your information has been entered correctly. Few things are as demeaning as someone getting their name wrong. Your name is even more important with Accolades because your name is on every thing you create, critique, suggest, or perform. Your profile is about communication. Did they reorganize your department? Where are you? What’s your phone number? When things go critical and someone in your team needs your input, HR won’t have the answers if no one is there. Make sure Accolades has it right. 1. If you aren’t already in My Settings, change screens by clicking the tab. 2. Click the icon or the text View your user profile. Your User Profile appears at the right. Most of it is self-explanatory. If you have any questions, ask your supervisor or your Accolades administrator. 3. When you are done, click the Done Button. Do not hit the Enter key unless you are satisfied with all your entries. This is the same as clicking the Submit button at the bottom of the dialog.

The following procedure will allow you to change what event will or won’t send you automatic messages. 1. If you aren't already in My Settings, change screens by clicking the tab. 2. Click the icon or the text Change your automated email preferences. 3. Enable or clear your e-mail notification options(s) by clicking the appropriate box(s) for the following: • Your addition to a Version Team. • A change to your user profile. • A forwarded Feature's return to your Inbox (for Marketing or Engineering Man- ager). • A Feature in your Inbox has been revised (for all engineering levels). • An assigned Version has been revised (for all engineering levels). • A four-day-old unacknowledged Feature in your Inbox. 4. When you are ready, click the Update button. Do not hit the Enter key unless you are satisfied with all your entries. This is the same as clicking the Update button at the bottom of the dialog.

Inbox The Inbox’s purpose is to focus feature process participants on the features for which they are responsible. As feature process non-participants, Administrators don't have an Inbox and Member users have access solely to the Notification Center. Inbox Overview Features are sorted by Priority by default and always in descending order. The headings of the table are Product/Version, Feature [name], State, Date [of last transaction], and Priority. When a feature is selected, a window at the bottom of the screen displays the feature's description and the late transaction's comment. This also acknowledges the user has seen the selected feature.

Since the Inbox is the default screen, this button is not active unless you are in Forwarded Features or Notifications. The Go To Communication Center Notifications icon sends the user to Inbox’s special brand of Communication Center: Notifications. In addition to the standard Communication Center functions it also includes a view of the topic’s feature’s description. The Forwarded Features icon allows the user to view the current state of features forwarded from the Inbox. From here, Marketing and Engineering Managers can recall forwarded features using the Interrupt the Feature Process function. Notification Center Inbox’s Communication Center Notifications lists notifications: topics directed at specific members of the version team using the Communication Center’s Notify User function. is for viewing topics and/or transactions within Inbox. Although transactions are viewed within the Communication Center, they are totally inde- pendent of topics. Topics are attached at anytime, regardless of state, status, or location. Within Inbox, the presence of a topic is shown with the Has Topics indicator at the top of the screen. 1. Go to Inbox by clicking the Inbox tab. 2. Click the Go To Communication Center Notifications icon. 3. The Inbox’s version of the Communications Center dialog appears, listing attached dis- cussion topics. No Discussion Topics indicates there are no topics to list. Inbox’s Communication Center dialog is unique in that it allows a simultaneous view of the topic’s feature’s attributes.

Common Functions This is a graphical display of all of the products, versions, and features currently being developed. All product, version, and feature level functions are executed from OneSpec™. OneSpec™ Overview At the root of OneSpec’s tree are all products for which a given user is assigned. Under each product are the versions and categories to which the user is assigned or owns. Under each version are listed their categories. Features are listed below the tree frame when their version or category is selected. The branches of the tree are arranged in a hierarchy based on product, versions, categories, and subcategories. The branches can be expanded or collapsed with the or icons commonly seen in programs emulating the Windows Explorer. Lines are used to emphasize the tree’s structure. The following is a typical category view.

The middle pair are real gems. Alone and in concert, they are a powerful data filtration package capable of sifting through every product, version, category, and feature for the nuggets of information data miners crave. Refresh the Tree This function updates the tree portion of the OneSpec™ screen. This is often needed after adding several features in order to update the feature count seen in parenthesis following the version and category names. It also better organizes the display of the tree's branches. Set Filters for Tree Clicking this icon opens the Tree Filters pop-up dialog. There are two options to set or clear before clicking the Apply Filters but- ton: a. Show Archived Products Enabling this reveals all archived products still resident in the Accolades data- base. b. Show Version Baselines Enabling this creates a tree representation of the state of every category and fea- ture at the time various baselines were saved. Baselines, rather than categories, branch from their parent versions and categories branch from them. This offers a structural approach for comparing different baselines branches within a version's tree. Set Filters for Feature List Clicking this icon opens the Feature Filters pop-up dialog.

View (Download) an Attached File The presence of one or more attached files is indicated at the top of a selected item’s view by the Has Attached Files icon. From here the history can be viewed either by itself or with that feature's topics. This function is available in OneSpec™, Poten- tial Features and Trash Can. 1. Select the feature of which you wish to view transaction history. Feature View appears in the frame at right. 2. Click on the toolbar's Communication Center icon. The Communication Center dialog appears, consisting of two frames at right. You may resize these frames as needed. The top frame lists the feature's name and tree location. 3. You have the option of viewing only transactions by clicking the View Only Transactions icon or both transactions and topics by clicking the View All icon. If multiple copies of this feature exist, you may view the transaction history of the copy or original's version, via the Version to be Viewed: pull-down menu. Below that is a list of Version:Revisions, Date [of that transaction] and Transaction [the resulting state]. 4. Select a Version:Revision to get the specifics on that transaction. The bottom frame contains the Transaction Comment. 5. When you are done, click any tab or icon you wish view or perform. View a Link Links can be viewed in OneSpec™, Potential Features, My Concepts, and Trash Can. The presence of one or more links is indicated at the top of a selected item's view by the Has Links icon. Related subjects: Attach a Link. This function allows you to attach any Intranet or Internet URL, containing supporting infor- mation to a Product, Version, Category, or Feature. It is available within the OneSpec™, Potential Features, My Concepts, or Trash Can Screens. 1. Select the Product, Version, Category (OneSpec™ only) or Feature to which you wish to view the associated link listing. 2. Click on the Attach/View a URL icon. The Select a Link dialog appears in the bottom of the right frame.

Printing a View For your convenience, every Product, Version, Category and Feature view within OneSpec™, Potential Features, and My Concepts has a printable form. By clicking the Printable Form icon a new browser window is created which is specifi- cally formatted for printing. When you are done with the printable form window, unlike the Accolades browser window, you may close the Printable Form Window by any means you prefer. For information about closing browser windows, go to page 61. If you want to print a specific Accolades frame, activate that frame and either click on the browser's Print button or use the Ctrl-P key combination to open the browser's print dialog. View a Version Workforce A version workforce is a group of users assigned to a particular version team in whatever capacity. Their duties within the workforce have little or no relation to their actual organizational title. 1. If you are not already in OneSpec™, click the OneSpec™ tab. 2. Expand the version's tree, first selecting it's product and then the version of which you wish to view the version team. The version's blue dot turns red as Version View appears on the right. 3. Click on the toolbar's Add/View Version Workforce Members icon. The Assign a Workforce dialog appears at right. At the far right is the current workforce assigned to the selected version.

The right side displays the attributes of any feature selected on the left. View Dependencies This allows a view of the selected feature’s dependencies. There are two kinds of dependencies: Workflow and Functional. Workflow dependencies are developments reliant upon the completion of other tasks. This is a matter of logistics unrelated to feature function. Functional dependencies are how one feature’s operation is dependant on others. That which must work before a given feature can function.

If you are not already in OneSpec™, click the OneSpec™ tab. 2. Expand the feature's tree, first selecting its product, version, and category (as applicable). Features are listed below the tree frame. The Engineering Specification column indi- cates the presence of engineering specifications with a dot. 3. Select the feature of which you wish to view engineering specifications. The feature's blue gear turns red as Feature View appears in the frame at right. The presence of Engineering Specifications is indicated by the Has Engineering Specifications icon under the view's title. 4. Click on either a feature's Specification dot or the toolbar's Attach an Engineering Specification icon. Related to Inbox's Notification Cen- ter. This function has no relation to e-mail. It's an internal Accolades function, stored as another attribute in its database. Unlike e-mail, topics cannot be lost or taken out of context because they always accompany their object. Transactions are viewed within the Communication Center strictly as a convenience to the user. Topics and transactions are otherwise totally independent. 1. Select the Product, Version, Category, or Feature to which you wish to attach a topic. 2. Click on the Communication Center icon. 3. The Communication Center dialog appears in the right frame for the selected item. 4. Click the Create a New Topic icon. 5. The Communication Center dialog is replaced by the Create a New Topic dialog. 6. Click in the blank labeled Subject and enter the topic's description in no more than 50 characters. 7. Tab or click in the blank labeled Content and enter the topic's contents. 8. Click the Submit button to submit the topic. 9. The form is replaced with a Topic Created dialog that gives you the option of individually selecting users to notify via Inbox's Communication Center Notifications. 10. If you want to notify specific team members, select them from the All Users frame and click the Notify User button. 11. If any of the selected users now in the Users Notified frame were entered in error, select them again and click the Remove User button. 12. When you are done, click the Back to View button to return you to the original Communication Center dialog. Attach (Upload) a File This function allows you to attach a file containing supporting data to a Product, Version, Category, or Feature.

My Concepts My Concepts is an isolated location where all users can create and develop features for later contribution to Potential Features. My Concepts Overview The intent is to provide everyone with the ability to contribute to the feature set of a given product. This feature is especially useful for engineers who need to communicate a set of features that may have been overlooked by marketing in the initial definition of the product. The display shows a list of features on the left-hand side and an attribute and function window on the right-hand side. A row of tool buttons is located at the top of the screen. The user views the feature list by selecting the desired product from a drop list. The default view is the newest product. Features are sorted by each version and a group called general. Within a given version, the features are sort by priority, with the highest priority features listed first. The organization of the feature list allows the user to associate suggested features with the

Go to My Concepts by clicking the My Concepts tab. 2. Select the product with which your feature is associated from the Product pull-down menu. 3. Select the feature you wish to view from the list appearing below the product selected in the previous step. The Feature View appears in a frame on the right. For details on printing this view, go to page 31. Creating a Feature My Concepts is the only place where every user can create features. This is a private place where ideas develop far from critical eyes. This is your gateway to Marketing. Don’t worry, they won’t see your feature until you forward it to Marketing. 1. Go to My Concepts by clicking the My Concepts tab. 2. Select the product with which you wish to associate your new feature from the Product pull-down menu. If you are unsure which product to select, select General. 3. Select the version with which you wish to associate your new feature from the list appearing below the product selected in the previous step. Select General if it is unclear which choice is appropriate. 4. Click on the Create toolbar icon and the Create a new feature dialog appears at right. 5. Click in the space labeled Feature name and enter a new feature name of no more than 50 characters. 6. Tab to or click in the space labeled Revision Number. If the default of 0.00 won’t do, enter a revision number no longer than 15 characters.

Copying a Feature 1. Go to My Concepts by clicking the My Concepts tab. 2. Select the product with which your feature is associated from the Product pull-down menu. 3. Select your feature from the list appearing below the product selected in the previous step. 4. Click on the Copy icon and the Create a Copy of this Feature dialog appears on the right: 5. Enable the appropriate options by clicking a check mark in the option’s box. You have the option later of editing the features and workforce later. 6. Click the Cancel button if you wish to abort this function. 7. When you’re ready to accept the options you’ve enabled, click the Submit but- ton. The dialog is replaced with the Create a new Feature dialog. 8. Enter the new feature’s name of no more than fifty characters. 9. Make the appropriate changes to the rest of the fields. 10. Click the Submit button to complete copying the version. Editing a Feature 1. Go to My Concepts by clicking the My Concepts tab. 2. If you have Custom or Calculate Attributes you wish to include, click the Assign Attributes button and add them to the list on the right of that dialog. 4. After the form has been competed to your satisfaction, click the Submit button. If Feature Name or Feature Description has changed, you’ll be required to enter a comment. 5. When you are done, click the Submit button. Deleting a Feature 1. Go to My Concepts by clicking the My Concepts tab. 2. Select the feature you wish to delete from the list appearing below the product selected in the previous step. 4. Click the toolbar’s Delete this Feature icon. 5. Provide a reason for the deletion in the comment field. 6. Click the Delete button. View Communication Center The Communication Center is available for viewing topics and/or transactions. The presence of a topic in the feature view is shown by the Has Topics indicator under feature view’s title. 4. Click the toolbar's Communications Center icon. The Communications Center dialog appears, listing attached discussion topics. No Dis- cussion Topics indicates there are no topics to list. Transactions can be view either alone by clicking the View Transactions icon or together with topics by clicking the View Topics and Transactions icon. 5. Select the topic or transaction you wish to view from the list. The topic's contents or transaction comment appears below. For details on printing this view, go to page 31. Attaching a Topic to a Feature Attaching a topic to a feature in My Concepts is a function of the Communication Center. This is related to Inbox's Notification Center (page 20). This function has no relation to e-mail. It's an internal Accolades function, stored as another attribute in its database. Unlike e-mail, topics cannot be lost or taken out of context because they always accompany their object. Transactions are viewed within the Communication Center strictly as a convenience to the user. Topics and transactions are otherwise totally independent. 1. Go to My Concepts by clicking the My Concepts tab.

Click on the feature you wish to send to the Marketing Manager from the list appearing below the product selected in the previous step. 4. The Send feature to MM toolbar icon activates. Click it. 5. The Edit this Feature dialog appears in the frame at right. 6. Select the appropriate associated product in the Product to assign to: pull-down menu. 7. Select the appropriate associated version in the Version to assign to: pull-down menu. 8. Click in the comments blank and enter any additional comments. 9. The version list for the selected product appears below the Product pull-down menu with associated features listed below them 3. Select the feature you wish to view from the version list Feature View appears on the right. 4. Click on the toolbar’s View Revision History icon. The Revision History dialog appears, consisting of two frames at right. You may resize these frames as needed. The top frame has the feature’s current product, version and name. Below that is a list of revisions sorted by Revision Number. Other headings in this list are: Version, Edited By, and Date [of that revision]. Select a version to get the specifics on that revision. The bottom frame contains the specific changes made between one revision and the pre- vious version. At the top of this frame is the feature’s name and revision name. Next is the Feature Description and the Revision Comment accompanying the last change. At bottom is a list of attributes changed between that version and the preceding versions.

Version Level Status Report The purpose of this report is to indicate the gross status of the product. The report indicates the percentage of features that are in the following states: • Definition in Progress • Assigned • Work in Progress • Development Complete • Test in Progress • Test Passed • Verified by Marketing Manager The data is presented in a bar graph format (with the percentage displayed). You can choose an overview report that shows the graph and percent complete only, or a more detailed report that indicates percent complete and lists the features in each of the states defined above. Scope Change Report This report determines the changes that have been made to the product specification since the baseline was created. USE THE MOST RECENT VERSION Netscape continuously adds new features, enhancements, and bug fixes to Communicator, so be sure you always have the latest version. Choose About Communicator, on the Help menu, to see what version you currently have; then visit Netscape Download to find out if you have the latest version. SHOW OR HIDE NETSCAPE NAVIGATOR TOOLBARS You can open and close Navigator toolbars, located at the top of the Navigator window, to allow more space on your screen. Simply click on the arrows to the left to open and close individual tool- bars. DEALING WITH FRAMES It’s easy to print a page from a frame. Just make sure the page is active by clicking in or highlight- ing some text on the page, and then select Print, on the File menu. The URL will display in the Netsite box of the new window. To get back to your original frame set, close the new window. REMEMBERING PASSWORDS You won’t forget your passwords anymore if you attach a note to your bookmark for a site. Open Bookmark Editor from the main menu by selecting Bookmarks on the Communicator menu. Right- click the bookmark for the password-protected site, and select Bookmark Properties. Type or cut and paste the notes you want to remember in the Description box. The keyboard shortcut for Bookmark Editor is Ctrl-B. Access your notes in the same way. You will still have to remember one password, though - the password that protects your bookmarks from prying eyes. STOPPING ANIMATION If animations annoy you or you want to get a closer look at one screen of an animation, you can stop the animation by selecting View-Stop Animation (or pressing Alt-V-A). It will remain stopped until you click Reload or go to another page. Glossary of Terms Admin See Administrator. Administrator Person in charge of Accolades’account maintenance. This Accolades designation is unrelated to the user’s actual organizational title. Attachments Files, links and topics manually associated by a user to a Product, Version, Category, or Feature. Anyone can attach topics to anything. Engineering and Other users can attach files and links to categories and features, but only Marketing and Administrators may attach them to products and versions. Attributes The characteristics by which specific projects, versions, categories, and features are identified and defined. Common examples would be: Identification Number, Name, Description, Created By, Creation Date, state. Baseline Records the revision and status of each feature at the time the command is executed. The saved information is used as a benchmark to determine scope changes later in the process through reports. Calculated Attributes Accolades function allowing the user to track an attribute such as cost from the feature level to the version level as a series of sums. They are created by marketing and administrative users. Category A group of related features within a version. A category and its contents may be copied from an existing version to future versions. Changes made to an elder category’s attributes in one version are not transferred to the same category in newer versions.

Development Engineer Member of the Engineering group responsible for feature development based on engineering specification. This Accolades designation is unrelated to the user’s actual organizational title. Engineer Any member of the Engineering group. An engineer can be assigned as an Engineering Manager, Development Engineer, or Test Engineer. This Accolades designation is unrelated to the user’s actual organizational title. Engineering Manager Member of the Engineering group managing the development of a version or feature. This Accolades designation is unrelated to the user’s actual organizational title. Engineering Specification Specific engineering requirements for a given feature. Feature A basic unit of a product’s characteristics. They are the fundamental components of products and their versions. Functional Dependencies How one feature’s operation is dependant on others. That which must work before a given feature can function. Location Physical address or geographic locale of one or more users. Marketing Manager Member of the Marketing group responsible for (owning) one or more product(s) or version(s). This Accolades designation is unrelated to the user’s actual organizational title.

My Concepts A safe private place where any user can develop their ideas before forwarding them to the appropriate Marketing Manager. Order Number denoting arrangement of a list of Categories or Features within their parent Version or Category. Owner Creator or Marketing Manager responsible for a product, version, category or feature. Only user other than the Administrator who can delete their item. Parent Category Category containing one or more features or other category(s). Potential Features A location for features whose basic marketing issues and technical specifications are incomplete. Priority Level Indicates degree of expediency required for a given feature, ranging from Lowest, Low, Medium, High, to Highest. Product Archetype upon which all versions depend. Product Owner The Marketing person responsible for managing the development of a product.

SSL uses a private key to encrypt data transferred over any TCP/IP connection. SSL See: Secure Sockets Layer. Status The organizational position of a product, version, category, or feature in process. System Attributes Function whereby the user can change the title and values for Priority, Difficulty (values only), and Test Required. The total number of values is fixed to five. Test Engineer See Testing Engineer. Testing Engineer Engineer assigned by Managing Engineer to test a feature. This Accolades designation is unrelated to the user’s actual organizational title. Topic Analogous to a special interest group’s discussion thread only it applies to a specific product, version, category or feature within Accolades’database. This is not e-mail and is unrelated to any process transaction. Transaction The change in status or bin location of any product, version, category, or feature.

Version State The state of the version’s development. Under Construction means the specifications have not been formalized. In Progress means features are currently being developed and tested by engineers. Complete means all features within the version have been verified by the Marketing Manager. Version Workforce Team of user’s involved in the development of a particular version’s features. Assigned by the version’s Marketing Manager. Workforce See Version Workforce. Workflow Progression of steps required to complete every stage of version development. Workflow Dependencies Development reliant upon the completion of other tasks. This is a matter of logistics unrelated to feature function.
