Setting up Customers
Setting up Customers
Customers are the people whom the business sells its
products.
The business can set up both:
- Default customer information
- Specific customer information
Default customer information is good for all customers
but each customer will need special treatment.

A. Customer default information
Customer default information helps the business to entering
customer transactions and populates customer reports and forms.
Maintain – default information –customers
The customers default window enables the business to provide
Peachtree with:
1. Standard payment terms
2. Accounting aging
3. Custom field
4. Finance charges
5. Paying methods
6. Statement and invoice default
7. Statement print options
8. Dunning messages tab

1. Standard Payment Terms
If the business offers its customers early payment discount. In
the customers window you can fill the following filed:
Net due in field, the business enters the number of days which the net
invoice is due.
Discount in field, the business enters the number of days past the
invoice date covered by discount.
Discount percent.
Credit limit
Note: if the business needs to use special payments terms for certain
customers, it can do that by modifying their records in Maintain
Customers. This will be done without upsetting the defaults which
all customers will receive.

2. Accounting Aging
Peachtree ages customer invoices by:
 Invoice date, meaning that aging reports show how old
each invoice and balance is.
 Due date meaning that aging reports showing how
overdue each invoice is.
Then the business will be able to see what invoices are
due, just after looking at Aged Receivable report.

3. Custom Field
The business may need additional information about
certain customers such as: additional phone numbers;
e-mail address and so on.
It can do that in the General Tab of the Maintain
Customers Windows.

4. Finance Charges
If the business assesses late charges on its customers’
invoices, it should set up the terms and percent for
calculating finance charges.
However, if the business has customers that it does not
want to bill finance charges; it can do that by
modifying their records through:
Payment and credit Tab in Maintain Customers

5. Paying methods
Peachtree gives the business ten options to receive money.
When the business enters its customers’ payment, it can
specify what type of payment it is.
The payment method can be displayed on some reports and
forms.
Also, the business can specify at what point it wants a
Deposit Ticket ID applied to a receipt. If it selects In
Receipt, Peachtree will automatically fill Deposit Ticket
ID field in the Receipt Window
If the business select In Select Deposit, the Deposit
Ticket ID field on the receipt window will remain empty.
The business will create an ID when it uses Select for
Deposit to create deposit tickets.

6. Statement and invoice default
Peachtree offers a number of options that the business
can use to control the printing of customer statements
and dunning messages on invoices.
These options can be set up at the business level
not at the individual customer.
To access statement and invoice defaults;
The business should select
Maintain – Default information – statement/
invoices.

6.1 Statement print options
The business can set options helping it to print
statements the way it wants.
These options such as: print a statement with zero or
negative balance.
When the business become ready to print statements , it
should select
Reports and Forms - Forms- Customers
Statements
It can select the form it wants from the forms lists (Select
a Report –or Form window.
Then it clicks Preview and Print

6.2 Dunning Messages Tab
The business can use this tab to create short notices that
will notify customers on invoices if they have other
invoices that are overdue by a certain number of days.
Peachtree automatically reminds its customers of
overdue bills.
The business can set four different dunning messages
in Peachtree based on the customer’s oldest
invoice or how long the customer’s account is
overdue at the time statements are printed.
Specific message print when the number of days of the
customer’s most overdue invoice is lower or equal to
the number in the box (e.g. 30 days).

1) Invoice  0 days overdue [ thanks for your business]
2) Invoice  30 days overdue [you may have forgotten this
bill,
3) Invoice  60 days overdue [ please attend to this
payments as soon as possible]
4) All other invoice

8. Setting up Sales Taxes
The business should set up its sales taxes before it can bill its
customers
Once sales taxes are set up, the business can make a particular
sales tax part of each customer’s record and automatically
call up the correct sales tax when it creates orders, bill and
so on for that customer.
The business needs to set up:
1. Sales Taxes Agencies
2. Its sales taxes

Sales Taxes Agencies
Sales Taxes Agencies are individual taxing bodies such as: the
state, a particular country or city, and a special tax.
In order to create business Sales Taxes
Maintain – Sales Taxes , then select Set up a new sales tax
and click Next.
You will be asked to fill the next:
1. What is the total rate that you will charge %
If the sales tax is made up of a state tax of 4% and a
country tax of 2% , enter 6% in this field

2. How many individual rates make up this total rate
Enter the number of agencies or individual
if the taxes is made up of a state and a country tax, then you
have to enter 2.
Then click next

B. Customer Maintain
After setting up the customer defaults, the business
can view or enter basic information about its clients
to do that you need to click
Maintain- customers/ prospects

Header Fields
to add header fields select Maintain – Customers/ Prospects
The opened window allows you to:
1) The customer ID (it is unique for each customer) and
2) Customer’s name
3) General Tab to enter general customer information such as
address and contact
4) Address and contact tab to keep track of contacts and shipping
address for each customer
5) History Tab to enter historical information such as invoice /
payment dates
6) Sales information Tab to enter customer sales information such as
: shipping methods and prices .
7) Payment and credit Tab to enter information about payment terms
the business offers
