HealthNet, a network of 15     BMC deployed SAP R/3 4.6C in 2001 and the consequent high volume of data growth had
community health centers       become a major concern for the organization. With 4581 employees and more than 840,000
serving more than a quarter    patient visits in 2009, the total database size in the production environment was fast growing.
million people annually.       The company’s current SAP system was not efficient for reporting, queries and searches, as
                               the system took a very long time to process and execute. They sought a comprehensive
                               data archiving process for their SAP landscape to reduce the amount of live data that would
                               increase performance and reduce the time needed for system backup activities. Data archiving
                               is the process of removing mass data from the SAP database combined with ongoing storage
                               of this data on to secondary media. After removal, this archived data is still accessible to
                               end users via their SAP Standard Interfaces or third party tools. The large volumes of data
                               accumulating in the SAP R/3 database has significant impact on system performance, dialog
                               response times, time required for backup of the system and overall cost of utilization.

                               BMC’s objective was to reduce the overall size of the database by 30% in the areas of Human
                               Resources (HR), Finance and Accounting. YASH Technologies was selected as the strategic
                               partner to define and implement a standard archiving process along with documented
                               procedures for data archiving, recovery, and destruction.
YASH performed a detailed system assessment of the database growth. After understanding the detailed business requirements, a
phased archiving strategy was designed, and covered the archiving objects, business data elements, retention periods and retrieval
plans.



    Phase 1—Analysis: Create the detailed plan, identify additional hardware/software requirements, acquire/update data retrieval
    methods as necessary.

    Phase 2—Archive Solution Design: Archive objects, confirm retention strategy, define functional requirements and specifications
    for the archiving retrieval process, outline SAP security changes, and identify OSS notes according to system version.

    Phase 3—Implementation: Test procedures for archiving, configure archiving objects, install and configure storage and archive
    retrieval roles, conduct custom programming, test case definition, perform unit and integration testing, and prepare for training.

    Phase 4—Execution: Plan go-live and job scheduling, conduct end-user training and help desk preparation.

    Phase 5—Go-Live and Maintenance: Complete archiving, measure and report archiving results, and transition maintenance plan.



YASH provided additional custom enhancements with complete documentation for functional reports using archived and non-archived
payroll and HR data to meet BMC’s unique business requirements. This resulted in a 98% reduction of database size.


Successful Data Archiving Processes Reduced Backup Costs by 40%
BMC’s successful data archiving initiative reduced backup costs by 40%, and improved productivity and collaboration with instant data
and document access. Most importantly, BMC realized a reduction in payroll processing time from 1-2 days to a few hours. Additional
benefits incurred included:

In the future, BMC would like to extend their current SAP ERP footprint to include upgrading to the newest version, ECC 6.0. YASH
delivered a successful data archiving strategy that will minimize risk, and provide a foundation for faster, more cost-effective upgrades
to higher version releases.
