Documentation of Art Collection
Why Documentation
Information: What, Why, How, When, who
Material, Function , Techniques, Condition, Alteration, Condition
Administration of collection, storage, security, auditing and insurance.
To formulate acquisition policies by identifying the scope and
limitations of the collection.
To enable the collections to be researched and published.
To provide information such as radiographs, metallorgraphs, analytical
report etc., for authentication at the time of theft & retrieval etc.

Principle Practices
Set the standard Data Format for respective purpose.
Acquisition, Storage, Conservation,Transportation.
Maximum data to be acquired for different purpose
Documentation should be able to cater Curator, Restorer, Researcher
& Visitor.
Initial documentation for entry of the object into the museum.
Item documentation is the full record of all information about the
object.
Central documentation track the object movement and location.
Collection management, & administration.

Registration
Accordingly to Antiquities and Treasures Act of 1972 was passed
with the double object of registering all antiquities in the country and
to regulate them. Section 14 (1) of the Act provides for the
registration of antiquities as specified from time to time by
government before the registering officer for the grant of a
certificate of registration.
Registration Division is arranging insurance, supervising packing
and unpacking, keeping track of location of objects, whether on
exhibition or in storage, and in general taking responsibility for the
collections’ safe handling.
Small museums the Curator has to carry out this entire job
single-handed.

The number of objects (if a group) - Number of objects.
A brief description (or image) - Brief description.
The current location - Current location. This should be a Location
reference name/number.
If not your museum, a record of who owns the object - Current owner
(and, if your museum does own it, a record of where it came from).
Where possible, a note of who recorded this information and when -
Recorder and Recording date (use standard formats).
