Google apps have increased productivity by 10x at UB. Over 1 million documents are now stored on Google Drive. Lotus Notes has been retired and all users have been converted to Google Apps. Google tools like Hangouts, Chromebooks, and digital signage have replaced older technologies and reduced costs. New business applications have been created using Google technology that are simple, intuitive, and accessible from any device. Adoption of Google apps at UB now exceeds industry benchmarks and has transformed the company into a digital business.

- 6. Google Adoption Drive There are over 1M documents on Google Drive. UB are in the 90+ percentile for Google usage when benchmarked externally. We are now a ‘digital’ business with Google technology overtaking Microsoft on premise. To see how your function compares see the Appendix. Google also helped facilitate 6 conferences in the last year. Functional Drives are now utilised across all departments. We are also adding the ‘Drive Ownership Transfer Tool’’ app to automate ownership transfer and maintain structure. We also renegotiated our Google licences and now have unlimited storage. 50 people simultaneously collaborating 6
- 7. G+ is a secure social platform that we have now implemented across all of UB with 4100 users having access. We have been recognised for our use of social media, with Google publishing an official Blog on our MAD day. Google + Hangouts Video conferencing has never been easier. Share with 25 locations simultaneously. Adding Chromebox for Meetings (CFM) equipment turns any meeting room into a modern VC. All UB sites have at least one. We use 5500 hours per month on Hangouts (c.£’000k saving). You can also join Hangouts from any device from anywhere and even dial a phone into the Hangout. - 8. Transformation Labs Hangouts on Air We introduced Hangouts on Air in 2015. Several Exec members have used this (YouTube/G+/Hangout) technology to broadcast to the 100s of people in their function for FREE. This previously cost £’0k each time. You will need training, rehearsals and a studio set-up. They are now used on a regular basis by some functions > 25 in 2016. We started running Transformation Labs in 2015. Group Comms, Procurement and parts of Finance took part. These workshops facilitated improved ways of working and new technology solutions. Inspire Explore Prototype Roadmap 8

Digital Signage Using low cost Google Chrome devices to centrally manage digital signage screens across all of our UK sites and offices. 9 Chromebooks ‘Disposable’ ultra low TCO laptops trialled successfully across 30 users. - 10. Business Applications We built 30 new simplified modern applications across various functions. You may be familiar with MyHR, Oracle Compliance, UB Projects, Investment Approval, Investment Reporting & Forecasting, Product Hold, CIM etc. These were built using UB innovative Frameworks - no licence required for unlimited users. - 11. Shine and Polish Sponsored by Group Comms a full modernisation of the Google business applications is underway with Material Design being applied throughout. This also provides responsive design so the applications work on mobile devices. You will see improvements to icons and applications. Now being branded to pladis IS Cockpit We have developed a full administration dashboard to monitor performance, usage and service across all of the Google estate. This collates all the information into one dashboard. 11
- 12. Measuring Transformation Softwatch has been used to measure actual time spent using Google vs Microsoft. Since Google was introduced there has been on average 5-10 minutes reduction in overall time spent per user per day. This equates to c.300 - 600 man hours per day across UB*. Google Analytics Digital initiatives are typically measured using Google Analytics. All of the UB business applications are monitored using this same technology.
