IMPLEMENTING
AN AMS
ON A NATIONAL SCALE
A MODEL
04/5/2017
Who’s idea was this anyway…
• Let’s make a single access portal for all historical archives
• There are *only* 320 archives
• Sounds like a piece of cake…
What we KNEW
• NOTHING
• What IS a “historical archive”?
• How many archives were out there really?
• How do we even go about doing such a project?
What we NEEDED to know
• Run a full survey of all archives
• 6 person team
• 14 months
• Stopped at 498
• (200 more…..?)
• RESULT: Comprehensive data
The Project
100
Archives
Catalog
Digitize
Online
Access
 A platform for cultural heritage archives to improve
the quality of and access to their collections
 A single access point to the catalogs and digital
images of archival material on the object level
 A national DIGITAL repository for long-term
preservation of cultural heritage assets
So what is it?

Deliberations
• centralized vs distributed data model
• archival standards
• data Integrity and uniformity
• cloud vs client
• supported product vs build-from - scratch
• What to do with all the small AMSless archives…..
Challenges - Fundamental
• Legal
• Copyright
• Privacy
• Ownership of metadata, digital material
• “what’s in it for me”
• Multi-lingual (RTL – Hebrew, Arabic)
• Many parties
Challenges - Technical
• Import catalogs from different AMS
• Different standards
• Adopt and implement a project standard
• Generate a LCD of data
• Ingest huge amounts of digital data
The problem with Standards
• Every archive is different
• Different data structure
• Various standards (DACS, ISAD(G), MARC, DC)
• No standard
• Other standard (museum)
The Model
• Technology infrastructure
• Centralized data system
• catalog metadata/digital material
• On board the vendors
• AMS for everyone (SaaS)
• Win-Win Strategy
• Subsidize the few
• Recruit the many
• Everyone is a partner
Adlib AMS LTDP
ExLibris
Rosetta
Architecture
• centralized AMS data system
• standards & best practice
• ISAAR-CPF, ISAD(G), EADi
• import tools (MINT)
• thesaurus (LCSH+)
• just get 'em started!
Catalog
Architecture
• Use centralized LTDP system
• Set standards and best practice for digitization
• Scan archives
• National “DRP”
• Accept already digitized material
• Create digitization partners
Digital Repository
• Limited project lifetime
• free for project duration
• then archive pays annual maintenance
• Archive pays for digital storage
• Self Sustainable
Sustainability

Most historical archives unknown , inaccessible to the public Real danger of losing nationally valuable material. The goal of the project is to make accessible valuable cultural heritage material through digitization and cataloging of the material and providing free access on the Internet.
