Food & Beverage
• Adobe will provide virtual gift card options to user group
leaders up to $500 to be used for food and beverage at in-
person events​
• In order to claim your gift card, please submit a request via this
form (must be requested a minimum of 3 weeks before event) ​
• If there are more than 50 confirmed in-person RSVPs, Adobe
will increase this amount to a maximum of $750USD*

• Gift cards will be distributed on a first-come, first-served basis

Promoting Your User
Group Chapter Launch
• Adobe supports the promotion of your user groups through various
channels such as Experience League Community, the User Group
landing page, social posts, and more.
• For new chapter launches, Adobe also supports promoting your user
group chapter through an email blast to our marketable contacts.
• If you are interested in requesting an email send to promote your
upcoming user group launch, please request the email send through
this form at least 4 weeks prior to your desired email send date (earlier
than your meeting date if you have your first meeting scheduled).
• To be eligible for a promotional Adobe email campaign, you must meet
the following criteria:
• New chapter launch
• Chapter recruitment (for chapters with less than 50 members in
Bevy)
• Co-leader recruitment
• Marquee events (ex. Annual Mega MUG event)

Feature Spotlight: Interactive Mode
08 Virtual Event
If your event is virtual:
• Toggling on "Enable interactive mode" will enable
attendees' audio & video upon entry
o This is best if you'd like an interactive meeting where
members can converse freely
• If "Enable interactive mode" is NOT toggled on, attendees
can request to become a presenter in the meeting should
they want to turn on their audio & video
o The meeting host can also manually add them as a
presenter during the meeting as another option
• It is recommended to leave "Private Q&A" and "Disable
chat" toggled off
Note: "Enable interactive mode" must be toggled on before the
start of your event in order for the functionality to work properly

Running a test meeting using Bevy
This guidance outlines how to run a test Bevy Virtual Meetup event and to keep it hidden. Testing an event can be
helpful to visualize the attendee experience ahead of time and familiarize the hosts with the tools available.
• From your chapter page, click the link to Create Event
• During event creation, select the This is a hidden event check box, and set related fields as shown below
• Select Virtual in the Event venue.
• To ensure immediate access, set the start time to match your current time and time zone
under the Schedule & Agenda section.
• Click Save Draft.
• From the RSVPs tab, add a new ticket type, and set the quantity to at least 1, or to the number of speakers and panelists you will
have for this practice run.
• Click Publish.
• Visit the event page, register yourself, and then click the Join button in the banner to start the Bevy Virtual Meetup session. You
can send your event link to anyone helping you run a test event, then they can RSVP then join.

Please host your virtual meetings on the Bevy platform and record them, so attendance and a recording
are captured!
On the event day, use the
Virtual URL link to start the
Bevy Virtual Meetup session.
Be sure to record the
session!
After you RSVP to your own event, Hosts & Team leads can access Bevy Virtual Meetup any time before they start by
using the Virtual URL link found on the Bevy Calendar, your meeting invitation Email, or the Virtual URL link found at
the bottom of the Event page in Bevy.
TIP: The Join button on the Event page can be used, but only allows you to join 15 minutes before the event starts.

Bevy is the platform that Adobe and our Adobe User Group Leaders use to manage
User Groups. These slides are intended only for User Group Leaders
Bevy is used by Adobe to set up new approved Chapters and for User Group leaders
to manage their chapter and run Events. It also offers Adobe and User Group
Leaders tools to promote events and review metrics.
These guides provide instructions and tips for using Bevy effectively as a User Group
Leader.

User Group Leader Enablement – the NEW Dashboard
Bevy has released a brand-new group leader Dashboard, designed to
make it easier for you to manage groups and events. Currently in Beta,
you have the flexibility to try it out and switch back to the legacy
dashboard with just one click.
Key benefits of the new dashboard
▪ Improved UI and Workflows: With a modern, cleaner design, managing day-to-day
operations, like creating events and sending emails, has never been easier.
▪ AI Copilot Integration: Access new and exciting features embedded with our AI
Copilot, helping you streamline tasks and get more done efficiently.
How to access the new dashboard & switch back if needed
To start using the new dashboard, simply click the message banner located at the top of
your page when you're in the classic dashboard. The message reads:
"Try out the new dashboard! You can switch back at any time."
To return to the classic view, it's just as easy. Click the same button, which will now say:
"Not finding what you need? Switch back to the legacy
dashboard."

User Group Leader Enablement – Practice hosting an Event
This guide describes how to run a test Bevy Virtual Meetup event and how to
keep it hidden. Testing an event helps hosts visualize the host and attendee
experience ahead of time and gives you a place where you can practice
hosting on the Bevy platform.
1. On your Chapter page, click the "New Event" button at the top of the page, or go
to the "Dashboard" area and click on the "Events" menu item.
2. Choose "Virtual" as the event type.
3. Configure these in the General settings area:
1. Click these settings ON: "Test Event" and "This is a hidden event" (This
option is critical and prevents email announcements from being sent out to
your members!)
2. Set the Event Venue to Virtual
3. In the Schedule and agenda section, set the start time to match your current
time and time zone under the Schedule & Agenda section.
4. In Virtual Event Platform, select "Bevy Virtual" then make selections on
settings there. Click "Automatically record event" and "Enable Interactive
Mode" and decide if want to enable "Private Q&A" or "Disable Chat"
4. Click Save Draft.
5. From the RSVPs tab, add a new ticket type, and set the quantity to at least 1.
6. Click Publish.
7. Visit the event page for the test event you created, register yourself.
8. Send your event link to anyone who you have on hand to help you run a test
event!
9. Click the "Join" button in the banner to start the Bevy Virtual Meetup session
practice session. Test out recording the event, checking the chat for questions,
sharing the presentation slides, etc.

User Group Leader Enablement – Practice hosting an Event This guide describes how to run a test Bevy Virtual Meetup event and how to keep it hidden. Testing an event helps hosts visualize the host and attendee experience ahead of time and gives you a place where you can practice hosting on the Bevy platform. 1. On your Chapter page, click the "New Event" button at the top of the page, or go to the "Dashboard" area and click on the "Events" menu item. 2. Choose "Virtual" as the event type. 3. Configure these in the General settings area: 1. Click these settings ON: "Test Event" and "This is a hidden event" (This option is critical and prevents email announcements from being sent out to your members!) 2. Set the Event Venue to Virtual 3. In the Schedule and agenda section, set the start time to match your current time and time zone under the Schedule & Agenda section. 4. In Virtual Event Platform, select "Bevy Virtual" then make selections on settings there. Click "Automatically record event" and "Enable Interactive Mode" and decide if want to enable "Private Q&A" or "Disable Chat" 4. Click Save Draft. 5. From the RSVPs tab, add a new ticket type, and set the quantity to at least 1. 6. Click Publish. 7. Visit the event page for the test event you created, register yourself. 8. Send your event link to anyone who you have on hand to help you run a test event! 9. Click the "Join" button in the banner to start the Bevy Virtual Meetup session practice session.
