INTRODUCTION

Company Description:

HABIB BANK LIMITED (HBL) is not an overnight success story. HBL is a Banking Company,
which is engaged in Commercial & Retail Banking and related services domestically and overseas.

History of the Company:

HBL was incorporated on 25th August 1941 and operated in the private sector until its
nationalizations in 1974. HBL has been approved for privatizations and the privatizations
commission has selected a Financial Advisor to prepare a comprehensive plan and assist in the sale
process. Mohammed Ali Jinnah, Pakistan's founding father, realized the importance of financial
intermediation while he was campaigning for the creation of a separate homeland for the Muslims of
India. He persuaded the Habib family to establish a commercial bank that could serve the Indian
Muslim community. His initiative resulted in the creation of Habib Bank in 1941, with HO in
Bombay (now Mumbai), and fixed capital of 25,000 rupees. The bank played an important role in
mobilizing funds from the Muslim community to finance the All-India Muslim League's campaign
for the establishment of Pakistan. Habib Bank also played an important role in channeling relief
funds to the people hurt in the communal riots and violence that preceded the departure of the British
from India.

recover and clean its doubtful and classified portfolio. This is regulated under the Banking
Ordinance 1962 & the Companies Ordinance 1984

Services:

Habib Bank offers the basic range of banking services to its customers, to include Commercial,
Corporate, Investment, and Retail Banking, Treasury, and Islamic Banking

It has a network of almost 1400 branches all over the world, but in Pakistan 157 branches are
working. The branch break up province wise is:

BRIEF HISTORY OF THE ORGANIZATION

HBL established operations in Pakistan in 1947 and moved its head office to Karachi. Our first
international branch was established in Colombo, Sri Lanka in 1951 and Habib Bank Plaza was built
in 1972 to commemorate the bank’s 25th Anniversary.

With a domestic market share of over 40%, HBL was nationalized in 1974 and it continued to
dominate the commercial banking sector with a major market share in inward foreign remittances
(55%) and loans to small industries, traders and farmers. International operations were expanded to
include the USA, Singapore, Oman, and BelgiuSeychelles.

On December 29, 2003 Pakistan's Privatization Commission announced that the Government of
Pakistan had formally granted the Aga Khan Fund for Economic Development (AKFED) rights to
51% of the shareholding in HBL, against an investment of PKR 22.409 billion (USD 389 million). On
February 26, 2004, management control was handed over to AKFED. The Board of Directors was
reconstituted to have four AKFED nominees, including the Chairman and the President/CEO and
three Government of Pakistan nominees.

Banking operation:

HBL has over the years focused on streamlining its operations through closure of inefficient
branches and reduction in workforce. Over the last five years, HBL has closed down 150 branches
and reduced its workforce by about 2,600 employees. However, at the same time; HBL has invested
in technology and is in the process of implementing a core banking application, which is expected to
be completed by 2007.

Information System:

Information system is the life blood of an organization. Managers depend upon
accurate accessible and useful information, this requires the information system to
be responsive to their unique information needs, to empower them to think and act
strategically ,develop effective plans, and make decisions that increase their own
and their organization’s competitiveness.

What Is A Management Information System?

Definition: Management Information Systems (MIS) is the term given to the discipline
focused on the integration of computer systems with the aims and objectives on an
organization.

The development and management of information technology tools assists
executives and the general workforce in performing any tasks related to the
processing of information. MIS and business systems are especially useful in the
collation of business data and the production of reports to be used as tools for
decision making.

Applications of MIS :

With computers being as ubiquitous as they are today, there's hardly any large business
that does not rely extensively on their IT systems. However, there are several specific
fields in which MIS has become invaluable.

* Strategy Support:
While computers cannot create business strategies by themselves they can assist
management in understanding the effects of their strategies, and help enable effective
decision-making.

MIS systems can be used to transform data into information useful for decision making.
Computers can provide financial statements and performance reports to assist in the
planning, monitoring and implementation of strategy.

* Data Processing:

Not only do MIS systems allow for the collation of vast
amounts of business data, but they also provide a valuable
time saving benefit to the workforce. Where in the past
business information had to be manually processed for filing
and analysis it can now be entered quickly and easily
onto a computer by a data processor, allowing for faster
decision making and quicker reflexes for the enterprise as a
whole

The field of MIS can deliver a great many benefits to enterprises in every industry.
Expert organizations such as the Institute of MIS along with peer reviewed journals such
as MIS Quarterly continue to find and report new ways to use MIS to achieve business
objectives.

Core Competencies:
Every market leading enterprise will have at least one core competency – that is, a
function they perform better than their competition. By building an exceptional
management information system into the enterprise it is possible to push out ahead of the

competition. MIS systems provide the tools necessary to gain a better understanding of
the market as well as a better understanding of the enterprise itself.

Enhance Supply Chain Management:
Improved reporting of business processes leads inevitably to a more streamlined
production process. With better information on the production process comes the ability
to improve the management of the supply chain, including everything from the sourcing
of materials to the manufacturing and distribution of the finished product.

Quick Reflexes:

As a corollary to improved supply chain management comes an improved ability to react
to changes in the market. Better MIS systems enable an enterprise to react more quickly
to their environment, enabling them to push out ahead of the competition and produce a
better service and a larger piece of the pie.

MANAGEMENT INFORMATION SYSTEMS AT HBL

Information Technology:

We use the term information technology or IT to refer to an entire industry. In actuality,
information technology is the use of computers and software to manage information. In
some companies, this is referred to as Management Information Services (or MIS) or
simply as Information Services (or IS). The information technology department of a large
company would be responsible for storing information, protecting information,
processing the information, transmitting the information as necessary, and later retrieving
information as necessary

Management Information System:

Management Information Systems at HBL are where people plan, develop, use, manage,
and study computer-based information systems in organizations. Management
information system provides information to support decision-making by mangers. MIS at
HBL provides reports and display to managers.

Modern Information Technology Departments:

In order to perform the complex functions required of information technology
departments today, the modern Information Technology Department would use

Information systems for banking sector:

Character of activities of banking institutions requires support by complex information
systems where emphasis is laid on security, stability, data protection as well as real time
operation. At the same time, supporting information systems are required to be
continually innovated depending on new IT tools and functionalities and on clients’
requirements. Banking institutions shall continuously reflect the needs of their clients and
permanently update and extend portfolio of their products and services. At the same time,
they have to modify and improve their information systems as well.

HARDWARE

Random Access Memory (RAM);

Pronounced ram, acronym for random access memory, a type of computer memory that

Software is the general term for information that's recorded onto
some kind of medium. For example, when you go to the video store and rent or buy a
tape or DVD, what you're really getting is the software that's stored on that tape or disk

A set of instructions given to the computer in machine code that tells the computer what
to do and how to perform the given task of the user is known as computer software

Computer software is a general term used to describe a collection of computer programs,
procedures and documentation that perform some tasks on a computer system.

a cost of $250 per year and per user. This office is completely licensed.

Open Office:

Open office is freebase and freeware. It is free of cost and also without licensed.

Reports:

Every kind of report is generated by the software (SYMBOLS HBL). These reports are
generated on the requirement. Reports are generated on the daily basis. These reports are
used to check the daily transactions.

“SYMBOLS” Banking Software:

HBL being ranked in top five banks of Pakistan is quite possessive about its online
system and was using very good banking software “MIBS” – Multi Currency Inter-
branch system. This banking software fulfilled all the weaknesses of previous system and
had very strong reporting features. But it had a major flaw too that can hampers the
growth of bank i.e. It’s not a real time banking software

With the passage of time banking became more and more service oriented. Now days all
banks especially foreign banks provide real time banking services, So HBL being quite
aggressive in its operations again took first step towards it and purchases “SYMBOLS”
banking software from Singapore Company “System Access”. Symbol’s is
internationally recognized and well renowned banking software especially for its multi
system and for providing wide range of modules i.e.

Use and Working Of SYMBOLS Banking Software:

HBL after providing training to staff (region wise) starts its installation in all branches
from 2005. SYMBOLS is an integrated customer centric solution for Retail and corporate
banking, designed to support small, medium or large branch networks in personalized
delivery of all banking products and services to all kinds of banking customers. It enables
all services related to current accounts, savings accounts, term deposits, and customer
lending.

System Features:

Multi-branch functionality is one of the prominent features of the system. Customer does
not have to physically go to the ‘home’ branch to do a transaction; any SYMBOLS
branch would provide the desired services, in addition to the available e-banking
facilities.

SYMBOLS multi-branch system allows customer of one branch to go to any of the
SYMBOLS branch to avail related services. There are multiple one-time parameters that
are centrally incorporated into a specific module of the System according to Bank’s
requirements. Symbol’s Kernel (FM) module is a central repository of programs,
business rules and enterprise-wide reference data such as: Customer information (name,
contact details, classifications etc), Customer. The bank remains focused on using
technology for improving customer services standard and expanding the range of
products being offered and other technology based solutions

“Database is a collection of information that you organize and access according to the
logical structure of that information.”
Types of Database:-

There are two types of database according to location.
• Distributed Database
• Centralized Database

Distributed Database:
When data is stored on different location it is called distributed database.

Centralized Database:
When data is stored on one location and it is used by different location it is called
centralized database.

Characteristics of Centralized Database:

• In centralized database you need to keep security on one place.
• In centralized database you keep security on one place.
• There are fewer chances of frauds in centralized database.
• Centralized database are more costly.
• In centralized database reporting is easy.
• Less number of transactions is held in centralized database.

Every organization keeps its database and structure of one organization is different from
other. Big organization has different structure than the organization having smaller in
size.

stored.

on the data sent by the branch.

Network Structure of HBL:

HBL using four types of networks which are:

• Wide Area Network (WAN)
• Global Area Network (GAN)

Local area network:
A local area network (LAN) is a computer network covering a small physical area, like a
home, office, or small group of buildings, such as a school, or an airport. Current wired
LANs are most likely to be based on Ethernet technology, although new standards like
ITU-T G.hn also provide a way to create a wired LAN using existing home wires (coaxial
cables, phone lines and power lines)

Wide area network:

A wide area network (WAN) is a computer network that covers a broad area (i.e. any
network whose communications links cross metropolitan, regional, or national
boundaries [1]). Less formally, a WAN is a network that uses routers and public
communications links. Contrast with personal area networks (PANs), local area networks
(LANs), campus area networks (CANs), or metropolitan area networks (MANs), which
are usually limited to a room, building, campus or specific metropolitan area (e.g., a city)
respectively. The largest and most well-known example of a WAN is the Internet. A
WAN is a data communications network that covers a relatively broad geographic area
(i.e. one city to another and one country to another country) and that often uses

transmission facilities provided by common carriers, such as telephone companies. WAN
technologies generally function at the lower three layers of the OSI reference model: the
physical layer, the data link layer, and the network layer

Global area network:

A global area networks (GAN) (see also IEEE 802.20) specification is in development by
several groups, and there is no common definition. In general, however, a GAN is a
model for supporting mobile communications across an arbitrary number of wireless
LANs, satellite coverage areas, etc. The key challenge in mobile communications is

Virtual private network:

A virtual private network (VPN) is a computer network in which some of the links
between nodes are carried by open connections or virtual circuits in some larger network
(e.g., the Internet) instead of by physical wires. The data link layer protocols of the
virtual network are said to be tunneled through the larger network when this is the case.
One common application is secure communications through the public Internet, but a
VPN need not have explicit security features, such as authentication or content

Intranet:

An intranet is a set of networks, using the Internet Protocol and IP-based tools such as
web browsers and file transfer applications that are under the control of a single
administrative entity. That administrative entity closes the intranet to all but specific,
authorized users. Most commonly, an intranet is the internal network of an organization.
A large intranet will typically have at least one web server to provide users with
organizational information.

Extranet:

An extranet is a network or internet work that is limited in scope to a single organization
or entity and also has limited connections to the networks of one or more other usually,
but not necessarily, trusted organizations or entities (e.g., a company's customers may be
given access to some part of its intranet creating in this way an extranet, while at the
same time the customers may not be considered 'trusted' from a security standpoint).
Technically, an extranet may also be categorized as a CAN, MAN, WAN, or other type
of network, although, by definition, an extranet cannot consist of a single LAN; it must
have at least one connection with an external network.

Internet:

The Internet consists of a worldwide interconnection of governmental, academic, public,
and private networks based upon the networking technologies of the Internet Protocol
Suite. It is the successor of the Advanced Research Projects Agency Network
(ARPANET) developed by DARPA of the U.S. Department of Defense. The Internet is
also the communications backbone underlying the World Wide Web (WWW). The
'Internet' is most commonly spelled with a capital 'I' as a proper noun, for historical
reasons and to distinguish it from other generic internet works

TOPOLOGIES

There are five main types of Topologies.

• Bus Topology

• Ring Topology

• Star Topology

• Tree Topology

• Mesh Topology

Bus Topology:

Bus topology is one the easiest topologies to install, it does not require lots of cabling.
There are two most popular Ethernet cable types which are used in this topology they are
10Base-2 and 10BaseT. Bus topology based networks works with very limited devices. It
performs fine as long as computer count remain with in 12 – 15, problems occurs when
number of computer increases.
Bus topology uses one common cable (backbone) to connect all devices in the network in
linear shape. Network interface cards of all network devices are attached to single
communication medium backbone cable.

Ring Topology:

Ring topology is one of the old ways of building computer network design and it is pretty
much obsolete. FDDI, SONET or Token Ring technologies are used to build ring
technology. It is not widely popular in terms of usability but incase if you find it any
where it will mostly be in schools or office buildings. In ring network topology
computers and other networking devices are attached to each other in such a way that
they have devices adjacent to each other (Left and right side). All messages are travelled
in the same directory either clockwise or anticlockwise. In case of failure of any device or
cable the whole network will be down and communication will not be possible.

Star Topology:

This is the most commonly used network topology design you will come across in LAN
computer networks. In Star, all computers are connected to central device called hub,
router or switches using Unshielded Twisted Pair (UTP) or Shielded Twisted Pair cables.
In star topology, we require more connecting devices like routers, cables unlike in bus
topology where entire network is supported by single backbone

Tree Topology:

Just as name suggest, the network design is little confusing and complex to understand at
first but if we have better understanding of Star and Bus topologies then Tree is very

simple. Tree topology is basically the mixture of many Star topology designs connected
together using bus topology. Devices like Hub can be directly connected to Tree bus and
each hub performs as root of a tree of the network devices. Tree topology is very
dynamic in nature and it holds potential of expandability of networks far better than other
topologies like Bus and Star.

DATA BACKUP MANAGEMENT

Although most database systems have incorporated backup and recovery tools into
their interfaces and infrastructure it is a good idea to understand what the backup and
recovery process involves, beyond the work flow of using the tools. With the

information in your database specifically, there has never been a time when safe
backups and reliable recoveries were more important.

Database Backup and Recovery Needs:

they do not provide proper information about bank and online services.

RECOMMENDATIONS FOR HBL

1. E _Statement

The account statement of customer must mail him after 15 days.

2. Transaction through mobile service

Customers must provide the facility to make transaction through mobile. By doing this
customers can save time and also transportation expense.

3. Update customers after every transaction

After every transaction customers must inform that their transaction has been taken place.

4. Marketing development

New technologies must adopt to facilitate the customers.

5. Cyber warfare
Cyber warfare must adopt to prevent electronic attacks to save important documents and bank
privacy.

6. High Risk in Internet Banking

As there is no proper cell is established throughout the country. It is difficult to
handle incase of cyber crime. The customers feel less protection in this regard.
