Planning and Costing

The Process of Making Multimedia
• Plan for the entire process
• beginning with ideas
• Ending with completion and delivery of a
finished product.
IDEA Evaluation / Report Product
Revision
Idea Analysis
• what you want to do?
• What is your purpose and message?
• Will interactivity be required?
• What hardware & multimedia software available?
• How much time & money do you have?
• Who is your intended audience?
• How will you distribute the final project?
• Will you need to update and/or support the final product?
Is there a client,
• what does the client want?
• How can you organize your project?
Also, maintain balance between purpose and
feasibility by dynamically adding and subtracting multimedia
elements as we stretch and shape our idea
Idea Management Software
• Used to arranging ideas and the many tasks, work items, employee
resources, and costs required of our multimedia project
• Project management tools provide the added benefit of built-in analysis to
help us to stay within our schedule and budget during the rendering of
the project itself.
Project Management Software :
- Critical Path Method (CPM) scheduling
functions to calculate the total duration of a project based
upon each identified task.
- Program Evaluation Review Technique (PERT)
charts provide graphic representations of task relationships,
showing prerequisites, the tasks that must be completed before
others can commence.
- Gantt charts depict all the tasks along a timeline.
The Paper Napkin
-any writing surface can serve as a repository for ideas
Pretesting
- Define project goals & prototype
- set or take skills, content, and money to meet
project goals
1.Task Planning :
- many task are in multimedia project
- maintain Checklist for all tasks
- eg: Design Instructional framework, Determine
Delivery & Authoring Platform, Story board, etc.
2. Building a Team
-Building a matrix chart of required skills
- Skill Players in multimedia technology come from all
corners
of the computer and art worlds as well as from a variety
of other disciplines
(diagram page no:268)
3. Prototype Development
- it is also called a proof-of-concept or feasibility study
-During this phase we can test
 ideas & interfaces,
 the hardware platform & software platforms
 misjudgment of the effort required for various tasks.
- Test your prototype along several fronts:
1 . technology (will it work on your proposed delivery platform or platforms?),
2. cost (can you do this project within budget constraints?),
3. market (can you sell it, or will it be properly used if it is an in-house project?),
4. and human interface (is it intuitive and easy to use?).
4. Alpha Development –
-First phase of development only available to a small group of
people.
5. Beta Development
- second phase of development to a larger group of
people.
6. Delivery - deliver the project in CD-ROM , DVD and WEB
Scheduling
• Include milestones at which certain deliverables are to be done.
• To create this schedule, we must estimate the total time required
for each task and then allocate this time among the number of
persons who will be asynchronously working on the project
• Scheduling can be difficult for multimedia projects because so much
of the making of multimedia is artistic trial and error.
• It can be difficult because the technology of computer hardware
and software is in constant flux, and upgrades
• client sign-off on the work, that he has approved the work to that
point.
• If the client changes his mind later in the process, then any
revisions of the previously approved materials would require a
change order, meaning that the client agrees to pay the additional
costs for making the changes
Estimating
• To estimate cost & effort
• It includes,
1. Production of a storyboard
2. Postproduction editing time in a professional video studio
3. Specialized Skills
4. professional acting talent
5. Hidden costs of administration & management
• outside client, we will also need to determine a
payment schedule.
• Payments are often divided into thirds:
1 . Onethird up front upon the signing of a contract,
2. one-third as work products are delivered and approved
during the alpha and beta development phases,
3. and one-third upon final approval of the completed
production.
• Billing Rates:
- depending upon the work being done
and the person doing it.
• Everyone who contributes to a project should
have two rates associated with their work:
• the employee’s cost to the employer (including salary
and benefits),
• and the employee’s rate billed to the customer.
RFPs and Bid Proposals
• Request for Proposal (RFP) - are typically
detailed documents from large corporations
that are “outsourcing” their multimedia
development work.
• Bid proposal will be passed through several
levels of a company so that managers and
directors can evaluate the project’s quality
and its price
• The backbone of the proposal is the estimate
and project plan
• It describes the scope of the work
• If the project is complicated, prepare a brief
synopsis of both the plan and the timetable;
include this in the overview.
• If there are many phases, we can present each
phase as a separate section of the proposal.
• Contract terms:
– A description of our billing rates and invoicing policy
– policy on client sign-offs and change order costs.
– policy for billing out-of-pocket expenses for travel, telephone, etc
– policy regarding third-party licensing fees for run-time modules and special
drivers (the client pays)
The Cover and Package
• Develop special style for a proposal cover and
package
• Make the entire package plain and simple
Table of Contents
• is a straightforward way to present the elements of our proposal in condensed
overview
• we may also wish to include an executive summary
Needs Analysis and Description - to describe in some detail the reason
the project is being put forward through a company’s executive hierarchy in search
of approval and funding.
Target Audience - All multimedia proposals should include a section that
describes the target audience and target platform
Creative Strategy - a description of the look and feel of the project itself.
Project Implementation - A proposal must describe the way a project will be
organized and scheduled.
