Activate Project Settings Click on Save Settings

Manage Users Click on Manage Users

Create a User Name & Password and select user permissions Click on Add User

Incentive Management Click on Manage Incentives

Enter the relevant incentive value Click Update Incentive

Screen will show incentive values and that incentives have been modified. Click on Admin Menu to return to Admin Click on Admin Menu

Generate Seeds Click on Generate Seeds

Select the number of seeds required

Your site is ready to recruit participants You can logout You can now recruit your Seeds Proceed to Main Menu

Scan in the Participants Barcode Scan in a barcode Scan Participant Voucher

Participant Coupon Number will show up Click on Validate Participant If you enter number manually System will automatically validate or

Check Client Eligibility Click on Eligibility

Answer the appropriate Eligibility Questions Tick appropriate answers Click Submit

Click Print Folder Barcodes Printer will print barcodes Click on Continue to proceed with process

Consent form can be read to Participant – hard copy signed Barcode affixed to hard copy Tick that participant agreed. If they decline the participant Will become ineligible. Click Submit

Click OK to confirm selection If the participant is eligible they then enter the study site to participate.

Administer Questionnaire Click on Questionnaire

Click Submit Provide participant with hardcopy of questionnaire and affix a client barcode

After client finishes questionnaire the barcode is scanned.

Through submitting the questionnaire into the system it will be entered into the systems data base and client will be eligible for their incentive. Click Yes

Click Yes if client completes DBS, If No reason can be entered into the box.

By submitting the client will be registered onto the system and then eligible for their incentive. If the client does not complete the DBS they will not receive their incentive.

The system will verify selection was correct. Click OK

Client will be issued with DBS tracking number so that it can be attached to client file to ease the entry of DBS results.

A V oluntary C ounselling T esting option is also included in the system. This can be activated in the Project Settings Menu. Click on VCT icon

Scan in client Barcode to activate VCT record form

Click required selections Click Submit

Once the participant has completed all the required research requirements they then proceed to the site Administrator.

Click on Administer Participant

Scan Barcode Click on Validate Participant

Click on 1 st Visit Checklist

Check tick Boxes to see participant has participated in all required fields Select interviewer

The system will automatically print a Barcode with Date & Time that can be stuck on participants file or envelope. Click OK

Personal details can be captured if required. This setting can be enabled in Project Settings Menu as a verification system or for a second visit or loss of ID.

Fill in Required Fields and Submit.

Click on Print Invitations, the printer will automatically print invitation Barcode Click Continue

The screen will show completed steps, Click on Incentives Due to proceed.

Incentives Due will reflect Pending Payments. Tick the boxes and click on Update Payment Status. Click on Print Invitations

System will record Date & Time incentives paid and who authorised payments Click on Continue

That would complete the process. The Print ID Barcode is for a Backup should it be required in place of an invitation card.

So that would conclude a clients participation in the study.

In the Admin menu under Data Administration select Project Statistics Click on Project Statistics

Select Statistics Click on Icon
