They’re responsible for Recruiting and Hiring Employees till Retirement & Offboarding of Employees, Training and Development, Performance Review of Subordinates, Exit Interview Completion, Employee Relations, Employee Welfare Activities like Canteen Facilities, Employee Lifecycle, Labor Relations, HR/Personnel policies, and more. In short, this department is accountable for anything and everything related to the people who work for this company. 3.3 Production/ Operation Department- The production department often works very closely with the purchase department. It offers Product/Services. It includes activities like Engine operations, Production planning & control, Exports Planning, Quality Control Management, Material Planning, Product Management Office (PMO) comprises of Manpower Planning, Resources Planning 3.4 Marketing Department- This Department looks over the Area of Operations, Competitors, Market Share, Advertising, Sales & Promotion, Merchandise Gift Items Tracker Updation, Driver Engagement activities, Programming like Tagline of Eicher – “Mileage ka Badshah”, CSR Activities, Word of Mouth etc. 3.5 Administration Department- The role of administration department is to process all of the admin and documents for the rest of the company. It is responsible for allotting Sim Cards & Joining kits to new Joiners. Administrative staff manages the Staff Bus Facility, Bachelor Accommodation, Reimbursement of Fuel/Mobile Bill/ Data Bill payments.
- 21. 21 3.6 Purchase Department/ Procurement- This Department serves a fundamental role in decision making for internal and external affairs of Negotiation, Cost Effective Solution, Searching Vendor to Ensure/ Sourcing, Continuous Production by telling what needs to be produced & will give an idea of how many pieces of products are needed in order to satisfy the demand of customers. 3.7 Technical Services/ IT Department - It overlooks the utilities of VECV Internal Arrangements i.e., Regular Maintenance of Lights, AC etc. It also deals with Civil Infrastructural developments like Building a New Office, Renovation, Licensing of Machines which is governed by Govt. etc., and lastly looks over the Sustainability of Plant for Environment Concern. 3.8 Time Office- Maintenance of Employee Swipe Card, Feeding working days on portal for salary coordination with all employees, Canteen Deduction, Maintenance of Employee’s Leave is handled by Time Office Department. 3.9 Product Design & Development- PDD’s approach is to generate good ideas related to designing & developing the Engines, PMO (Product Management Office), QMO (Quality Management Office), Vehicle Integration, QCS- Quality & Control Support 3.10 Process Quality Assurance & Outbound Logistics- This department is responsible for Quality Checks & Dispatching Vehicles in particular time.

- 23. 23 CHAPTER 5 Learning & Weekly Overview of Internship Activities 5.1 Learnings • Induction Policies practiced in VECV • Importance of Employee Engagement & Team Building activities • Onboarding & Offboarding process INDUCTION POLICY of VECV Background • When a new entrant joins an organization, he/she is unfamiliar with the new work environment. Introduction of the new employee to his/her duties and to the organization as a whole provides the foundation for the future development of the new entrant. • Induction is the process of familiarizing a new recruit with the organization, its culture, values, its accepted practices and performance standards etc. • A good induction program helps the new entrant in adapting better to the new environment and also firms his/ her interest & confidence in the company. Objective- The purpose of this policy is to create a uniform and systematic process across VECV so that the new entrant receives a similar kind of induction experience irrespective of the joining location and the business unit. It focuses on the smooth transition of the new entrant from the outside world to the new work environment so that he/she gets adjusted to his/ her job fast. Overview of Policy- The induction module consists of the following: 1. Orientation program 2. On-the-job training 3. Buddy program 1. Orientation program • VECV follows a structured induction and orientation program spread over a duration of 21 days. This is followed by on-the-job training. At the end of the induction and orientation program, feedback is taken from all the new recruits as per the feedback form.
- 24. 24 2. On-the-job training • The 21 days Orientation program will be followed by on-the-job training. On-the-job training is designed & implemented by respective Business partner HRS in consultation with the concerned function heads. The duration of on-the-job training is 1 year for GETS and 6 months for MTS PGETs from their respective date of joining. 3. Buddy program • A "buddy" is someone who has been associated with the company for more than 2 years & is familiar with the organization culture, way of working and, at the same time, is also willing to commit a period of 1 or 2 months to help the new employee to settle down at the new work place by providing him/her with immediate access to operationally necessary information. • The duration of this association is 2 months from the date of allocation of the buddy. At the end of this association feedback is taken from the new recruit as per the feedback form. • When a new entrant joins a company, he/she is hesitant and unfamiliar with the organization's culture, the way of working and other organizational information necessary for carrying out the day-to-day operations of the company. The buddy program is a great tool to assist the new entrant in these areas.

- 36. 36 CHAPTER 6 CONCLUSION AND SUGGESTIONS Conclusion The automobile industry is one of the most important drivers of the economic growth of India and one with high participation in global value chains. The growth of this sector has been on the back of strong government support which has helped it carve a unique path among the manufacturing sectors of India. The automobiles produced in the country uniquely cater to the demands of all types of income groups of the population which makes this sector stand out among the other automobile-producing countries. My time at Volvo Eicher has been filled with learning and exploration. My mentor took me to other plants to observe and comprehend more about the company. My duration of 60 days was fascinating and knowledgeable for me. I have improved on my communication skills as all my colleagues were elder to me and were on senior positions. I have improved my brainstorming skills, strategy formulation, dispute resolution and other activities. He helped me deal with all the difficulties with greater ease. I have learnt to be punctual with things and seeing my colleague’s work day in & day out tremendously motivated me to give my best. The things that I have learned during my duration enabled me to identify opportunities, envision the future and create radical solutions to problems that employees might face. Suggestions • Company should increase their advertisement through various ways. • Company should have a proper flow of communication in the organization. • The company should be prepared, productive and proactive so that if any recession happens in future, then the company will able to cope up with it.
