ABSTRACT
• Now-a-days community apartments and gated communities apartments culture growing
rapidly.
• The main aim of the project is to maintain communication between secretary, tenants,
owners and watchmen and other people. It also aims to provide utility to maintain day to
day operations of apartments.
• This application helps them to store all transactions electronically in a system, which in
turn saves a lot of time, money, and energy. This application is an android based and it can
be used at any place anywhere by mobile android devices.
• Main idea behind designing apartment management system is to help construction
companies and maintenance service for handling maintenance details, billing details,
hardware, resource management and other related issues. Main advantage of using this
application is to reduce manual work and complete work in short time and security of data.
INTRODUCTION
• The requirements of the AMS require a tool be built for a local building management
company wishing to automate many of the interactions between tenant, landlord and
apartment management staff(Secretary and watchman).
• In addition to just handling rent money exchange, the system needs to keep track of the
entire services apartment owners offer to their tenants such as maintenance, documents
about the land and various other clearances, basic inspection and transfer of tenants.
• The project proved to be a large undertaking as we spent a significant amount of time
delving into the details of what the maintenance an apartment building requires and all of
the rent laws in Pennsylvania. The amount of work required significant breakdown by
services.
REQUIREMENT SPECIFICATIONS
• Software Requirements
Frontend : Java, Xml
Backend : Firebase (real time database)
IDE : Android Studio
Operating System : Windows 7
• Hardware Requirements
Processor : Pentium IV
Hard Disk : 100GB
Ram : ` 4GB
Processor : i -5 processor
LITERATURE SURVEY
EXISTING SYSTEM:
• Every year the company is designing new apartments and it’s a difficult task to manage the
records of each and every apartments in the manual system.
• It take lot of time but it also increases the chances of errors.
• In existing system the apartment management system will maintain the records in register
like registration, tenants/residency records, etc…there increases the lot of paper works.
• The system which is used nowadays has some drawbacks which need to be improved for
better performance.
• It requires lot of paper work and is time consuming.
PROPOSED SYSTEM
• For managing all the transactions near proposing a software application that takes care of
all the important transactions, maintenance. Implementation of this application will help
the residents/tenants in several ways. The present software application has various modules
which can ease the work.
• Now –a-days there are different insecurity issues like robbery .In this scenario, some
people come in the name of cylinder boys and gas agents vegetable seller, sales person etc.,
and do robbery in the apartments.
• To overcome this issue our proposed system provides a notification in the dashboard which
remains the secretary that particular flat will get the gas cylinder in the particular date.
• The proposed system also contains information details like phone number and address of
grocery, carpenter, plumber, gas booking ,electricity office, cable office and transport office
.
• This application will help to reduce the paper works and is less time consuming process.
And is also easier to operate the application to every one.
PROPOSED SYSTEM ARCHITECTURE
FEASIBILITY STUDY
Economic Feasibility
• Economic analysis is the most frequently used method for evaluating the effectiveness of
a new system.
• More commonly known as cost/benefit analysis; the procedure is to determine the
benefits and savings that are expected from a proposed system and compare them with
costs.
• The development cost for the development of the proposed system is genuine.
Technical Feasibility
• Technical feasibility centers on the existing computer system. (Hardware/Software) and to
what extent it can support the proposed addition.
• The facility to produce outputs in a given time.
• Response time under certain conditions.
• Ability to process a certain volume of transaction at a particular speed.
• Facility to communicate data to distant location.
Technical Feasibility

(Hardware/Software) and to what extent it can support the proposed addition.
• The facility to produce outputs in a given time.
• Response time under certain conditions.
• Ability to process a certain volume of transaction at a particular speed.
• Facility to communicate data to distant location.
Operational Feasibility
• What changes will be bought with the system?
• What organizational structures structures are distributed?
• What new skills will be required?
Social Feasibility
• Social feasibility is a determine of whether a proposed project will be acceptable to
the people or not.
• This determination typically examines the probability of the project being accepted
by the group directly affected by the proposed system change.
MODULES
• Create Tenants
In the application tenants are the users. So admin (secretary) create the tenants with
their name, phone no, first and last name, Gmail id and password. So the admin send these
username and password to the tenant’s Gmail. Certainly the tenants can login the application
using these credentials and can do different tasks like sending the notifications, events,
downloading the required documents send by the secretary and inbox chatting with their peer
group as well as with the Secretary.
• Notifications
In this module tenants and the secretary can pose different notifications like there is
an issue with the electricity and water in the block -2. So the tenants can understand this and
can arrange various other alternatives in the situation. So the admin can pose important dates to
pay different types of last dates like last date to pay the rent , electricity bill, water bill,
maintenance and various other bills
• Events
This module clearly explains about uniting various group of tenants on a single
platform like making their relationships and values strong. For instance if the apartment
people decided to celebrate any festivals regarding vinayaka chavati, dasara, depavali and
various other festivals, they can intimate to all the people in the event module with the
money, date, and inviting number of coordinators to host the festival etc.
• Inbox
It is one of the module which the existing system doesn’t consists of to have a chat
with other tenants and secretary. So we people got an idea that keeping a chat box in our
application helps to improve the communication between the tenants and tenant to the
secretary. So they can have private and social chat. Indeed when the tenants have any
disturbances with other tenants then they can use this inbox to send the message to the
secretary and complain him. So this will be a closure between them. So for this purpose we
are integrating this module in our application.
• Parking
The main aim of this module is requesting parking slots for the other tenants in case
of the need. In the apartment every tenants has their own parking slot.So they don’t have
any vehicle to park in their parking slot then any other tenants can request his slot to park
the vehicles. So certainly this the main advantage of the parking module.

TESTING
• Testing is the process of finding differences between the expected behaviour specified by
system models and the observed behaviour implemented system. From modelling point of view,
testing is the attempt of falsification of the system with respect to the system models.
• The goals of testing is to design tests that executes defects in the system and to reveal problems.
• The process of executing a program with intent of finding errors is called testing. During
testing, the program to be tested is executed with a set of test cases, and the output of the
program for the test cases is evaluated to determine if the program is performing as expected.
• Testing forms the first step in determining the errors in the program. The success of testing in
revealing errors in program depends critically on test cases.

CONCLUSION
• In this project we highlighted the need of Apartment Management system which is a time saving
process for the people who are living in the apartments. It also provides cardinal communication
between the tenants and escalates their relationships for better living and sharing information.
• Our project also helps to maintain security and providing scalability for n number of users to
access the data without redundancy. It also provides flexibility for the tenants to share their
documents, give complaints, pay their bills and various other issues etc.
• In this project efficiency of the application developed by our team initializes the few modules
which may have few more modifications depending upon the user requirements. So, there will
be scalability because this system is more secure as it is developed on java platform.
FUTURE ENHANCEMENT
• Now-a-days community apartments and gated communities apartments culture growing rapidly
in the metropolitan and semi metropolitan areas. So, for a common man to construct an
individual house is becoming a big dream in his life.
• So to bring his dream possible many construction companies offering apartments and individual
houses with n number of facilities to the people. But, when people are buying those apartments
they have many doubts that is the land is original, landlords are loyal and many other issues.
• So our project will have modifications based upon the growing needs of the users like
implementing biometric and face recognition in our application so to reduce anti social elements
like robberies, murders and various other activities.
• We are also aiming to integrate modules like the document sharing ,allowing payment by using
payment gateway and changing the application to the hybrid environment various all users
(Android, Windows, IOS) can access the application effectively.
