                        EARLY BOOK DISTRIBUTION PROJECT

The name of my project is “Early Book Distribution”. The process that I will be

analyzing is the distribution process of the books. Currently the distribution process is

flawed, I say this because on the first week of class the halls are packed with students and a

considerable amount of time is wasted receiving books than time spent in class. This

problem affects the instructors as well; they have to basically wait around until this process

of book distribution is complete.

Overall current process

   1. The book distribution process begins based on the schedules that are finalized 2

        weeks before start of class.

   2. Books are ordered from distributer

   3. Books are delivered to school between 1 week and actual day of first day of class.

   4. Books are stored in the bookstore based on the program and classes.

   5. First quarter students get books at orientation.

   6. Nursing students get their books on separate schedule.

   7. First day of class, students are called from class based on program.

   8. Students that have financial issues or did not complete REPAK are denied books and

have to report to financial aid and the assistant dean before they are permitted to

        attend class.

The scope of my project is book distribution before start of class.

Overall objective

To have books in the hands of all students within 10 minutes of start of 1st class

Get the bodies out of the hallway

       Eliminate class disruption (For instructors)

Desired state of process

       Get books before class

Have current books (up to date)

       Improved distribution process

 Receive books a week before

previous quarter, then have volunteer staff to come in a week prior to the start of the new

quarter which will include the associate dean and the organizer of the bookstore along with

four more volunteer staff members.

These employees of ITT Tech will be at the bookstore for 4 hours on Monday and

Tuesday from 10am to 12pm and 2pm to 4pm to hand out books to all students with a copy

of their proposed schedule for the next quarter. It will be proposed mandatory that

students come in during this timeframe; any students that don’t receive books the week

before because of problems with schedule or financial aide disputes will have to receive

their books before class the first week.

The bookstore will be open for 1 hour before class every day the first week for

students who did not get books the week before due to financial aide issues or problems

with schedule. With the cooperation of students and staff this process should run smoothly

eliminating the issue with student bodies in the halls and the wasted time from the first

week spent getting books instead of learning.

New process

   1. The book distribution process begins based on the schedules that are finalized 2

       weeks before start of class.

   2. Books are ordered from distributer

   3. Books are delivered to school 2 week before the first day of class.

   4. Books are stored in the bookstore based on the program and classes.

   5. First quarter students get books at orientation.

   6. Nursing students get their books on separate schedule.

   7. The week before the first day of class students come in to receive books at

       scheduled time.

   8. Students that have financial issues or did not complete REPAK are denied books and

have to report to financial aid and the assistant dean before they are permitted to

       attend class.

How to measure the success of this project?

One way to measure the success of this project is to have a survey posted on the

virtual library for the students to fill out.

Take a count of student that come in early to get books (use that number to make

       continuous improvements on the process)
