Pivot Reports Defined
MC University
Special type of Summary Report for
aggregation of data along two
dimensions
• Work Order Counts by Shop and Status
Pivot Reports Overview
MC University
Also used to present time periods in
logical date aggregations
• Total Labor Cost by Priority
• Can be setup to group by Week, by
month, quarterly, etc.
Pivot Reports Overview (cont’d)
MC University
Pivot Table Definition will determine the
fields available and how they appear
Fields by which Pivot Reports are
defined:
• Row definition
• Column definition
• Summary Data
Pivot Table Definition
MC University
Fields are added and edited to create
field definition
Examples of the columns include:
• Row:
Pivot Table Definition (cont’d)
MC University
• Column:

MC University
• Summary Calculation:
Pivot Table Definition (cont’d)
MC University
A report setup in this way will show a
count of Work Orders by type and
month of requested date:
Pivot Table Definition (cont’d)
MC University
Pivot setup tips:
• Fields should be in proper order (R-C-S)
• Remove unnecessary fields
• Use Pivot Setup to set definition
Pivot Table Definition (cont’d)
MC University
For this example we will create a Pivot
Report providing a summary of hours
worked on closed Work Orders for the
current year
Labor Hours by Priority for Current Year: Example
MC University
The configuration for this Report will be
as follows:
• Row: Work Order Priority
• Column: Work Month (based on date of
Labor on Work Order)
• Summary: Sum of Total Labor Hours
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
Closed Work Orders – Labor (Actuals)
Report will be used for useful pre-
defined data:
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
The Display fields list will be modified to
include the following:
• 1st field: [WO] Priority (Row)
• 2nd field: [WOLabor] Date (Column)
• 3rd field: [WOLabor] Total Hours (Summary)
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
[WO] Priority is edited to include the
following:
• Pivot Setup: Row
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
[WOLabor] Date is edited to include the
following:
• Pivot Setup: Column
• Columns Defined Using: Months (Jan, Feb,
Mar)
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
• Custom Expression? indicator set to Yes to
use pre-defined Custom Expression:
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
[WOLabor] Total Hours is edited to
include the following:
• Field Type: Numeric
• Aggregate Function: SUM
• Pivot Setup: Summary Data
• Total if Selected: Yes
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
Sort 1 updated to match the [WO]
Priority field and Group indicator is
removed:
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
Check the Layout tab to ensure the
Report is a Summary Report:
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
Report results will be similar to the
following:
Labor Hours by Priority for Current Year: Example (cont’d)
MC University
For this example we will create a Pivot
Report that shows the total costs
associated with all Work Orders by Type
and Shop
Work Order Costs by Type and Shop: Example
MC University
The configuration for this Report will be
as follows:
• Row: [WO] Type Desc
• Column: [WO] Shop Name
• Summary: [WO] Cost Total Actual
Work Order Costs by Type and Shop: Example (cont’d)
MC University
The Open Work Order List by Type
Report is copied for useful pre-defined
data:
Work Order Costs by Type and Shop: Example (cont’d)
MC University
The Display fields list is modified to include
the following:
• 1st field: [WO] Type Desc (Row)
• 2nd field: [WO] Shop Name (Column)
• 3rd field: [WO] Cost Total Actual (Summary)
Work Order Costs by Type and Shop: Example (cont’d)
MC University
Fixed Criteria WO.IsOpen = 1 is
removed from the Where (SQL) to
include both Open and Closed Work
Orders:
Work Order Costs by Type and Shop: Example (cont’d)
MC University
[WO] Type Desc is edited to include the
following:
• Pivot Setup: Row
Work Order Costs by Type and Shop: Example (cont’d)
MC University
Edit the second field [WO] Shop Name
to include the following:
• Pivot Setup: Column
• Columns Defined Using: Field Data
(Default)
Work Order Costs by Type and Shop: Example (cont’d)
MC University
[WO] Cost Total Actual is edited to
include the following:
• Field Type: Money
• Pivot Setup: Summary Data
• Total If Selected: Yes
Work Order Costs by Type and Shop: Example (cont’d)
MC University
Sort 1 field is changed to match the
[WO] Type Desc field and Group
indicator is removed:
Work Order Costs by Type and Shop: Example (cont’d)
MC University
Layout tab is checked to ensure the
Report is a Summary Report:
Work Order Costs by Type and Shop: Example (cont’d)
MC University
Report results will appear similar to the
following:
Work Order Costs by Type and Shop: Example (cont’d)
MC University
Now let’s practice creating a Pivot
Report for a Closed Work Order Count
by Type and Priority!
Creating Pivot Reports: Hands-On
MC University
Copy the Closed Work Order Count by
Priority Report
Enter a unique Report Name
• Example: “Closed Work Order Count by
Type and Priority – Initials – Date”
Creating Pivot Reports: Hands-On (cont’d)
MC University
Apply and run your test Report and
access the Report Setup
Add / ensure that only the following
fields are listed in the Report Display:
• [WO] Type Desc (Row)
• [WO] Priority Desc (Column)
• [WO] Count (Summary)
Creating Pivot Reports: Hands-On (cont’d)
MC University
Highlight the [WO] Type Desc in the
Display Fields list and click Edit
Select Row from the Pivot Setup field
Apply the changes
Creating Pivot Reports: Hands-On (cont’d)
MC University
Highlight the [WO] Priority Desc in the
Display Fields list and click Edit
Select Column from the Pivot Setup
field
Leave the default Field Data (Default)
option
Apply the changes
Creating Pivot Reports: Hands-On (cont’d)
MC University
Highlight the [WO] Count in the Display
Fields list and click Edit
Verify the Aggregate Function has been
entered as COUNT
Creating Pivot Reports: Hands-On (cont’d)
MC University
Select Summary Data from the Pivot
Setup field
Verify the column is set to Total if
Selected
Apply the changes
Creating Pivot Reports: Hands-On (cont’d)
MC University
Access the Sort / Group tab and change
the Sort 1 field to [WO] Type Desc
Remove any additional sort definitions
Access the Layout tab and verify the
Report is set to Summary Report
Creating Pivot Reports: Hands-On (cont’d)
MC University
Apply your changes to view the results:
