The basic building blocks of the contract documents are --  Professor Brandi R. Shepard© ACH 216-Construction Management
Drawings are the graphic representation of the work  They show material quantity and location; relationship of spaces to one another: Measurements/dimensions Footprint configuration/layout Siting (location on site) Details of materials & methods Building systems Schedules of Information
What’s included in the  DRAWINGS : Provide graphic representation of all the work to be completed.   Measurements/dimensions Footprint configuration Siting (location on site) Details of Materials & Methods Schedules of Information Building systems Structural, Enclosure, Mechanical/Electrical They show material quantity and location; relationship of spaces to one another BIDDING DOCUMENTS CONSTRUCTION DOCS
Specifications define the qualitative requirements  Verbally describe requirements Presents quality of material & installation Product data Considered the “meat” of the project    manual Testing Standards that must be met Information is organized using CSI 48  Division MasterFormat Introduced in 1963 Standard practice in US and Canada Current Edition: 2004
What’s included in the  SPECIFICATIONS : Technical information about materials indicated on the drawings Information is not easily communicated graphically Written requirements for project  Material Equipment Construction systems & standards Workmanship Specs represent the “quality” of the project PROJECT  MANUAL BIDDING DOCUMENTS CONSTRUCTION DOCS
PROJECT MANUAL Collection of written construction documents and project requirements Focuses on the administrative issues surrounding the project Typically bounded in book format Due to their format, the  Drawings  will always be considered separate from the  Project Manual  and should  NOT  be included in the  Project Manual
What’s included in the  CONTRACT FORMS : Agreement Form Contract required exhibits Bonds Performance Labor and material payment Warranty Maintenance Certificates Insurance Compliance (with stated requirements) Power of Attorney: agent that acts on behalf of the principal  PROJECT  MANUAL BIDDING DOCUMENTS CONSTRUCTION DOCS
 
What’s included in the  CONTRACT CONDITIONS : General Conditions Outlines the legal and regulatory rights, responsibilities and duties of Owner and Contractor (and others (A/E) involved in Project) Supplementary Conditions Modify or extend the standard general conditions Includes provisions relating to payments, retainage and insurance  Special Conditions Used when standard set of Supplementary Conditions need to be further complemented PROJECT  MANUAL BIDDING DOCUMENTS CONSTRUCTION DOCS
Assembled, these building block can be augmented (before bidding) by adding -- Written or graphic documents issued to clarify, revise, add to, or delete information in the original Bidding Documents
What’s included in the  ADDENDA : Written or graphic changes to the contract documents Interpretations of issues brought up by other parties (contractor, owner, A/E) Items to be clarified, corrected or explained Sometimes if many items are brought forward result in new issuance of construction docs Each addendum is to supersede and supplement all portions of bidding docs with which it conflicts Changes are usually bubbled or clouded and include an Addendum # listed in a triangle Should be organized and formatted for easy reference BIDDING DOCUMENTS CONSTRUCTION DOCS
What’s included in the  ADDENDA : Issued  BEFORE  the agreement is signed between owner and contractor Most times issued before bid is submitted Contractor is responsible to call out addenda in bid form  Addenda issued after bid are only given to selected bidder May result in changes to the contract price Addenda become apart of the contract documents Needs to be called out in the bid & agreement Verifies that bidder has reviewed addenda and it’s work is included in bid BIDDING DOCUMENTS CONSTRUCTION DOCS
Because the  Agreement  is expandable, it is still possible to add one element, the  Modifications .  Contract signed between Owner and Contractor stating the contractual and legal obligations to be performed by each party; includes type of contract and required exhibits such as bond and certificates.  AIA A101 or A111 Owner-Contractor Agreement

What’s included in the  CONTRACT MODIFICATIONS : Written or graphic changes to the contract documents   AFTER   the agreement has been signed Becomes a  CHANGE ORDER Construction Change Directive Used when the work must be completed and Owner and Contractor can not agree on cost Puts responsibility on architect for determining costs of implementing change order Orders contractor to proceed immediately on work regardless of cost It gets resolved once work is completed CONSTRUCTION DOCS
Before pricing the work, the assembly looks like this -- The  Bidding Requirements , such as the  Instructions to Bidders  and  Bid Form  temporarily bind everything together as a package.
What’s included in the  BIDDING REQUIREMENTS : Invitation to Bid Instructions to Bidders Supplementary Instructions to Bidders Information available to Bidders Preliminary construction schedule Geotechnical data (borings, pit test & reports) Existing conditions (dwgs, specs, descriptions & property survey) Bid Forms and attachments PROJECT  MANUAL BIDDING DOCUMENTS CONSTRUCTION DOCS
What’s included in the  BIDDING REQUIREMENTS : Supplements to Bid Form  (not all are included) Bid Security Forms (if required) Bidder qualifications forms (if required) Substitution Lists (if permitted) Subcontractor Lists/Equipment Suppliers Lists List of Alternates List of estimated quantities (often used with allowances & unit prices) Affidavits  PROJECT  MANUAL BIDDING DOCUMENTS CONSTRUCTION DOCS
The resulting, tightly bound package is call the Contract Documents
