Set-Up Guide for Administrators

Tracker and KnowledgeBase
This Set-Up Guide provides instructions to Company Administrators on how to set
up business users for access to the above services via the Xchanging Insurance
Portal.
Company Administrators and business users must be registered Insurance Portal
users in order to gain access to the services within it.
The Service Desk can be contacted on 0870 380 0830 or email
servicedesk@xchanging.com should you require any help or assistance with
registration.
The Insurance Portal
 Once you have registered for access with the Xchanging Service Desk, you
can visit the Xchanging Insurance Portal, by entering the following web site
address in your browser https://insuranceportal.xchanging.com or you can
click here.
 The Xchanging Insurance Portal Login Page will be displayed as shown
above.

 Click on the login button and enter your administrators Id and Password,
previously issued to you by Xchanging
Directory Admin
 At the Insurance Portal Home Page, click on the “Directory Admin” link (see
below)
In Directory Admin, a menu of administration functions will be displayed (see below)

Directory Admin is the browser based tool used by Company Administrators to
maintain “people and user” entries.
Adding People Using Directory Admin
Company Administrators and business users must be registered Insurance Portal
users in order to gain access to the services within it. They must have valid Ids and
Passwords.
 Selecting the ‘people’ option on the menu page will display a list of all people
that exist for your company (if any). Note: If you subscribe to the Directory
Synchronisation service, people can be added automatically by your email
Administrator.

 If you do not, selecting the ‘people’ option on the menu page will display a list
of all people that exist for your company (if any) and provide an option to add a
new person.
 Adding a new person
 Use a person’s email address as their ID, and enter their first name and last
name.
Setting passwords
All business users must have valid Ids and Passwords to access the Insurance
Portal.
 Add a password of your choice and confirm the password.
 Click the “Add” button to create the new person entry. The screen will be
refreshed and the new person will appear.

Adding Users Using Directory Admin
 You also have the choice of adding users by selecting the ‘users and groups’
option on the menu page which will display a list of all users that exist for your
company (if any).
 Adding a user
 You can use a person’s email address as their ID, and enter their first name
and last name. Optionally, you can create a user id of your choice i.e.
Xchanging1.
Setting passwords
All business users must have valid Ids and Passwords to access the Insurance
Portal.
 Add a password of your choice and confirm the password.
 Click the “Add” button to create the new user entry. The screen will be
refreshed and the new user will appear.

In the case of changing passwords, the details are not displayed, but a padlock icon
is displayed if a password exists. The new password must be entered in both
the ‘New Password’ and ‘Confirm Password’ boxes, then click the ‘update’
button.
 Selecting the ‘people or user and groups’ option on the menu page will display
a list of all people that exist for your company and provide an option to modify
certain details including passwords.
 Click the user icon next to a user modify their details such as forgotten
passwords.

Providing Access to KnowledgeBase
KnowledgeBase will be made available automatically to all business users who are
registered for Tracker. This approach is designed to reduce administration and to
provide timely access to key Xchanging services essential to daily business
operation.
 Adding People and Users to The XIS Tracker Group
“People and Users” must be added to the XIS Tracker group in order to access
Tracker and KnowledgeBase.
 Click on the “business groups” menu item in Directory Admin to display a list
of all the groups that exist.
 Click the icon next to the XIS Tracker group to display current members and
add new ones.

Note: the XIS Tracker group is created by Xchanging when setting up company
registrations.
New members can be added to this group by first searching for eligible “people or
users”.
 Click the ‘search’ button to display the list of those who are eligible. A
maximum of 100 entries will be displayed.

 It will be necessary to enter search parameters if there are more than 100
people in your company.
 Enter either the start of the first name and/or last name, or any part of the e-mail
address, and then click ‘search’ again.
 Select all the “people or users” who need to be added to the XIS Tracker
Group by ticking the checkbox to the left of the display, then click the ‘add’
button.
Note: Directory Admin will synchronise new “people and users” to the Insurance
Portal once every 10 minutes.
Tracker and KnowledgeBase will be made available automatically to new business
users who are registered for Tracker the next time they log into the Insurance
Portal.
 Removing People From XIS Tracker Group

Group members can be removed by ticking the checkbox to the left of their name
and clicking the ‘delete’ button.
Note: Directory Admin will synchronise any deleted “people or users” to the
Insurance Portal once every 10 minutes. Access to Tracker and KnowledgeBase
and the Insurance Portal (if applicable) will be removed the next time they attempt
to log into the Insurance Portal.
Administrator Checklist - Tracker & KnowledgeBase
1. Go to https://insuranceportal.xchanging.com
2. Login using the Administrator credentials issued to you by Xchanging
3. Click on the Directory Admin Link in “My Services”
4. Add a new person or user to Directory Admin
5. Add a password to that entry
6. Add the entry to the XIS Tracker group
7. Wait 10 minutes for the synchronisation service to run
8. Log into the Insurance Portal using the new credentials
9. Issue the new credentials to the new business user
