ICT Skills for Business You’ll be learning: good working practices, including the organisation of files using appropriate file and directory/folder names and the regular backing up of files features of email software methods of searching for information on the internet methods of integrating different types of files into a document or presentation the appropriate software to use for different tasks methods of storing, retrieving and analysing data.
good working practices – AO1 including the organisation of files using appropriate file and directory/folder names and the regular backing up of files
good working practices – AO1 Can you find – quickly – the file you created in Year 8 ICT? Probably not.
good working practices – AO1 Does your user area look more like this? Files all over the place, odd folders that you set up for some reason.. Don’t remember what now...
good working practices – AO1 Or like this? Every folder in use, clear names for each, no scrappy files just dumped there for you to forget.
good working practices – AO1 If you cannot find the files you need when you need them... What’s the point in saving them? They’re as good as not there. Work out how much time you spend looking for something on your User Area or USB key that you ‘know’ you put there but don’t remember where. Or what you called it. Or when you saved it. Hopeless
good working practices – AO1 In a ‘real world’ setting – like that of your teachers, probably your families, anyone in a job where they use a computer... You have GOT to be able to Find That File. Now.
Find That File
good working practices – AO1 Open up Word. Switch to a view of your current User Area in all its glory and take a screenshot of it (Use the ALT key and you’ll only see the ‘live’ window) Paste that into Word. Switch back to the User Area, aka ‘Place of Embarrassment’. TIDY IT UP. DON’T delete anything – put ‘old’ stuff in an ‘archive’ directory just in case . Screenshot the wonderful result, and paste it beneath the shameful one.
good working practices – AO1 Switch back to your new, all-improved User Area. Create another Directory called OCR. Inside it create ANOTHER directory called UNIT1 Switch back to your Word document, and SAVE it into your OCR /UNIT1 directory. You could call it AO1 if you want – but whatever you call it MAKE SURE YOU CAN FIND IT AGAIN!
good working practices – AO1 OK. So you’ve saved your stuff. What happens if the network breaks down? You know it could happen! This is why you BACK UP your work. So here’s our next challenge for the day...
good working practices – AO1 You need another Word document. (You’ll get used to this as time passes, and I will give you fewer and fewer hints and instructions because you’ll remember). Your main OCR folder on your N drive is The Main Folder. Everything goes there first. But you need a backup on your USB key. So your next challenge is to create that backup, screenshotting each step so someone who DOES NOT know how could follow your instructions...
good working practices – AO1 Reminder on backup/restore: Your main source is on N Copy the OCR folder onto your USB Then – be brave! – delete the copy on N Copy it back from your USB You’ll need to backup your work every week, but hopefully you might never need to do a real restore...
Independent Work There’s more to working on a computer than just typing.. Make a List: Some basic rules about being safe in your work around a computer Find Out: What are the rules in law about health and safety (IN YOUR WORDS – DON’T JUST COPY) Why do you think it is important to stick to rules about being safe around a computer – especially if you use computers a lot each day?
