Best Practices
for Setting Up
Efficient Trello
Boards

The sight of a blank Trello board
can do one of two things:
1. Give you a boost of motivation
to organize and tackle any task
that comes your way.
2. It can cause you to stop in
your tracks like a deer in
headlights.
Trello is like a fresh canvas—a
digital whiteboard ready for ideas,
due dates, and team
collaboration. But on the other
hand, it feels like there’s just so
much to organize. Where do you
even start?

www.altametrics.com
• Add all ongoing or upcoming projects to your Trello card.
• Add all details, such as requirement documents, scope, JIRA (or other) links, business cases, etc., to
communicate the project intentions very clearly.
• Assign owners, set expectations, and assign dates. Dates should be updated if tasks take longer than
expected.
• Use checklist(s) to explain all steps needed to accomplish the end goal, as well as labeling to have
better visibility.
• Always keep an eye on target dates or due dates.
• Any updates or follow-ups needed on the Trello board
• Always keep an eye out for web notifications or email notifications from Trello in case someone is
making any updates.
Best Practices - Text
www.altametrics.com
• Make your Trello board user-friendly
• Collaboration is only possible if team members are on the same page. Whoever’s in charge of a
project might see a Trello board every day, but members of other teams may only check in
occasionally for project offshoots. Imagine you’re seeing the board for the first time—how quickly
can you figure out what’s going on?
• Determine who is accountable to the board
• Make sure that there is always more than one administrator on every board.
• There's no need for a board to be perfect on the first try—in fact, it's a good idea to produce a basic
framework, then tweak it based on what's best for your team. The more agile your board, the more
agile your workflows will be.
• Take advantage of the free mobile app on iOS and Android platforms.
Points to Remember
www.altametrics.com
• Agenda – Internal
• PM/Tasks
• OOC Items
• Internal Altametrics Items
• Deployment
• Sprints
• Each sprint should have its own list
• Once sprint is completed, move that sprint to the end of the board
• Completed
• Backlog
Sample Trello Board Lists

Some Useful Tips
• Clicking on the edit icon on the card gives
several useful options.
• You can create any task from the checklist to a
card by clicking on the three (3) dots.

Some Useful Tips
• Copy and Paste Multiple Items: Let’s say you’ve got a list in Excel or Word, and you want each
line to be a separate card. Copy the list, open a new card, and paste—each line will become its
own card.
