Overseas AST Company LLC in United Arab Emirates.
RESPONSIBILITIESRESPONSIBILITIES
 Monitoring all inward, outward correspondence and dispatch, drafting letter also confirmed
that original letter forwarded to appropriate place and keeping up office’s all files and
records as per PQP and ISO system.
 Maintaining various logs like Project Drawing Tracking, Document Transmittal, Invoice
Tracking, Request for information, Request for Inspection and Testing, Work Notification,
Project Material Status, Client and Consultant Submittal, Method Statement, Non
Conformance Report, NOC Status, Variations, Survey Inspection Report log etc.
 Attending and filtering of telephone calls, preparation JAFZA entry passes, facility area
passes for entire Project’s personnel, drafting letter for material, equipment, heavy transport
entry and exit permit.
 Inspection personnel agreement, performance documents, promotions letters etc for yearly
auditing and reported to HR Manager. Follow-up for “Executed Project” documents and
scan as per file wise which forwarded to Head of Archive Department.
 Responsible for maintenance of Project’s Petty Cash, allocation telephone cards and other
allowance among the Project workmen, preparation of weekly petty cash statement and
forwarded to Accounts Department.
 Manage of online personnel request and transfer, workmen’s online leave apply, approved
and leave status record, details for absenteeism, Incident report, daily performance reports
etc.

 Preparation of Project progress report, plant requisition, monthly plant register, Plant
Weekly report, plant enquiry, daily manpower and monthly personnel hour reports etc
which submitted to Head Office, Consultant and Client.
 Ensure that materials issued for Project and received in accordance with good quality and
follow-up for LPO, delivery notes, gate pass and verified supplier’s invoices with Project
and Head Office for payment.
 Reporting to the Project Manager on various subject and Co-ordination with Head Office,
Consultant, various departments, other sites, external agencies, sub-contractors, suppliers
and site employee on various matters.
