In an effort to increase accountability, not-for-profits are looking for financial information systems to help better manage donations and expenditures to benefit their clients. Fund raising and grant applications can be tough and many not-for-profits are facing intense pressure to do more with less. Not-for-proft organizations have to adjust to a changing regulatory environment requiring more reporting, more detail and demanding more scrutiny than ever before. The FASB 116 & 117 reporting requirements have significantly changed the way not-for-profits need to capture and report information. In addition to the regulated reporting many not-for-profit agencies are trying to look beyond the data and to get relevant information from this data. Relevant information that allows organizations to identify risks, easily notice trends, and to identify areas to reduce spending. Relevant information that allows you to look forward to ensure you’ll be prepared to deliver on your mission. The need to operate an integrated system has risen over the year. Not-for-profits need a financial application that integrates with the operational solutions – like fund raising. All data needs to be connected so it can be effectively analyzed. It is important to understand that Microsoft Business Solutions provides a very broad offering of applications and software systems, covering everything from financial accounting, to human resources, and reporting capabilities, to CRM, Non Profit industry specific functionality. All of these applications are tightly integrated to keep Public Sector / government organizations running efficiently. We all know that NFP financial management needs are different than that of commercial businesses. They require a system to handle transactions with fund accounting general practices. Accountability to Budgets makes it necessary for the accounting solution to manage encumbrances and be able to report those encumbrances on a Statement of Activities report showing the fund balances and appropriations. Many NFP sources are derived from grants. The ability to track these monies and report the allocation of the funds is critical to ensure future awards. Microsoft Business Solutions is built to bring all of these requirements into one tightly integrated solution offering.

The Financial series is the central hub for all financial information across your entire organization. It provides you with the intelligent accounting and analysis capabilities allowing you to make strategic decisions quickly, armed with the power of insight. The General Ledger provides you with complete audit control and immediate access to high-level as well as very detailed financial information. Fund Accounting can be a challenging requirement of not-for-profit organizations and transferring balances between accounts can be risky and error prone. The fund accounting functionality of Great Plains will assure your fund accounts remain balanced. Cash Flow Management enables you to view the summary or detail of a given day’s cash inflow and outflow from a friendly, calendar-based interface. Your day-to-day financial planning will be improved as you are able to predict and understand anticipated cash flow. Expense Management provides you with the tools you need to manage vendors, forecast budgets and isolate improvement opportunities as well as automate your expense processing by enabling employees to create and submit expense reports quickly and easily. Encumbrance Management helps ensure you’ll stay within budgets by enabling you to analyze expenditures against budgets and track encumbrances at any point in time. The functionality of Encumbrance Management will give you the confidence that all users will respect their budget boundaries and put you well o your way to proactive budget management. Payables Management effectively links your purchasing system to General Ledger. It provides detailed vendor activity information of un-posted, posted and historical transactions plus complete vendor credit, payment and other information. It also provides full control over check runs and tracking of manual checks. Receivables Management allows you to take tight control over your accounts receivable and to streamline your revenue allocation. Fixed Asset Management allows you to simplify depreciation with any of 16 depreciation methods and to control physical inventory and asset movement with location ID’s for comprehensive tracking. Bank Reconciliation allows you to manage all of your bank-related activity through a single automated intersection. This easy to use tool allows you to sort and mark transactions as needed. eBanking allows you to automate your banking activities with electronic funds transfer, electronic bank reconciliation, and lockbox processing. The Great Plains Payroll and Human Resources application will simplify and track these processes. The Human Resource Management gives you the means to identify and attract top talent. It streamlines and standardizes the interviewing process and enables equitable treatment for all applications. Payroll provides simplified employee record setup and the ability to create and track detailed customized records of pay, benefits and deductions. Direct Deposit will add payroll funds to employees bank accounts through an Automated Clearing House. Employees can track their time through the Web with eTimesheets Federal Magnetic Media will generate W-3 magnetic media files.

Great Plains allows government agencies to meet the complete budget preparation, tracking and reporting needs of an organization. Export and import budgets to and from Microsoft Excel through an interactive wizard. Excel-based budgeting allows you to quickly and easily create a default budget template complete with accounts, descriptions and default amounts. With a complete integrated solution from Great Plains you can access data for planning and easily drill back to any data at its source. You can use line-item breakdowns to complete detailed planning of account balances for all aspects of the operation, including capital expenditures, project management and grant spending. Use flexible input screens to define up to 100 different periods from multiple budget versions and create calculated columns such as variance between plans. It is easy to coordinate your budget and planning processes with automated options, such as reminder e-mails.

Centralized grant information. Consider the hours spent searching for and filing grant information when you don't have a centralized location for information. Gathering and updating scattered information takes valuable administrative time, and jeopardizes the accuracy of your grant information. Better decision-making. Automated grant management makes "real-time" details of grant transactions and allocations available any time. Ensured compliance with regulations. Most grants under a federal program must follow strict guidelines and regulations. Tight expense control, along with the frequent and detailed timely reports required by sponsors, can put a great amount of pressure on an organization. Advanced reporting. The ability to run periodic progress and program progress reports is also an essential need for day-to-day management of grants and projects. With automated grant management, redundant grant administration is a thing of the past. Timely information at your fingertips enables you to manage and redistribute your efforts accordingly. Accurate financial monitoring. A predominate challenge in managing grants is not exceeding the grant budget. Automated grant management capabilities help you stay within the budget for the entire life cycle of the grant. Definite accountability.
