PRESENT STATUS OF PV PROJECTS-19GW
Present
Status
Solar projects mainly
constitute of static
equipments and many feel
that they will keep on
working without any
supervision
Maintenance of PV
projects has emerged
as a major
constituent of the
management of solar
PV assets.
The present trend in
O&M of solar assets
is to outsource the
work.
There is a lack of
information of
the activities of
this function.

The management needs of the plant constructors are vastly different to the needs of the long term owner-
operators.
EPCs are driven by the performance guarantee, while owner-operators have an economic interest in maximizing
plant performance.
A proper maintenance program is the back bone to maximising plant performance.
Maintenance activity is a highly repetitive process and to get optimum results, one needs to have standard process
& procedures which eliminate the chance of deviation in work methods.
An effective maintenance procedure relies highly on information availability of previously followed procedures &
deviations from standard processes. Effort will be to reduce the deviations.
Hence the need of a store-house of information consisting of technical specs, drawings, standards, work done on
equipment, failures and performance reductions all are a basic necessity for a good maintenance program.
Having ease of access & recall of above information is of prime importance and this will reduce the work time and
ensure correct work procedures are followed.
Having an option to continuously improve the process & procedures also are a prime requirement for an effective
maintenance program
NEED OF THE HOUR.

A FEW OF QUESTIONS FROM OWNER’S SIDE
Can I eliminate/reduce the manpower for production of reports?
Can I get automated regular reports of the PM and BD?
Can I shift from having site wise dedicated team for PM or have a common team?
Can I know the effectiveness of maintenance manpower?
Can I know the availability of critical equipments?
Can I know whether breakdowns are being attended ASAP?
Can I know the variance between plan and actual work?
Can I have an online system of knowing the work being done at site?

Workflow management system, is a type of software that helps businesses
take control of their routine processes and help them manage better.
10 BASIC FEATURES OF A WfM SOFTWARE
http://www.ndimensionz.com/
HOW WORKFLOW MANAGEMENT ADDS VALUE
1. Better communication
among people working
together on shared tasks
2. Visibility of how the
work works.
Workflow management
creates visibility of the work’s:
• type – what tasks there are
• volume – how much there
is to do
• assignment – who is doing
what
• Agree who works on what
and in what order
• Keep each other up to
date with
• Progress,
• New information
about the work
• What’s done.
http://www.ndimensionz.com/
8
Benefits due to workflow software adoption, that automates communication and workflow
visibility.
Reduced costs -WfM enables teams to reduce costs by spending less time on:
duplicate tasks
reading and writing email
getting new employees up to speed on common tasks
fixing errors and on ‘failure demand’
coordinating and supervising work.
Better service as a result of:
identifying and avoiding unnecessary work
finding and removing bottlenecks
performing certain tasks in parallel
fewer delays caused by abandoned or forgotten tasks
Better results-Additional benefits include:
higher quality results as a result of reducing variation in how work is done
an affordable audit trail of work activities
the opportunity to identify imbalances in team composition
data about workflow performance that enables process improvement
more flexibility to roll out process improvements consistently
Less paper.

• Work initiation
• One of the key elements of any maintenance workflow is how work is initiated.
• Workflow optimization start with an assumption that 100% of your maintenance workload is planned.
• WE WORK WITH
• standardized job plans,
• properly prioritize work,
• pre-define optimized process flows,
• establish sensible business rules for
• approvals,
• exception handling,
• alarming, and
• escalation that ensure workflows are optimized.
14
MANAGEMENT SYSTEM-2
http://www.ndimensionz.com/
• We categorize the work into four buckets,
• Fail-based maintenance (FBM),
• Use-based maintenance (UBM),
• Condition-based maintenance (CBM),
• Non-maintenance work.
• Next, we need to develop standard job plans for each of these categories, starting with the
most critical equipment and components.
• Each job plan provides a step-by-step procedure on how to prevent, inspect for, diagnose, or
fix a problem.
• Each job plan states,
• estimated hours for each task,
• spare parts and tools required,
• safety or special instructions,
• engineering drawings or other visual aids,
• any measurements that will be taken.
• Provision for development of database as one goes enables continuous improvement
15
MANAGEMENT SYSTEM-3
http://www.ndimensionz.com/
• When maintenance work is triggered, a ticket associated with the appropriate job plan
is released for scheduling.
• Triggers can be automated, or manual. The effort is to automate more processes of
preventive and predictive maintenance making planning & scheduling easier through
ticketing.
• A child ticket can be raised if the more work is to be done over and above what is
planned. Brings more clarity on work planned & done.
• Approvals, reduction of exception handling, standardisation work methods etc. are
other factors which is made easy.
• Constant reporting on KPIs really help in exposing bottle necks and aid RCA & RCPE
• Drilling down on reports such as schedule compliance and average actual versus
estimated hours on work orders will assist in understanding where the opportunities
lie for process improvement

HOW DOES THE RENDEVOZ WORK ?
Work orders are
issued for individual
PM activity on each
asset.
Based on this plan, a
yearly, monthly, weekly,
daily PM schedule is
brought out
automatically
A basic Preventive
maintenance plan is
developed and given
by the software (plan
modifiable manually).
This is a work flow management programme which works on
work order/ ticketing system.
