Why Skore app?
Process workshops can be fun and rewarding. But they are a big commitment
for the stakeholders and participants, taking valuable time away from their day
jobs. What’s more these are experts in the process and not process experts.
They want to describe, and reach agreement on, how things work as quickly
and easily as possible.
Skore app has been designed to map process at the speed of talking. The
simple approach allows subject matter experts to focus on the flow while
capturing all the important information for future analysis. The information can
be instantly provided as online, interactive documentation.
A recent customer reported that the approach reduced the time it took to
complete the workshops from 10 to 2 days. This resulted in higher levels of
engagement, more accurate definition of the process and better rates of buy-in
and adoption.
Overview
How Skore app works:
• A simple approach that describes activities, who owns them
and their outcome
• Activities can be deconstructed allowing you to drill into the
details of the process in the context of the big picture
• Keyboard shortcuts make it one of the fastest process capture
tools available
• Attachments allow linking to related information and custom
analysis (e.g. decision analysis, costing, systems, business
requirements etc)
• Ownership and responsibility modeling clarifies roles and
responsibilities and creates role descriptions
• Save As HTML allows you to save on an intranet or website for
sharing (experimental)

Download Skore app from:

1. Click ‘Try It Now’ and leave your email address
2. Download for Mac or PC
3. Install app and follow built in tutorial

Guidelines
Our recommended approach for capturing process.
1. Start with title and scope – agree the name of the process, where it starts and
how we know it finishes (hint: use Why boxes to add initial trigger and final output)
2. Define activities – focus on capturing the main work in the process before adding
who or why
3. Keep it on the screen – try to keep all activities on the screen at once and
readable to the audience (hint: create detailed views to group together low level
activities)
4. Add outputs – define an output for each activity (‘so that?’) showing what each
activity adds to the process
5. Create detailed views – go to the next level of detail once you have all activities
and outputs defined
6. Add attachments and notes as you go – capture relevant information and notes
(e.g. concerns, issues, improvement ideas) as people think of them
7. Add roles – once the work is defined then return and add the ownership of each
step, this is a great chance to iterate through the process and pickup anything
previously missed
8. Tell a story – read out the process aloud to the group, this really helps to ensure it
makes sense to everyone and is a last chance to clarify the process
Guidelines – Defining Outputs
Outputs and outcomes (Why boxes) are one of the key principles in the Skore app approach. It
helps to ensure every piece of work has a purpose and nothing happens “just because that’s the
way it’s always been done around here”! To this end the act of discussing an output to each
activity helps to clarify the related activities and the handovers one can expect between them.
Remember the most important thing is to
drive the discussion in the right direction
and reach agreement.
These simple rules will help you get the
most out of the discussion:
1. Don’t use the simple past tense of the
activity, this adds no further clarity.
2. Ask why the activity is performed.
3. Ask whether there is a measureable
outcome, a document or something that
can be checked.
4. Look for handovers, what does the next
person expect to receive in order to
start their piece of work.
5. As a last resort use ‘Ready to’ and
finish with the next activity, this often
prompts people to call out what they
expect to start the next activity
Responsibility Models
Skore app supports RACI, and its variant RATSI (see more about
RATSI, https://www.getskore.com/roles-responsibilities-in-
process-new-use-case/), for modeling responsibility. Once the
feature is enabled you may add multiple roles to a What Box and
tag these according the model (e.g. R for Responsible).
To enable this feature:
1. Click Extras
2. Choose Settings
3. Select ‘Enable multi resources & tags’
4. Select the responsibility model to use.
Reporting
It’s possible to produce and analyse reports based on processes
captured in Skore app.
1. Click on Export and choose ‘Report data…’
2. Click column headings to sort data
3. Click ‘Advanced selection of data & scope’ to change the
focus of the report from activities to roles or add/remove other
items from the report.
4. Click ‘Export the report’ to save an Excel version of the report
on your desktop.
Sharing Models
There are several ways to share models captured in Skore app:
Anonymously Online
From the Export menu choose Just Skore It! This will create a
one-off online version of your model and return a link you can
share. The content will be publicly available to anyone who has
the link.
In Presentations
From the export menu choose Export to .png image file or Export
image to clipboard to use in presentations and documents.
On an Intranet or Website (not yet released)
Go to File > Save As and change file type to HTML. Save the file
then upload to a document library or content management
system.

History of the Approach
The Skore app approach to process mapping is a simplified
version of IDEF0 systems modeling. IDEF0 was developed by
the US Airforce to model, describe and agree complex systems
and processes.
