Time Management
What is time Management?
• Time management is the conscious ways we
spend our time.
“The key is not to prioritize what’s on your
schedule, but to schedule your priorities”
– Stephen Covey (Author of 7 Habits of Highly Effective People)
• We identify priorities
• We make informed choices
• Start by identifying what we do each day?
Four Quadrants of Time
Necessity
Important, Urgent

•
•
•
•

Crisis
Medical Emergencies
Pressing Problems
Deadline-driven
projects
• Last minute prep for
scheduled activities

Quality and Personal
Leadership
Important, Not Urgent

• Preparation and
Planning
• Prevention
• Values Clarification
• Exercise
• True recreation

Deception

• When you push studying
to the last minute – then it
became necessity, not
quality and personal
leadership.
• You may not recognize
things as deception, but it
is what is deterring you
from your goals.

Waste

Not Important, Urgent

Not Important, Not Urgent

• Interruptions/Phone
Calls
• Some mail/reports
• Some meetings
• Some "pressing
matters"

•
•
•
•
•
•

Busy Work
Junk Mail
Some emails
Time Wasters
Escape activities
Mindless TV shows
Planning
Weekly
Planning
Long Term
Planning
Enter assignments, exams
and quizzes on their due
dates in your planner or
calendar

Make a schedule
for each week,
include
appointments and
homework

Daily
Planning
Make a daily to do
list, if you don’t get
it done, put it on
tomorrows.
Using a Planner
•
•
•
•
•

Develop a consistent system
Begin early – input everything that has a due date
Include personal things like bills, vacations, etc.
Stay organized
Set a schedule, and then try to stick to it one
week at a time
• Make weekly, and daily to do lists
Using Technology to Plan
•
•
•
•
•

Digital calendars work too
Set it to remind you via email or push notification
Check back often, make updates as necessary
Remove from your list when you complete it
Make reminders for when you will be actually
doing the task
• Check out your options – Apps, online calendars
etc.
How Do I Take Control of My Time?
•
•
•
•
•
•
•

Make goals for your study time
Plan your semester
Keep a schedule
Learn to say no
Turn distractions into rewards
Watch your time: Late is Late
Break Assignments into smaller pieces
Effective Studying
• For every 1 hour in class spend 2 hours studying
• Figure out
– Where do you study best?
– When do you study best?

• Take breaks to retain more.
• Take advantage of free time.
What motivates you?
What motivates you?
• Motivation is a force, thought, or attitude that propels
you toward a desired goal. This can be external or
internal, positive or negative, destructive or
constructive. It all depends on how you decide to
utilize it.

•
•
•
•

Think Big Picture
Set Goals
Be Active
Make “Me” Time
Set goals to stay on track
• Having goals helps us
make a plan
• Our goals need to be
something we can
achieve
• We need to celebrate
our accomplishments
when we achieve a goal
Beating Procrastination
• First you have to know why?
– What are you avoiding?
– What do you tell yourself when you chose to
procrastinate?
– What are you choosing to do instead of the work?
– What are your goals? What motivates you?

• Procrastination is a choice
• Nobody does their best work under pressure
Beating Procrastination
• Know what motivates you
• Set some goals – make them small
daily/weekly goals
•
•
