Unit 4 Pre-Production Portfolio Learning AimD
Project Management Task
What Went Well
Logistics Finance Creative Processes
Managing People
 I created schedules which
ensured that people are at the
rightplaceat the right time.
 Creating a budget gave me a good
overview of how much each person
would costme.
 It was important to introduce actors
to their roles and talk to them before
hand and see if they fitinto the role
Management of
Resources (both human
and
physical)
 Creating schedules would help
me with managingthe staff I
will beworking with.
 Booking equipment on time in
advancewould help get
equipment when needed.
 Booking equipment on time in
advancewould help me get
equipment when needed and it will
also makeit cheaper.
 Creating schedules and storyboards to
help us identify what we will need to
achievethey also helped us identify
what sorts of equipment we needed to
book.
Managing Time
 Schedules and storyboards
helped me manage time in
amore efficient way without
wastingvaluabletimewhen on
set.
 if you manage your time properly
you will ensurethat you are within
the budget.
 The production schedules us to plan
each day of production in terms of
time, shots and equipment.
Being Professional
 Being on time is one of the key
aspects of being professional.
 Meting deadlines is also really
important partof being
professional
 Another important part of
being professional is keepingup
with the budget.
 Creating a professional budget and
creatingthe budget based on the
lighthouse budget card.
 Makingsure you stick to budget and
payingyour crew and actors the
rates based on BECTU.
 Everyone owned a copy of the script
as well as a production sheet which
helped us stay focused on the movie
and be in touch with all of our targets.
Ensuring Progress is
Sustained
 It is importantto sustain a
progress so you don’t fall
behind on dates.
 I will ensurethis by gathering
regular meeting and developing
 Ensuringto sustain a progress will
allowyou to also keep up with costs
 Managers were given sustaining
project sheet which helped them
identify if they were working within
their target

a sustainingprogress sheets
which will allowmeto keep up
with tasks.
Managing Risk
 It is importantto manage any
risks throughoutfilming
because itcould slowdown the
production progress
 One of the ways is to complete
a risk assessmentthis will allow
you to take into accountany
risks and prevent them
 Completing a Recce also allows
you to see any risks atyour
location in advance
 Managingrisks allowsyou to keep
up your progress of the movie and
not fall behind which will include
more money for actors and crew.
 Appropriate documents such as risk
assessmentwere always on set to help
with identifyingissues and any
problems
Managing Crisis
 It is importantto take into
accountany crisis thatcould
happen in the progress of
makingyour movie.
 I would allowsome extra time
justin caseif anythingwas to
occur.For example instead of 6
days of filmingI would allow7.
 Not takinginto accountany crisis
could extend your deadlinewhich
will lead to more money being spend
 The risk assessmeant was attached to
the scriptof all actors to makes sure
they are awareof any risks on set.
 All actors were told what to do in case
of crisis.
Keeping Documentation
up-to-date and relevant
 Overtime things will change
within the production and I will
need to change my
documentation to match the
changes. This includes any
storyboards thatwill need to be
changed.
 It is importantto keep up with
changes such as the EDL and
storyboards otherwiseyou
 Keeping up with the changes could
be costly but at the end the overall
costcould go up if documentation
don’t match changes
 All the paper work was stored as well
on external hard –drive and paper
formats were stored in a secure
cabinet

Summary of any problems
with project management
 My problem with
management started with
my lack of proper
housekeeping which made
me re-edit some of the bits
in my movie. This was time
consumingand could have
resulted in money being
lost.
 Financewas not effected
because the problem was fixed
so I didn’t need to ask for extra
days.
The problem was sorted by makingsure that
the second housekeeping I made was in a
locked folder
Ways you could be better
in future productions
 I would personally likein
the future to usea range of
location for my movie
 I would also liketo increase
the range of shots which I
use when producing
 The lastthingI would like
to improve on is to go
through rehearsals with my
crew and actors.
 Everything with the financeaspectof
my production as done with
perfection.
In the future I will add my housekeeping on
more hard-drives as well as notmoving folders
form one placeto another.
